General information and bye laws Behavior: Members are responsible for their functions and the behavior of their guests. Billing: Payment can be settled through a third party by cheque or credit card on the night of the event, otherwise the total amount will be charged to the Members account. Reservations: Will be taken on a first come first serve basis, in order to make a reservation Member must supply all necessary function details such as expected attendance, nature of function, date of function, budget for function, Menu requirements, if these details are not provided we cannot make a room reservation. CANCELLATION POLICY:Cancellations of event bookings must be made in writing to catering@usrc.org.hk and received no less than 7 working days prior to the event date. 100% of the agreed price will be levied if the notice of cancellation is given within 48 hours of event date. 50% charge will be levied if the notice of cancellation is given with 72 hours of the event date. No-show: In the event of No-show a charge equivalent of the combined agreed price will incur and charged. DEPOSIT: A deposit of 30% will be settled by the club membership card for the event date, by deadline. The deposit is non-refundable and non-transferable. Children parties: No Children s parties are permitted in the Garden Marquee. Sound policy: The Garden Marquee has a strict sound policy which must be followed at all times, our Banquet sales staff will give you a copy of this. Not following the sound policy will result in sound equipment to be shut off during your event. Dress code: Smart Casual Food from outside: No food from outside is allowed to be served in the Garden Marquee, with the exception of wedding/birthday cakes Press: In no circumstances will Press photographers or reporters be permitted to enter the Club in an official capacity. Publicity: The commercial promotion or publicity of private functions is prohibited. Other facilities: The Club s other facilities are not for use of Garden Marquee events. Damages: The organizer accepts full responsibility for any damage that may occur to the Club s property during the event and will reimburse the Club for such. Cleaning charges: If an event has caused excessive wastage, dirt and necessity for clean up after the event a surcharge may be required to cover this cost.
Venue decoration: The venue maybe decorated by yourself or a designated decoration company, the decorations are not allowed to damage any club property, decorators are not allowed to bring in any flammables, no gas filled balloons, no pyrotechnics are allowed, no flaming candles are allowed. Any decoration materials used must be fire safe. Electrics for stage lighting etc. must be safe and checked by the staff in charge before the decoration company can leave the premises. This is the responsibility of the event organizer. Weather policy: In case of adverse weather, a typhoon or a Black Rainstorm warning, the event may be postponed to a later date, subject to availability and confirmation by the Club. For outdoor events, the Club does not accept responsibility for adverse weather conditions; if an alternative venue should be required; kindly make arrangements with our Catering Department. If Typhoon No. 3 or No. 8 is raised, any event in the Garden Marquee within 24 hours of the event date might be postponed or cancelled as a safety precaution. Once Typhoon No. 8 is lowered to No. 3, the club requires 48 hours for setting up the Marquee. USRC CLUB SOUND RESTRICTION: Amplified sound and bands are allowed, however it must be taken into account that sound supplied should be limited to inside the marquee only! If a ceremony is to be held outdoors we can make an exception and provide an amplified system at very low volume levels to accommodate this. Sound Checks are limited to 15 minutes total time for both band and sound system inclusive! There will be no amplified equipment in use in the Garden Marquee until 6 PM (applies to Saturdays, Sundays and Public Holidays only) After 11 PM only soft background music may be played. No more live music no more speeches only very soft background music allowed. The sound system cabinet can only be adjusted by USRC staff! We thank you for your understanding and cooperation. I am sorry but we do not allow playing Karaoke in the marquee If an event or part of it is hosted outdoors with amplified sound, an exception can be made with the prior approval of the Food & Beverage Manager. Sound levels will be restricted, not becoming a nuisance to other Members of the Club. Acoustic sound is allowed at outdoor areas provided bands are no bigger than 4 pieces. Special terms and conditions for banquets at the Garden Marquee: The Garden Marquee can cater to a maximum of 16 tables of 12 people for Chinese dinners, 20 tables of 10 people for Western dinners, 20 tables of 12 people for the buffet style weddings; we apologize if this causes any inconvenience. For other events depending on its nature the maximum capacity can be up to 300 people. * Tentative bookings are only valid for a maximum of 3 days; if no deposit and confirmation is received the booking will be cancelled. The minimum spend HK$ 100,000 on food & beverage.
