ASA Okinawa 2014 Reunion Information/Registration The reunion will be held September 17-21 (Wed thru Sun) at the MCM Elegante Hotel and Event Center, located in the heart of Albuquerque at 2020 Menaul NE, Albuquerque, NM 87107. From the moment you walk through the doors, you know you've stepped into a world of luxury and comfort. Impeccable service, friendliness and cleanliness are the rule of the day. The MCM Eleganté Hotel and Event Center is a full service hotel with 342 rooms. You ll find all the accommodations you would expect from a premiere resort hotel, including spacious guest rooms with beautiful furnishings and the most comfortable beds on the planet. Complimentary wireless internet service is available in all guest rooms. Dine at the Mesa Grill, the full service restaurant, including a FREE hot breakfast with eggs cooked-to-order. Enjoy a more relaxed experience in the Sandia Springs Lounge with complimentary cocktails each evening. Other amenities include an indoor pool with sundeck and jacuzzi, gift shop, in-room gourmet coffee and Bath and Body Works toiletries, a fitness center with state of the art Precor equipment, just to name a few. Complimentary shuttle service to and from the airport, malls and historic Old Town is also provided. When arriving at the airport, just use the courtesy phone located near the baggage claim area or call the hotel directly at 505-884-2511. If you are driving parking is complimentary. You should be aware of Albuquerque s high elevation of over 5,000 feet. When visiting Albuquerque, it may take your body a day or two to adjust to the high altitude. At this elevation the air is thinner and you may become tired faster during physical activity. Albuquerque s high desert climate also causes people to dehydrate faster. It is important to drink a lot of water to keep your body hydrated; this is the easiest way to avoid altitude sickness. If you plan on enjoying your favorite beverage while in town, you should be aware that alcohol affects your body faster at higher elevations as well. Also, sunscreen and sunglasses are highly recommended. The information contained herein should answer most of your questions. If anything is unclear, please do not hesitate to call our Customer Service Representative at 1-828-256-6008. Your Choice: You may select one of the three options shown below, or create your own limited agenda. You may fax, mail or phone in your registration. Reservations via fax or phone require the use of AMEX, Discover, MASTERCARD or VISA credit cards. 1. Payment Schedule: Initial deposit is due on or before August 18, 2014. Reservations after August 18 will be accepted on a space available basis Final payment is due before August 29, 2014. Carry-over rates 72 hours before and after the reunion are on a space available basis. You may make up to three installment payments in any amount, at any time as long as the balance is paid by August 29, 2014. 2. Cancellations: For cancellations received on or before September 12, 2014 there is a $50.00 cancellation fee plus the cost of any activities that have already been paid for, or for which guaranteed numbers have been provided to the vendor. There will be NO REFUNDS for any reason for cancellation requests received after September 12, 2014. Trip Cancellation Insurance is highly recommended; see your local insurance agent for details. Premier Reunion Services, LLC does not offer this service. 3. If there is an activity included in the option you select that you cannot or do not wish to participate in, you may opt-out of that activity. See the Registration Form, Adjustment Opportunities Block and deduct the activity. Option A, Arrive on Wednesday, depart on Sunday (Option A provides the following activities and services for each person who selects it) Four nights lodging (Wed, Thur, Fri, Sat); Four breakfasts (Thur, Fri, Sat, Sun); Wednesday welcome reception w/hors d oeuvres and cash bar; Friday night Western BBQ dinner buffet; Saturday night banquet; Wednesday through Saturday use of hospitality room (stocked with soft drinks, coffee, and snacks); 2014 reunion Memory Book; Albuquerque, NM city tag; Banquet and Memorial Service programs; Roster of attendees; all applicable taxes and gratuities (except tour guide & driver); bartender, set-up fees; Registration fee; and the full time services of a Premier Reunion Services manager. Cost of this option is $828.00 per couple; $636.00 per single. A $100.00 per person deposit must accompany your reservation. You may make up to three installment payments in any amount, at any time as long as the balance is paid by August 29, 2014. Option B, Arrive on Thursday, depart on Sunday Option B contains the following activities and services for each person who selects it). Three nights lodging (Thur, Fri & Sat); Three breakfasts (Fri, Sat & Sun); Friday night Western BBQ dinner buffet; Saturday night banquet; Thursday through Saturday use of hospitality room (stocked with soft drinks, coffee, and snacks); 2014 reunion Memory Book; Albuquerque, NM city tag; Banquet and Memorial Service program; Roster of attendees; all applicable taxes and gratuities (except tour guide & driver); bartender, set-up fees; registration fee; and the full time services of a Premier Reunion Services manager. Cost of this option is $663.00 per couple; $503.00 per single. A $75.00 per person deposit must accompany your reservation. You may make up to three installment payments in any amount, at any time as long as the balance is paid by August 29, 2014. Option C, Arrive on Friday, depart on Sunday (Option C contains the following activities and services for each person who selects it) Two nights lodging (Fri and Sat), Two Breakfasts (Sat & Sun); Saturday night banquet; Friday and Saturday use of hospitality room (stocked with soft drinks, coffee, and snacks); 2014 Reunion Memory Book; Roster of attendees; Albuquerque, NM city tag; Banquet and Memorial Service Program; all applicable taxes and gratuities (except tour guide and driver), bartender, set-up fees, registration fee; and the full time services of a Premier Reunion Services manager. 2014 ASA Okinawa REUNION ITINERARY Wednesday September 17, 2014: 12:00 noon: Registration Begins and the Hospitality Room stocked with coffee, soft drinks, and snacks will open. Because of liability considerations, private alcoholic beverages cannot be brought into the hospitality room. The hospitality room will close during the welcome reception. 3:00 PM: Association Officers Meeting. Location TBA. 5:00 6:00 PM: Welcome reception begins. After a few welcome and administrative remarks, you can enjoy your favorite beverage from the cash bar and snack on the hors d oeuvres (probably pizza and wings). This will be a fun evening in a relaxed and casual atmosphere, no program, no speeches, just a good time waiting to be had. Dress is casual. Cost of the reception is included in the price of Option A. If you cannot participate in the reception you may opt-out. See the Registration Form, Page 5 Adjustment Opportunities Block Deduct Wednesday s Reception. Thursday September 18 2014: 6:30 8:30 AM: Breakfast will be in the hotel restaurant. Breakfast coupons will be provided. Eat at your leisure in the hotel restaurant anytime during the restaurant s normal breakfast serving hours, keeping in mind the starting time for the optional tour. Cost of breakfast is included in the room rate, therefore you may not opt-out. 8:45 AM: Optional tour # 1: Located one hour west of Albuquerque, Acoma Indian Pueblo Sky City, is built upon a 70-acre mesa almost 40 stories above the canyon floor. We ll follow an Acoma Indian guide through this ancient village which is kept without modern plumbing or electricity. We ll see San Esteban del Rey Mission where we will be seated and hear their history and learn about the Puebloan culture. There will be opportunities to purchase hand-crafted items on the mesa top. At the visitor center we ll enjoy a hosted lunch and museum & gift shop. You will return to the hotel around 3:00 PM. NOTE: This is an outdoor event. Be prepared for hot and cool temperatures to occur in the same hour. Wear comfortable shoes. The mesa top is uneven rock and sand. With respect to everyone, this is not a trip for the sick, lame, and lazy. The tour includes the mandatory photography permit. No tripods, no video, no cell phones, no sketching or note taking, no use of binoculars. There is a minimum of 35 persons for this tour to go. Less than 35 the trip will be cancelled or the cost adjusted to cover the difference. The cost of this tour is not included in any of the options; you must register separately. See the Registration Form, page 5, Adjustment Opportunities and select Add Thursday Optional Tour # 1. Optional tour # 2: This Albuquerque Highlights tour begins at the Turquoise Museum where you will laugh during a seminar we like to title The True Colors of Turquoise. Bring your favorite piece of turquoise and discover its history and value! Afterward we ll have free time to see the museum and, of course, the gift shop. Some of the best preserved urban sections of Historic Route 66 are in Albuquerque. Albuquerque also boasts the only place on the entire route that historic 66 intersects itself! Enjoy driving and strolling through portions of the Mother Road (Old Town and Nob Hill. Lunch is included at the 66 Diner! There is a minimum of 35 persons for this tour to go. Less than 35 the trip will be cancelled or the cost adjusted to cover the difference. The cost of this tour is not included in any of the options; you must register separately. See the Registration Form, page 5, Adjustment Opportunities and select Add Thursday Optional Tour # 2. 5;00 PM: Depart Hotel for the Optional Sunset on the Sandias. This driving tour travels through the beautiful neighborhoods of Los Ranchos de Albuquerque on your way to Sandia Mountain which dominates the east side of Albuquerque with its nearly 5,000 vertical rise. A ride on the Sandia Peak Aerial Tramway is a much sought after experience for many visitors but it is not for everyone. This tour is offered with or without the Tram ride. Due to the elevation at the summit, 10,378 feet, individuals with heart conditions or respiratory problems should consult their doctor before riding the Tram. Fortunately, there is a wonderful view of the city from the Tram terminal, and at 6,560 it is still 1,500 higher than your hotel and has a beautiful view of the city and sunset. Food and fun continue at the nearby Sandia Resort and Casino, owned by the Pueblo of Sandia tribe. Here you will have dinner on your own. Food choices range from a fabulous buffet to a hamburger. We ll be there about two hours (7:45 PM to 9:45). Those who are lucky at games of chance may win some money! If you want to stay longer you are on your own! (But we ll tell you how to take a shuttle to the hotel.) There is a minimum of 35 persons for this tour to go. Less than 35 the trip will be cancelled or the cost adjusted to cover the difference. You can take this trip and not ride the tram and do everything else If you do not want to ride the tram deduct $20.00 from the tour price. The cost of this tour is not included in the cost of any of the options. Notes: Due to the elevation on the mountain bring a sweater or jacket on this tour. When the sun sets the temperature drops quickly and it is often very windy so be prepared, dressing in layers works best. Friday September 19, 2014: 6:30 8:30 AM: Breakfast will be in the hotel restaurant. Breakfast coupons will be provided. Eat at your leisure in the hotel restaurant anytime during the restaurant s normal breakfast serving hours, keeping in mind the starting time for the optional tour. Cost of breakfast is included in the room rate, therefore you may not opt-out. 10:00 AM: Optional trip to Santa Fe departs. No visit to New Mexico is complete without a trip to this historic, photogenic, Capital City, known for its bright clear skies and high desert climate, abundant shops and galleries. You ll ride the scenic Turquoise Trail through small towns and former coal mining communities. Once in Santa Fe your guide will lead an orientation tour of the immediate plaza area pointing out restaurants, shops and museums. Loretto Chapel is included in the tour (famous for its miraculous staircase said to have been built by St Joseph himself). The tour allows you about two and a half hours of free time for lunch and exploring your own interests. There is a minimum of 35 persons for this tour to go. Less than 35 the trip will be cancelled or the cost adjusted to cover the difference. The cost of this tour is not included in the cost of any of the options. You must register separately; see the Registration Form, page 5, Adjustment Opportunities and select Friday s Santa Fe Tour. 6:00 PM: Social hour begins. This is the time to relax and enjoy your favorite beverage. During last year s social hour, one of the ladies commented that the men were gossiping. For the record, men do not gossip. They exchange information. 7:00 PM: Dinner tonight will be a two entree dinner buffet, Southwestern style. As you know, this is also the night of our annual fund raiser. Everyone (or each couple) is asked to bring a gift to donate to the association. We have worn out the hometown gift idea so bring anything you wish keeping in mind the rule of thumb is to bring something you would like to take home yourself. Raffle tickets will be sold throughout the reunion. The rule is you can only win as many gifts as you bring that is fair so everyone who brings a gift should go home with a different one. Our talented and loyal honorary member Dottie Turner may have a few more items for a special raffle. Anyone else who has a special talent is invited to bring your handiwork. Cost of Friday s dinner is included in the price of Option A, B and C. If you cannot participate in dinner you may opt-out. See the Registration Form, Page 5 Adjustment Opportunities Block Deduct Friday s dinner. Saturday September 20: 6:30 8:00 AM: Breakfast will be in the hotel restaurant. Breakfast coupons will be provided. Eat at your leisure in the hotel restaurant anytime during the restaurant s normal breakfast serving hours, keeping in mind the starting time for the optional tour. Cost of breakfast is included in the room rate, therefore you may not opt-out. 8:30 AM: Annual Business Meeting. 10:30 AM: Albuquerque has a very rich and deep history in both its military people and Pueblo Indian people. Your first stop today will be at the New Mexico Veteran s Memorial for a tour the facility followed by our Memorial Service and indoor picnic-style lunch. Then you will visit the Indian Pueblo Cultural Center which is owned and operated by the 19 Pueblos of New Mexico since it was built in 1975. The Center features the common ancestry of the Pueblos in the cliff-dwelling people and also showcases how the people live today. Admission to the Center includes the museum and galleries that have art and history exhibits.... and a comprehensive gift shop that you will surely want to visit. Our last stop is a surprise and it is not found in any tourist guide. Hint: do you want it red or green? You will return to the hotel around 4:00 PM. There is a minimum of 35 persons (per bus) for the tour to go. Less than 35 the tour will be cancelled or the price adjusted to cover the difference. Cost of this tour is not included in either of the Options. If you wish to go, you must register separately; see the Registration Form, Adjustment Opportunities Block Add Saturday s Tour. 6:30 PM: Social Hour and Photo Session begins. Individual and/or couples photos will be taken for inclusion in the 2014 Reunion Memory Book. As soon as possible after the reunion, the memory book will be sent to everyone who registers for Option A, B, or C; or anyone selecting the Individualized Option who places an order for the Memory Book. Be sure to have your photo taken for inclusion!! 7:30 PM: The ASA Okinawa Banquet. Enjoy tonight in a more formal setting. Coat and tie recommended for the gentlemen and corresponding dress for the ladies. If you can still wear a complete and correct uniform, please do so. There will be open seating, sit where you like, with whom you like. Cost of the banquet is included in the price of all three options. If you cannot participate in the banquet you may opt-out. See the Registration Form, Adjustment Opportunities Block Deduct Saturday s Banquet. Sunday September 21: 8:00 AM: Breakfast will be in the hotel restaurant. Breakfast coupons will be provided.
