G e n e r a l I n f o r m a t i o n Catering Policies Menu selections, room requirements, expected number of guest and all other arrangements must be received 30 days prior to the function. In the event of bookings made within 30 days of the event date, all arrangements must be confirmed at the time of contracting. No food or beverage, alcoholic or otherwise, shall be brought into the hotel by the Patron or Attendees from outside sources. If food is found in the function space from an outside source, a non-negotiable fee of $100.00 will be charged to the Master Account for the event. The hotel reserves the right to prohibit the Patron from removing from the premises any food or beverages provided under this agreement. Due to cross contamination and safety issues, all food or alcohol prepared by our catering department must be consumed in the meeting/banquet areas at the time of the function. It is the responsibility of the contract signor to relay the information herein to the on-site contact and attendees of the event. The Hilton Garden Inn Lancaster, as a Licensee with the Pennsylvania Liquor Control Board, is responsible for the administration of the sale and service of alcoholic beverages on the premises. Therefore all alcoholic beverages must be supplied by the hotel. If alcoholic beverages are to be served on the hotel premises, the hotel will require that beverages be dispensed only by the hotel servers and bartenders. As required by law the hotel will (1) request proper identification (photo ID) of any person of questionable age and refuse alcoholic beverage service if the person is either underage or proper identification cannot be produced and (2) refuse alcoholic beverage service to anyone who, in the hotel s judgment, appears to be intoxicated. Taxes All room rental fees, audio visual equipment, food and beverage charges and any other hotel charges are subject to tax. Tax exempt individuals or groups will be required to provide a copy of their tax exemption paperwork to the hotel no later than 2 weeks prior to the date of the event. Final Attendance Guarantees Confirmation for the number of guests in attendance must be received by noon, four business days prior to the event start date. This count will be considered a minimum guarantee for which you will be charged, even in the event fewer guests are in attendance. An increase in the guaranteed attendance will be accepted up to 48 hours prior to the function. If a guaranteed guest count is not provided by the designated time, the origianl guest count will be used as the final guarantee. Function space will be setup according to the Banquet Event Order based on the guaranteed guest count. If a change from this setup is requested on the day of the function, an additional setup fee of $35.00 will be added to the Master Folio.

P a y m e n t & D e p o s i t P o l i c i e s Deposit Requirements An advanced deposit of 25% of the Projected Total Revenues of $100 (whichever is greater) by valid credit card or prepayment by check is required with copy of signed contract to guarantee the function. No reservation is considered guaranteed until the signed contract and deposit have been received. All advanced deposits and payments will be forfeited in accordance with the cancellation policy outlined below. Payment Methods Check or money order payments must be received fourteen (14) business days prior to the function. Checks must be from a business or organization account, personal checks will not be accepted. Credit Card payments require a completed credit card authorization form which must be received a minimum of seven (7) business days prior to the event. Direct Bill is available for companies with established credit with the Hilton Garden Inn Lancaster. Cancellation Policy Cancellations must be made with the Hilton Garden Inn Lancaster sales office. All cancellations must be confirmed in writing. Customer and hotel agree that due to the difficulty of ascertaining Hotel s actual damages in the event that the Customer cancels this agreement, Customer agrees to pay as liquidated damages and not as a penalty, a cancellation fee based on the schedule set forth below. Projected Revenues refers to the total of revenue based on the meeting room rental fee, agreed number of attendees and the total number of room nights stated in the agreement.
