Nebraska s Official Soft Drink Heritage Foundation Hastings, NE 68901 To: Festival Food Vendors From: Kool-Aid Days The 18th annual Kool-Aid Days will be August 7, 8, and 9, 2015 in Hastings, NE. The Kool-Aid Days celebration was started to honor Edwin Perkins who invented the popular drink in 1927. The Big changed is our location!!!!! Kool-Aid Days has teamed up with Central Community College and will be located on their campus. We are excited about this change as it will allow us to continue to grow the celebration by adding events and more opportunities. As usual food vendors are invited to be a part of the activities on Saturday, August 7 from 9 am to 9 pm at the Central Community Campus. You will be located near the World s Largest Kool-Aid Stand, the giant inflatables and the Live Stage. Thousands of young and old Kool-Aid fans will be present. We have continued to expand our marketing efforts through regional advertising in magazines, newspapers, radio and television. NTV will be providing on-air exposure for three months in advance of the festival. There will be advertising through brochures and post cards distributed at rest stops along Interstate 80. Digital billboards will be seen in Lincoln, Omaha, Kearney and North Platte. Food vendors are also invited to set up Sunday, August 9 at Lake Hastings. If you have paid your city fees this is another opportunity for you. There will be a 5K Run/Walk at 9 am, Flying Disc Gold Tournament at 10 am and the Koolaid Kardboard Boat Races at 2 pm. We are enclosing the application forms for you to complete to participate in this year s festivities. As usual preference will be given to vendors who have participated with us in past Kool-Aid Days. Please return fill out the application form and release form and mail it to the address at the top of this letter by Tuesday, June 30. Be sure to include your registration fees with the application. Moving Towards a Trash-Free Festival Nebraska s Official Soft Drink Heritage Foundation Guidelines for Food Vendors Kool-Aid Days NO FOAM! The 2010 theme was Keen on Green, and the festival and its producing foundation started an initiative to reduce the environmental footprint of our own operations and to inform and educate our guests on how to do so in their own lives, as well. We continue that initiative in 2015. We encourage all of our vendors like you to do your best to reduce/reuse/recycle as much as possible in your operations and your choice of serving utensils/materials. Last year, we took stock of how our vendors and guests responded to the suggestions we provided our vendors and have assembled the guidelines below based on that experience and feedback. We continue to investigate what other festivals are doing to reduce their carbon footprints, and you may anticipate that, as we learn what works and what doesn t in our environmental initiative, these guidelines will continue to evolve with future Kool-Aid Days. We welcome your participation in this process! If you have any questions or suggestions about any aspect of our movement towards a Trash Free Festival please call or email us. 1) We encourage you to reduce the amount of serving materials you need to provide to your customers by serving finger foods, using napkins instead of plates, when possible, and providing large serving dispensers for condiments. 2) We ask that you use NO expanded polystyrene foam ( styrofoam ) serving containers or cups/ glasses. By our experience last year, it was this material that didn t make its way into the recycling program and generated an unacceptable percentage of our landfill contribution, so we ask that you use alternatives. We are not banning rigid polystyrene (such as beverage covers) or serving utensils, but encourage you to pursue the use of biodegradable plastics for such items, whenever possible. 3) All serving materials given to the customer should be recyclable or compostable. MATERIALS ENCOURAGED Waxed paper Paper or wood Certified biodegradable plastics such as EcoPLA MATERIALS DISCOURAGED #1-#6 polystyrene Aluminum foil Individual packets of condiments There will be recycling bins on site for: #1-#6 Polystyrene * Uncoated Paper * Cardboard (uncontaminated) 4) As part of our education program, we ask that you promote the environmental efforts you are making in your operation and inform your customers where the recycling bins are located. When possible, please tell your customers which recycling category the serving materials you have given them fit in for when they are finished eating. 5) All litter must be picked up from your booth space and immediately surrounding area and properly disposed of in the available recycling bins.
Food Vendor Information Sheet Kool-Aid Days 2015 Food Vendors must be set up by at least one hour before sales open to the public. All food vendors are required to serve the entire open time as stated on the chart below: SATURDAY, AUGUST 9TH Nebraska s Official Soft Drink Heritage Foundation Central Community College Hastings 5-9 pm vending options are available Open 9 am until 9pm Call Tiffany at 402-310-9179 to discuss SUNDAY, AUGUST 10TH Lake Hastings/Kardboard Boat Races Open Noon until 5 pm (opt. open 10 am*) *Lake Hastings vendors may open as early as 10 am on Sunday in order to serve participants and fans for the Fun Run. However, the crowds will likely not provide significant sales until noon and after. All trailers must be clean and in good repair. Each person/company displaying or providing services will be responsible for their own liability, workmen s compensation, product liability or physical loss or damage to merchandise. Please enclose a copy of your insurance certificate with Nebraska s Official Soft Drink Heritage Foundation listed as an additional insured. You must have product liability coverage on your policy of at least $1,000,000. Food vendors will be located on the CCC Hastings Campus across from the Kool-Aid Stand. Lake Hastings vendors will be located around the edge of the parking lot near the boat ramp. Location will be assigned by Kool-Aid Days board member and primarily determined by power needs. Use of a generator is required. Only quiet generators will be allowed. Kool-Aid Days can provide a generator for a charge of $50.00 in addition to your food vendor fee. Vendors are asked to remove vehicles from the streets that are closed for the event and park at a reasonable distance from the event area in order to allow our guests closer parking spots. Vendors are responsible for providing their own electrical cords (up to 400 feet), money, ice, tables, chairs, and any other equipment they require to operate at their location. Please note that power is not available at Lake Hastings and you must provide your own generator. All waste water must be properly disposed of in designated storm drains or waste water facilities. All grease and food waste must be removed by the vendor. NO dumping of grease or food waste anywhere on the grounds at any Kool-Aid Days venue. Vendors must comply with regulations of the Hastings Department of Health. PLEASE return your city occupation tax form and payment to them directly using the address on the form, NOT to Kool-Aid Days. Kool-Aid and bottled water are the ONLY beverages served at Kool-Aid Days. Kool-Aid is only available at the Kool-Aid Stands throughout the festival. Food vendors are allowed to serve bottled water ONLY. No styrofoam serving containers are allowed. Participation in Kool-Aid Days is by approval of the Kool-Aid Days board of directors and executive director after review of applications.
