HOW TO ORDER... Please give as a minimum of 48 hours notice if you require our services. Even if some details are not finalised, a provisional booking can be held for you and we can plan accordingly. Bookings can be made by emailing (eat@swansea.ac.uk), or phone (ext 2345). We will need the following information: The name of the person making the booking with contact details Department Department recharge code (i.e. CTT 100 590) this is required to confirm your booking Internal recharge number Date of event Time of delivery Building and room number for the delivery If you have any additional requirements please contact us on the above number a member of staff will be only too happy to assist you.

Swansea University - Hospitality Menus TERMS & CONDITIONS FOR FUNCTION BOOKINGS Minimum charge - 25.00 for each delivery This is not a surcharge - the minimum value of any catering order must be at least the charge specified or the difference will be added to the invoice. RESERVATIONS... Please confirm all bookings in writing by email: eat@swansea.ac.uk Early booking is recommended to guarantee menu availability Substitution of menu items will be avoided but may be necessary on occasion All buffet prices are per person unless stated VAT is not applicable on food (including tea/coffee) if invoices are paid via internal recharge codes VAT is always applicable on soft drinks and alcoholic beverages Between 11.30am and 2.00pm priority is given to food deliveries, we may not be able to accommodate bookings for beverages only. This will not apply to bookings for beverages with our delivered buffet service. AMENDMENTS... Please alert us to any changes to bookings as soon as possible, preferably by email Final numbers must be confirmed at least two working days in advance of the event. We will do our best to accommodate changes within one working day of an event but substitutions may be made for some menu items. DRINKS... Alcoholic beverages are available on request. CANCELLATION... Written confirmation is required for all cancellations, preferably by email The full cost of the event will be charged if less than 2 working days notice of cancellation is received. DELIVERIES... It is the client s responsibility to arrange admittance at the point of delivery and ensure that rooms are accessible. If the room is not accessible the order will be left outside the specified room, the Catering Department are unable to take responsibility for any items that subsequently go missing. The provision of tabling (including for the service of catering) is the responsibility of the client. Please ensure that you have provided sufficient table space for us to lay out your catering order at your venue.

The client is responsible for ensuring that all tableware and equipment is kept in a safe place until collection. A replacement charge will be made to the client for lost or damaged equipment. Bin bags are provided. Please tidy any leftover food and rubbish away. Disposal of the left over food and tableware, from disposable buffets is the responsibility of the client. Drop off deliveries - please repack equipment ready for up lift OUT OF HOURS SERVICES... We are happy to discuss events before 8.30am and after 5pm during weekdays and weekend. These events will be subject to a labour cost surcharge. FORCE MAJEURE... Substitutions - We reserve the right to substitute products with suitable alternatives without prior knowledge, if items are unavailable. Campus Catering shall not be liable to the client in the event that it is unable temporarily to provide catering for any reason beyond its control provided that Campus Catering will use all reasonable endeavours to make suitable alternative arrangements in such circumstances. Catering Services will not accept liability for illness or deterioration of products if food is consumed after 3 hours of delivery time. STORAGE RECOMMENDATIONS... All food is delivered in thermal boxes. When your food is delivered please store it carefully away from direct sunlight or heat sources. Keep food covered until it is required to ensure freshness Food deteriorates when left out at room temperature. Food safety guidelines recommend consumption within 3 hours of receipt. ALLERGY INFORMATION Food Information to Consumers regulation is a new EU law covering all aspects of food labelling and allergen information, which will apply from 13th December 2014. For packaged foods the main change will be that the 14 listed allergens will be highlighted in bold where they appear in an ingredient list. The 14 allergens are cereals containing gluten, crustaceans, eggs, fish, peanuts, soya, milk, nuts, celery, mustard, sesame, sulphur dioxide (above 10 ppm), lupin and molluscs. Customers must always read the information appearing on the product label; this is the only accurate representation of the allergen information. This is particularly important because, where recipes and/or formulations are changed by the suppliers, the information on this page may be inaccurate for a period of time, until such time as catering department is notified by the relevant supplier, and such changes have been uploaded. It is also important to note that the information provided by campus catering will not address any potential cross-contamination issues that individual products may encounter whilst at a customer s event. We have taken, and will continue to take, all reasonable steps to ensure that the Site and all information which is published on the Site are accurate.
