Dover Elks Lodge #1903 We thank you for selecting the Dover Elks Lodge to hold your special event. It is our intent to provide the very best in food preparation, beverage service, and aesthetics. The following policies and procedures have been established for hall bookings, parties and functions: All ballroom bookings require a minimum non-refundable deposit of $300.00 for half room and $600.00 for the full ballroom. Dining room functions are pro-rated based on the number of guests. Prices range from $150 - $250. A function is not considered booked until a deposit has been paid. Once the deposit is paid, the date is firm. We do not hold dates for anyone without a deposit. It is required that all persons booking hall functions secure liability (event) insurance with the Lodge as a rider. The Lodge is not responsible or covered in the event of accidents that occur during or after booked functions. Fees are as follows: FEES AND CHARGES $300.00 per section for four (4) hours. Anything above four (4) hours is an additional $150 per hour per section. Dining room: $150 - $250. A $75.00 bar set-up fee is charged to all functions requiring a cash bar and bartender. Any parties hosting a cash bar and purchasing a keg of beer will be charged a $75.00 set-up fee. Any parties hosting an open bar will be charged a $75.00 set-up fee and are required to pay a service charge of 18% of the total bar tab. Any party with a bar must have food available to their guests. BILLING All functions must be paid for two (2) weeks prior to the event. At that time the food will be ordered. Failure to do so will result in cancellation of the event and loss of the deposit. - 1 -
DECORATING Should you choose to do your own decorating, please consult with the Banquet Representative who will advise you of dates and times for access. To best protect our facility from damage, we require you adhere to the following: Please use the ceiling grid hooks provided. Do not tuck decorations under ceiling tiles or around the grids. Do not use tacks, nails, staples or tape on the walls, trim, ceiling tiles or tile grids. You may use Command strips which must be removed following the event. Glitter may be used on tablecloths. Birdseed is preferred instead of rice for weddings. MENU AND COSTS The enclosed menu items are available from our in-house Chef. We are not limited to these items and are more than willing to discuss and price other items. We do require a minimum of four (4) weeks lead time on menu items not listed here. Regular menu items require a minimum lead time of two (2) weeks. A minimum purchase of $500.00 is required for parties wishing to order only Appetizers and if a bar is included, the same minimum of $500.00 in food is required. An Eighteen Percent (18%) food service charge will be added to all food purchases. Linens can be provided for a fee. BUFFET OR PLATED SERVICE All Buffets include dinner rolls, coffee, iced tea and water. You have your choice of House or Caesar Salad. - 2 -
