All of the food we serve is prepared in-house, fresh, and specifically for you. The Rooms Our function space is comprised of the Georgetown Ballroom, which is divisible into three smaller rooms, and the Cleveland Park Executive Boardroom. We can certainly accommodate about 10% more people than these quantities suggest, but we feel that your comfort is our main goal and the starting place for a successful event. Deposit A non-refundable deposit of 50% of the Room Charge plus the Food and Beverage Minimum (Minimum Expenditure) is due upon signing the contract. Final Menu and BEO All menu selections and choices must be submitted to the Hilton Garden Inn no less than fourteen (14) business days prior to the event. Once the final menu has been received, a Banquet Event Order (BEO) will be issued summarizing the menu, room set-up, room name, audio visual needs, expected attendees, start and completion times of the event and event posting name. You will also receive a Pro Forma Invoice outlining the total expected charges for the event. At the submission of the final menu and BEO, the remaining 50% of the Minimum Expenditure is due. Final Guarantee and Payment The Hilton Garden Inn requires payment in full prior to execution of the event. This payment is due, along with the Final Guaranteed number of attendees, five (5) business days prior to execution of the function. The Final Guarantee will be the total cost to execute the function for the number of guests guaranteed to attend. The Final Payment is due with the Final Guarantee five (5) business days prior to the function. The Final Payment is generally the difference between the Minimum Expenditure and Final Guarantee. The Final Guarantee cannot be lowered and will stand as the guarantee for all charges. The Hilton Garden Inn will charge each additional guest, over and above the guarantee, the full per person amount. The Hilton Garden Inn will not execute a function without full pre-payment, confirmation of a valid Purchase Order, or extension of credit terms after completion of Credit Applications. Credit will only be extended to regular, pre-existing clients of the Hilton Garden Inn who have submitted a Credit Application. Cancellation Should you have to cancel your event after signature of the contract, the Hilton Garden Inn shall collect, as liquidated damages, the following percent of the Minimum Expenditure: Days prior to function % of Minimum Expenditure Greater than 90 50% Between 31 and 89 75% Less than 30 100%
Time Frames Rooms are available for use by clients during the prospective time frames and events are not to exceed time frames allocated. Should your event go past the scheduled end time, a $250.00 per hour charge may apply. In deference to our hotel guests, all events must end by 11:00pm. Room Assignment The Hilton Garden Inn reserves the right to move groups to comparable rooms at their discretion. Service Charges Supplementary Service Charges will be added to the event s subtotal. The Overall Service Charge of 20% is on the entire subtotal of the function. Sales Tax The Sales Tax in the District of Columbia is 10% and applies to all charges, including Service Charges. Tax on Audio Visual rentals is 5.75%. Additional Policies Insurance and Health Department regulations prohibit us from giving extra or leftover food, and any beverages for guests to remove from the hotel. The Hilton Garden Inn reserves the right to refuse alcoholic guests to any guest, for any reason. The Hilton Garden Inn does not permit excessive alcohol consumption. No one under the age of 21 is permitted to consume alcohol, and anyone at an event attempting to procure alcohol for someone underage will be asked to leave. Out of respect for other functions and hotel guests, The Hilton Garden Inn reserves the right to limit music volume at their discretion.
