Dear Vendor, Thank you for your interest in participating in the 2015 Asian Pacific Lunar New Year Festival (Lunar Fest). Our first 4 years have been huge successes with over 20 thousand spectators in our first year, and in the last year, over 35,000. This has become one of Southern California s fastest growing cultural events in the Region, where you can enjoy a festival of parade, music, market, fashion, art, culture, live performances, fireworks, and FOOD all in one day. Space is limited for this coming event, please submit your application promptly. The following is required and must be received by our office on or before December 31, 2014. APCA - Lunar Fest 2015 Attn: Vendor Coordinator 231 E. Alessandro Blvd. #A194 Riverside, CA 92508 1. Complete Booth Application and Fees - Attach and send application and payment for booth fees, made payable to APCA-Lunar Fest 2015. If you would like to pay via PayPal, please visit our website www.lunarfestriverside.org/vendor-information. All Applications & Fees are due no later than Dec. 31, 2014. No Vendor will be accepted without proper fees and documents. 2. A Separate Cleaning Fee Check of $50 is required (payable to APCA-Lunar Fest). Inspections will be conducted at the conclusion of the event; vendors who have adequately cleaned their booth areas will receive a refund via mail within 20 days of the event. 3. Furnish Certificate of Insurance naming the Asian Pacific Cultural Association and the City of Riverside (3900 Main St. Riverside, CA 92522) as Certificate Holders, with comprehensive general liability coverage of a minimum One million per occurrence and One million aggregate limit. 4. Complete Media Release Form 5. Food Vendors, complete the attached Riverside County Community Event Temp Food Facility Operators Agreement Form, attach to APCA-Lunar Fest 2015 application and fax a copy to Riverside County Department of Environmental Health (951) 358-5017. 6. All Food Vendors must comply with all City and County Fire Codes (Vendor must bring appropriate working and Certified Class K Fire Extinguisher(s) per City of Riverside Fire Code: CFC 904.11.5.2 & 906. ) Attn All Vendors: The Event Committee reserves the right to refuse any application for any reason. 2015 Vendor Application Event Date: Saturday, January 31, 2015 Downtown Riverside on Mission Inn Avenue and Lemon Street Set up 7:00 am - 9:30 am, Hours of Operation: 10:30 am - 7:00 pm - NO EXCEPTIONS Applications for booth space in the Lunar Fest event is hereby made subject to acceptance by the Festival Committee. All booth spaces are 10 x10. Applicants may have as many spaces as they need to be put together as one booth, but not more than 7 spaces without a separation. APCA-Lunar Fest will NOT furnish any tents, tables, chairs or decor. Power is NOT Available. ALL Vendors must furnish own Quiet Generator & Lighting. All Vendors must offer a minimum of 30% in Asian Food/Products. All Vendors must decorate in an Asian Theme for this event. Vendors that do not adhere to these requirements will be asked to leave with No Refunds. NOTE: ALL VENDORS WILL BE REQUIRED TO SUBMIT A CURRENT BUSINESS LICENSE, SELLER S PERMIT AND PROOF OF LIABILITY INSURANCE WITH YOUR APPLICATION SPACE IS LIMITED, PLEASE SUBMIT BY 12/31/14 Booth Fees are as follows. All health permits will be covered under the Temp Food Permit for APCA-Lunar Fest. Food Vendors may sell any drink other than any form of canned or bottled soda or water. APCA-Lunar Fest will sell these products exclusively. 3. All vendors must submit photographs of their booth(s) including signage, product, and set-up. 4. Space will be assigned only after application has been approved by APCA-Lunar Fest, and is done on a first-come first-served basis. Locations will be assigned by the Committee in the best interest of the Lunar Fest as a whole. 5. Once this application is approved by the APCA-Lunar Fest, space fees paid will not be refunded. All approved vendors will be notified of their booth space number(s), with regulations and a map within a week prior to the event date. 6. Vendor agrees to indemnify, defend and hold harmless, the Asian Pacific Cultural Association, Lunar Fest 2015 and the City of Riverside, from and against any and all loss, damage, claim for damage, liability, expense or cost, including attorneys fees, which arises out of, or is related to, or is in any manner connected with Vendor s participation in the Fifth Annual Asian Pacific Lunar New Year s Festival. This indemnification provision shall apply to any acts or omissions, willful misconduct or negligent conduct, whether active or passive, on the part of Vendor or of anyone employed by or working for Vendor. 7. Hand washing facilities shall be provided at operations handling any open food. Hand washing facilities shall be properly stocked and used as often as necessary to keep hands clean and protect food from cross-contamination. Note: gloves and/or hand sanitizer are not approved replacements for hand washing. All food and beverage items will be stored, displayed, prepared/ processed at an approved food facility and not a private home/residence. Cold and hot holding equipment shall be provided to ensure proper temperature control during transportation, storage, and operation of the temporary food facility. All potentially hazardous foods will be held at or below 45 F or at or above 135 F. At the end of the operating day, any foods held above 41 F shall be disposed of. Thermometers shall be provided to monitor temperatures. Service ice is considered a food and shall remain off the ground, stored in clean sanitized food grade containers and properly dispensed by operator of temporary food facility or in approved bulk dispensing units. All equipment shall be maintained in a clean and sanitary condition. Equipment shall be washed in hot (minimum100 F) soapy water, rinsed and sanitized either in a 3-compartment ware washing sink or 3-bucket system as approved by this Department depending on length of event. Sanitizer testing equipment shall be provided to measure concentration of sanitizer. Operations handling any open food must provide completely enclosed booths. Contact this Department for approval of alternative food protection means. Significant changes of Menu items shall be discussed and approved by this department.
