Dear FOOD Vendor: What is Fiestaval Latin Festival at Red Deer? Fiestaval is a one day free multicultural arts and entertainment focusing on Latin tastes and sounds. It is an opportunity to support Red Deer's Latin community while encouraging multiculturalism among all. Central to its distinction is that Fiestaval is a free, family-oriented alternative for celebrating multicultural arts and entertainment in Red Deer. Fiestaval will take place in the heart of downtown Red Deer there will be Latin bands and shows, community vendors, authentic Latin food vendors, dance showcases, free dance classes, kids area, Latin arts and crafts, beers gardens and more How many people attend? Depending on the weather, approximately 8000 to 12,000 people will attend. When? Fiestaval Latin Street Festival in Red Deer will happen on Saturday August 15 th 2015 from 11:00 to 8:00 pm What is provided when I rent a booth? Access to a water source and up to 2 electricity outlets -110 Volts if you required more than 2 outlets and additional $25 dollars will be charge per outlet (remember you need one outlet per appliance) We allow a 10 x 10-foot space; you must operate within this space; if you use more space than what you bought you will be charged $50 per square foot How will I know where my booth will be located? During the first week in August, we will send you a map with your location clearly indicated and details regarding set up. May I decide where my booth will go? No. Vendors will be placed in the most appropriate places as possible on a first come first served basis. Does the Festival rent kitchen equipment or festival supplies for me? No. The operation of your booth is your sole responsibility; if you need to rent items such as tents, sinks, fridges, stoves, grills, griddles, flooring etc you can do so through any of the rental companies in the city. They are all in the yellow pages.

Garbage? The vendor is required to clean a 10 foot area around their table and dispose of any garbage into the large waste bins only. The street receptacles are for attendees use. Fiestaval Latin Festival will refuse future participation if vendors do not remove all of their garbage! What is the deadline for the Alberta Health Services Special Event & Trade Shows Application form? These forms along with a photocopy of the certificate of completion of the Food Handling Safety course must accompany the registration form to complete your registration. This must be provided to the Fiestaval office by no later than July 10 th 2015 as it is required by Alberta Health Services. A schedule of the special event food handling safety courses provided by Alberta Health Services will be available in February. May I use a generator? Older generators are not permitted because of the noise and pollution concerns. Alternative power sources and newer quieter generators may be permitted upon written approval Fiestaval Office. Please indicate this on the special request/needs section of the registration form if required. Food Vendor Requirements The vendor is required to clean up a 10 foot area around their table and dispose of any garbage into the dumpsters in storage area only. (with your registration you will receive a map and clear instructions about garbage management) The event garbage cans are for attendees use. Upon Registration we will be collecting a $100 security deposit from all food vendors in case of damage i.e. grease stains, burns, grass damage, garbage removal fees, or failure to comply with any of the festival rules; security deposits will be returned within a month after the festival. You MUST provide a 30 pound weight for each leg of for your tent or you will be not allowed to set up. Each vendor must provide their own grey water container and must empty all grey water off site - if you are caught dumping your grey water in any other location other than our designated area you will loose your security deposit. Every Food vendor must have solid matting or a surface under the entire area of their 10x10 booth to prevent stains from spillage as well you must provide garbage receptacles by your booth for waste from your products sold Vendors are responsible for: 1. Completing and returning the Vendor Application Forms (located on our website) to the festival, one (1) month prior to the proposed Special Event or Trade Show. Please note that late applications are not permitted 30 days prior is de deadline No additions/changes will be allowed 15 business days or less prior to the event. Fiestaval Latin Festival will be collecting the completed form for submission to the Alberta Health Region.

2. Complete and return the Permission to Use an Approved Food Establishment Form to the festival AND TO Alberta Health Region (located on our website). 3. Vendor must ensure that the: Requirements for Special Events & Trade Shows are followed. Food Storage Temperature Records are kept and recorded once every two (2) hours. Their food booth is set up and ready for inspection by a Public Health Inspector no less than one (1) hour before the special event is scheduled to start, in accordance with the Provincial Food Regulation. The disposal of any liquid or solid waste is in the locations designated by the event organizer. Only potable water is used (water that is safe for human consumption). If you are a food preparation vehicle or cart with a holding tank you must have satisfactory bacteriological test results from a Provincial Laboratory submitted within the last thirty (30) days. At least one food handler in charge must have successfully completed one safe food handling course provided by or satisfactory to AHS Environmental Health Food Handling Courses. Notify the event organizer of any changes or additions to the original application no later than ten (15) days prior to the date of the event. Follow the Approval Inspection Checklist for Special Events & Trade Shows to ensure that everything is in place. What happens if it rains that day? We go rain or shine. REGISTRATION INFORMATION Each space is 10 x10 you may pay for up to 2 booths. Please note that your additional spaces will be situated side by side, unless otherwise indicated. You will not be registered if you send a post-dated cheque. A $60.00 fee for NSF cheques will be imposed. EXHIBITOR AGREEMENT FIESTAVAL LATIN FESTIVAL RULES AND REGULATIONS For Saturday August 15 th 2015 1. The Producer will: a) Produce Fiestaval Latin Festival (street fair) in downtown Red Deer on August 15 th 2015, open to the public from 11:00 am through to 8:00 pm; b) Provide for the exhibitor s use a 10 x 10 space in the street. c) Produce and distribute promotional material including posters, brochures and provide media with public service announcements. 2. The Exhibitor/Vendor will: a) Pay the producer the appropriate sum as defined in the registration form and dependent on date registered for each space required; b) Provide his/her own chairs, tables, display equipment, tables, tent, sinks, table covering, skirting and power; c) Release the Fiestaval Latin Festival its Board of Directors and staff, the City of Red Deer and the merchants of downtown Red Deer from any liability for any damage, loss, theft, breakage or injury to property or persons; d) Complete all necessary forms and provide full payment upon registration (no post-dated cheques) to validate this agreement; e) Unload and load at the requested times of 8:00 am and 6:30 pm respectively, and shall adhere to parking instructions. Exhibitors must be situated at booth location by no later than 9:00 am to set-up. Failure to do so will automatically release booth location back to the producer and no refund will be issued. Exhibitor may not dismantle before 7:00 pm.; f) Keep area clean and tidy with extra stock and personal items stores under tables, behind the skirting out of public view; g) Agree to abide by the rules and regulations of Alberta Health Services as they pertain to the handling of food. All participants selling food must include a photocopy of the certificate of completion of the Food Handing Safety Course, a completed Special Event & Trade Shows Application Form along with their registration h) Supply their own garbage containers and clear their own trash at the end of the day if they are selling or giving away any food items; i) Sign the bottom of the Registration form and consider that form the producer s copy of the Exhibitor s Agreement form. The exhibitor will keep the Exhibitor s agreement (this form) for his/her reference. 3. The agreement will become effective upon receipt of the completed Registration form with full payment, dated at the time of registration. 4. There will be no refunds. The producer will not be liable for refunds or any liabilities whatsoever if the festival is disrupted due to any act of God, strikes, statutes or any case beyond the producer s control. This is an outdoor event, rain or shine and the producer will not be held responsible for shelter, alternate indoor sights or alternated dates in the case of inclement weather.

Important Information Fiestaval Latin Street Festival We will NOT be providing tables with the booth space in 2015 THE HOURS WILL BE: From 11:30 pm to 8:00 pm GARBAGE IS THE VENDORS RESPONSIBLITY: You are required to clean the 10-foot radius around your table, remove all garbage and take it to a LARGE GARBAGE BIN (not to use existing street receptacles). You can get extra garbage bags and a map of all LARGE garbage bins from the Fiestaval office or at the INFORMATION booth on the event day. RECYCLING: Please be good to the environment and recycle! WE RESERVE THE RIGHT TO LIMIT THE AMOUNT OF CERTAIN PRODUCTS SOLD AT THE FESTIVAL. We will be selling our booths on a first come first served basis. After we are at capacity we will no longer accept vendors selling similar items even if you are a long time vendor. VENDORS ARE NOT ALLOWED TO START SETTING UP BEFORE DESIGNATED TIME. If you do not comply, you will be asked to leave the event and will not be permitted to return in future years. You MUST be at your booth location by no later than 9:00 AM to set-up or your table/location will be released back to the Festival without a refund. PROGRAM GUIDE: If you are interested in purchasing an advertisement in our 2011 program guide you will need to do so by no later than August 1 2015.
