The hst purchases and delivers the alchl t Hycrft, and Hycrft staff will serve all alchlic beverages. The bar must clse by 10:30pm. All liqur must be remved frm the premises at the end f the event. Hycrft will prvide standard bar glasses, ice and a Bartender fr $5 per guest plus applicable taxes. Menu Selectin & Guarantees Our team requires that yur menu and guarantee number f guests must be finalized 30 days prir t yur event. It is the sle respnsibility f the client t prvide this guarantee t the Event Sales Crdinatr during nrmal business hurs frm 9-5pm with a minimum f ne week prir yur event. The cnfirmed number cnstitutes the guarantee. If less than the cnfirmed number f guests attends the functin, the riginal guarantee will be assessed. Depsit and Payment Requirements T make a reservatin fr yur event date, a nn-refundable 50% Rm rental depsit and a signed cntract are required. We als require a valid credit card number t be kept n file regardless f whether yu chse t pay by cash, cheque, r credit card. 60 days prir t yur event, the nn-refundable remaining balance f yur rm rental and a 50% depsit f yur catering estimate ttal needs t be paid. Tw weeks prir yur event, a nn-refundable final depsit based n yur final numbers balance is required. If there are any extra charges during yur event, the balance will be prcessed t the credit card n file unless the Event Sales Crdinatr has agreed t anther frm f payment.
Cancellatins All cancellatins must be submitted in writing t the Event Sales Crdinatr. The depsit amunts are nn-refundable and any cancellatins will be charged fr the full depsit pre paid when canceling. Guaranteed numbers Yur menu chices and final number f guests, is required n later than the Friday at 12pm f the week prir t yur event. It has t be cmmunicated by email during nrmal business (Mnday t Friday) hurs frm 10 a.m. t 5 p.m. If less than the cnfirmed number f guests attends the functin, the riginal guarantee will be assessed. Guest Parking There is limited cmplimentary parking in Hycrft s parking lt, and an abundance f free public parking n McRae Avenue, and The Crescent. Hycrft parking lt is private prperty, there is reserved parking n weekdays (Mnday thrugh Friday) fr up t 2 vehicles fr rganizers. This must be arranged with the Event Sales Crdinatr 48 hurs prir t the event and registratin f vehicle license plates is required. Unauthrized parking will be twed. On weekends (Saturdays and Sundays), there are 20 parking spts available. N registratin f vehicle license plates is required n weekend. Smking Hycrft is a smke free facility. This includes all interir spaces, and exterir lcatins (including the terrace, gardens, and parking lt.) There is an ashtray prvided in the parking lt.
Furniture Arrangements fr use and relcatin f all Hycrft furniture, and/r pians must be crdinated with and authrized in advance by the Manager Hspitality. Any furniture and/r pians that are mved withut advance ntice r authrizatin will subject the renter t a $500 fine. Disabled Access Due t the nature f ur heritage prperty wheelchair access is available nly t the main flr by ramps at the frnt dr and n t the terrace. Miscellaneus Hycrft management reserves the right t inspect and cntrl all private functins. Hycrft will nt assume the respnsibility fr the damage t r lss f any merchandise r articles left in the event facility prir t, during, r fllwing an event. The guest agrees t be respnsible fr the cnduct f his/her guests and fr any damages dne t the premises during their event r fr any damages dne by an independent cntractr hired by the guest.
