2018 North Country Fair Food Vendor Application TERMS AND CONDITIONS Thank you for your interest in vending at the 40 th Annual North Country Fair. TO APPLY: Please fill out this form with all required information. Applications missing information will not be considered. Please read and fill out this form including all required information, along with you signature as proof that you accept and understand our terms and conditions. Successful applicants will be notified by April 1 st, 2018. If accepted, vendors will be required to submit their fees to the coordinator by April 15 th. (After April 15 th, any vendor spots un-paid for, will open to the waiting list of suitable vendors.) Included with the site fees are three (3) staff passes. Additional passes of up to two (2) may be purchased at the discounted price of $100/each. Any additional must be bought at full gate price. Please advise the Coordinator of your additional pass needs. These passes include camping privileges for the duration of the Fair. New vendors who are accepted, will be asked for an additional Environmental Deposit of $150.00. This will be required as a separate cheque and must be received with the site fee by April 15 th 2018. This deposit will be refunded upon adherence to NCF environmental rules and regulations and site inspection at the end of the Fair. ( If you brought it in.take it out. ) Vendor operation at the Fair is subject to approval and compliance with Peace Country Health Department regulations and inspection as per below
Health Dept. Requirements: Successful applicants will receive contact information for the site Health Inspector Notice: paperwork must be submitted at least 2 weeks before event (June 7 th ), the inspector will contact you to confirm details, you must respond or you will not be approved. Flooring: a floor constructed of asphalt, concrete, finished plywood, or similar non-absorbent material must cover the entire area where foods are prepared, served, and stored, including walking areas between a mobile and a sales counter must be able to keep food and equipment off muddy ground, canvas/tarp by itself or bare OSB on the ground is not adequate Walls and Ceiling: constructed of finished plywood, canvas, vinyl, or similar non-absorbent material Plumbing: plumbed cold and hot running water for hand-washing, dishwashing, and cooking Sinks: at least one plumbed hand washing sink and plumbed sinks for dishwashing any extra food prep in a tent requires a plumbed hand-washing station in the tent, a temporary hand-washing station will not be accepted Hoses for fresh water: must be food grade hoses (no garden hoses) Water sampling: all mobiles with a water holding tank must have a satisfactory water sampling result taken within the last year, submit water sample report with Health Dept. application if possible Sewage: planned location and ability to manage sewage grey water tanks are provided on site. Thermometers: one per fridge and at least one probe thermometer capable of measuring 0-100C Food transport: all food must arrive at 4 O C or below, and stored separately from personal foods Food source: approved sources (e.g. must have a permit/license), must have receipts available for viewing, no expired foods Food storage: all food must be stored off the ground regardless of container (e.g. on a pallet) Food safety certification: recommended to have Alberta Food Safety Basics or BC FOODSAFE 1, preferably a course listed here: https://www.albertahealthservices.ca/assets/wf/eph/wf-eh-food-safetycourses-approved-alberta.pdf When vendors arrive: Mobiles with valid AHS permits may begin operation without inspection It is expected that on arrival and when in operation, all cold holding equipment maintains food at 4 o C/40 o F or lower at all times ABOUT YOU: Our aim is to ensure diverse dining choices for our patrons so we highly discourage menu duplications. Due to the large number of applications for our 12 available spots, we are unable to accept all applicants but thank you for considering us in your plans.
Describe your Menu The selection committee looks for well-organized vendors with high quality foods and are placing an emphasis on locally sourced ingredients Vendors should anticipate serving up to 2000 portions over the course of the festival. (Vendors who run out of food and close before 5pm Sunday, will forfeit their deposits and will not be invited back in future.) Menu Items Price Organic Vegetarian Vegan Gluten Free Locally Sourced Information on the type of setup and size you are vending from (trailer, tent, truck etc.) would be helpful to assist us in making our selection. Please include frontage length. We Care: The festival site is owned by the festival organizers and our association. As stewards of this land, we have limited resources for waste disposal. All vendors are required to use biodegradable, compostable or recyclable food service materials (cutlery, plates, bowls & packaging). This is an important part of our efforts towards zero waste and impact on the festival site. Vendors will be given compost buckets for compostable materials that will be picked up regularly by our volunteer Environment Crew. Plastic and Styrofoam are not allowed please! All other waste including cardboard must be taken to the Enviro. Compound area. Please do not leave large mounds of garbage at your site during the Fair or for our volunteers to pick up at the end of the festival. Any garbage left on site after Fair may result in loss of Environmental deposit. There is no dumping/disposal of any fry oil on site. Failure to do so will result in the loss of Environmental deposit.. We are a home to many forms of wildlife including BEARS! Store foods accordingly. Festival Logistics No vendors will be permitted on site prior to Wed. June 20 @ 6pm and must be on site before 11pm Thursday June 21st. Please advise Coordinator of your arrival plans. Hours of operation and site location are at the discretion of the Vendor Coordinator. Sites will be allocated upon arrival. Please tell volunteers on the road to radio Coordinator (Valda) upon arrival and await instructions for entry.
Vendors will be set up and ready for Peace Country Health Department final inspection by Friday at 12:00pm (noon). Vending of any food product cannot happen prior to Health Inspection and approval. Mobiles with valid AHS permits may begin operation without inspection. Please show permit to Valda. Failure to comply and gain approval will result in Vendors being removed from the fair grounds and any and all fees paid will not be refunded. Vendors are expected to serve from noon (or earlier) until at least 11pm on Friday & Saturday. Sunday service is until 5 pm when closing ceremonies start. All vendors must leave their site by 3pm on Monday June 25 th, leaving their site in original condition. Conditions at the Fair are Rustic Electrical usage may be limited as we are running partially on solar and from grid. Generators may be permitted by some vendors as long as they are quiet.(*shhh* ) and will be at the discretion of the Coordinator. Low voltage LED lights are highly recommended. Not all vendor sites are perfectly flat. Please be prepared, blocking will not be supplied. Tell Us About Your Needs: Power We are able to provide a 30 amp 220 volt twist lock connection along with a 15 Amp 110 Volt circuit. Please state your power needs with as much detail as possible Appliance Power Rating in Amps Plug Type being used # Total Rating Water Potable water is supplied via taps run off a gravity fed water tank shared by all food vendors and the Fair Hospitality area. Please try not to waste this limited resource as we pay to have it delivered for your usage. Gray water must be transferred to the grey water holding tanks supplied. Any Grey Water spilled on site is the responsibility of the Vendor to clean up and may be subject to additional clean up charges. We do not handle sewage in our tanks. All hoses, splitters, cords and adapters are the vendor s responsibility. Camping Camping space is supplied behind your vending site. Shared fire rings are in camping area. Porta-Potties are conveniently located on site.
Vehicles not attached to facilities must be parked in designated Day Parking area unless being used for camping. Vendor row is a walk only area after Friday noon. Vendors needing to make supply runs will be required to leave vehicles in Day Parking. Fair Behavior as listed in the program will be modeled by all vendors. Pets are not welcome. Other Stuff: The Fair has 4 stages with music and entertainments going until the wee hours. Bring some earplugs to get your rest. We will also be hosting 20+ craft vendors for your shopping pleasures. Sunday night is our volunteer appreciation dinner with entertainment to follow. Vendors are welcome to join us for the evening concert. The festival is totally volunteer powered, so please respect all our volunteers and their efforts to bring this festival to life. There will be no refund of vendor site fee after May 1, 2018 should you need to cancel.
