GENERAL INFORMATION PARKING Greenbelt Marriott is pleased to offer complimentary parking for all guests. SHUTTLE Greenbelt Marriott is pleased to offer a complimentary shuttle to and from Greenbelt Metro Station for all of your guests. GUEST COUNT AND FINAL PAYMENT The final guest count is due to your Event Manager no later than 12:00 noon five business days prior to event. This will be considered your minimum guarantee and is not subject to reduction and charges will be made accordingly. If no guarantee is received, the originally expected attendance on your Banquet Event Order will be used as the guarantee for the event. The hotel cannot be held responsible for service to more than three percent above the provided guarantee if additional guests attend the event. IN HOUSE EQUIPMENT Hotel will provide, at no charge, a reasonable amount of event equipment (for example standard banquet chairs, tables, dance floor, table for DJ, etc.). These complimentary arrangements do not include special setups or extraordinary formats that would deplete the Hotel s present in-house equipment to the point of requiring rental of an additional supply to accommodate the group s needs. If such special setups or extraordinary formats are requested, Hotel will present group two alternatives: (1) charging group the rental cost for the additional equipment, or (2) changing the extraordinary setup to a standard format avoiding the additional cost. PROPOSAL CONDITIONS All prices listed in the proposal are based on the proposed agenda, number of guests, number of guestrooms and length of stay details provided by recipient, thus far. Should the details and dates change, the quoted prices are subject to change. This is a proposal and does not constitute a contract or guarantee of meeting/banquet space. Please note, at this time we are not holding space or rates for your event but would be delighted to do so upon your request for a contract. SERVICE CHARGE & SALES TAX A taxable 22% Service Charge and applicable Maryland State Sales Tax will apply to all food, room rental and other applicable items as specified on the final banquet event orders which will be provided by your Event Manager. A 9% Maryland Beverage Tax will be applied on all alcohol. VENDOR AGREEMENT Vendors, decorations and displays must be approved by the Hotel prior to arrival. The Hotel requires that outside vendors provide an indemnification agreement and proof of adequate insurance (certificate of insurance) in a form and amount reasonably satisfactory to the Hotel. FOOD AND BEVERAGE Due to food safety laws, the Hotel specifically prohibits the removal of food and beverage from the function by the client or any of the client s guests. All food and beverage will be provided by Hotel and will be consumed within the time frame of the event as stated on the Banquet Event Order. Any food or beverages brought into the hotel without prior consent from the Hotel will be confiscated. METHOD OF PAYMENT AND ADVANCE DEPOSIT SCHEDULE An initial non-refundable deposit of 35% is due when the contract is signed. Approximately three months prior to the event, an additional 40% will be due. The final estimated remaining balance is due no less than three business days prior to the event. If the event is cancelled for any reason, the hotel will retain the deposit as a cancellation fee. Scheduled deposits will be outlined on the sales agreement. Acceptable methods of payment are approved credit cards, cashiers check, certified check or cash. The hotel cannot accept personal or company checks within two weeks of the event date. MARRIOTT REWARDS You will receive 3 Marriott Reward Points per catering dollar spent up to a maximum of 50,000 points. SECURITY The Hotel shall not assume any responsibility for the security of, damage to, or loss of any personal property or articles brought into the Hotel or any item left unattended. Should you require security officers for your event, a Marriott security detail can be provided for a nominal fee. Please request more information from your Event Manager.
