Wedding Guidelines Congratulations on your very special day and thank you for choosing the Hilton Baton Rouge Capitol Center to be a part of this memorable occasion! To ensure that your wedding day is problem-free, we have put together some guidelines for your review. Again, thank you for choosing the Hilton Baton Rouge Capitol Center. 1. FOOD AND BEVERAGE The Hotel does not permit outside food or beverage on the premises; nor does the Hotel permit the removal of food and beverage at the conclusion of the event. The Hotel s Chef will prepare a meal for the Bride and Groom and the Parents of the Bride and Groom if they have reserved rooms at the hotel. This will be delivered at the conclusion of the reception. 2. ALCOHOL The Hotel reserves the right to refuse alcohol to any guest who appears to be intoxicated or underage. Should any wedding guest act inappropriately, hotel Security will remove them from the premises. 3. GUESTS You are responsible for all of your guests. We expect that all guests act appropriately and are respectful to all staff members, you, your guests, and all hotel guests. Should any one guest behave in a disrespectful manner, they will be removed from the premises by Hotel Security. 4. PAYMENTS An initial deposit of 25% of projected revenues is required upon signing of the contract. A second deposit of 25% is required 90 days prior to the event date. The remaining balance is due ten business days prior to the event date. Payment can be made by credit card, personal check, or certified check. The hotel requires a valid credit card to keep on file should you choose to pay with personal check. 5. MENU All menu selections are to be finalized four weeks prior to the event. Your Catering Sales Manager must have an approved and signed banquet event order on file ten business days prior to the event. 6. SET -UP The Hilton Baton Rouge Capitol Center has the sole discretion to set up tables, bar(s), etc. as appropriate. We will do everything we can to accommodate our clients set-up requests. Our standard set up time for wedding receptions is three hours. We ask that vendors come and set up in this three hour window. 7. LI NENS Our standard table linens are ivory and our standard skirting is gold. Our standard linens are provided at no charge. Our Catering Department can assist you with the rental of specialty linens. 8. CAKE KNIFE, GUEST BOOK, CHAMPAGNE FLUTES, FAVORS, ETC. Any items that you would like to use for the event, must be given to your Catering Sales Manager one day prior to the event. All items must be picked up no later than two business days after the event. The Hotel staff is not responsible for damage of personal items during or after the event. Wedding Guidelines (cont.) 9. DELI VERIES All deliveries must be approved by your Catering Sales Manager. Our standard set up time for wedding receptions is three hours. We ask that vendors come and set up in this three hour window. 10. WEDDI NG CAKES We ask that cakes be delivered no more than 90 minutes prior to the event. Cakes will not be stored in the Hotel cooler and must be set up by the cake vendor. A member of our Banquet Staff will cut the cake, unless you have a designated person to do so. Cake accessories, such as platforms, columns, etc. must be picked up no later than the next business day. 11. BRI DE AND GROOM SEND OFF Sparklers, rose petals, bubbles, bird seeds, etc. will only be allowed outside of the hotel entrance for the Bride and Groom Send Off.
