General Information Welcome to the Embassy Suites Detroit Troy/Auburn Hills. We look forward to serving you and your guests. Our staff will assist you in every way possible to prepare for your very special occasion. Rental charges apply to all rooms used for functions booked through the Hotel. The following will help us together to ensure success. Food and Beverage No food, beverage, or alcoholic beverage product or service may be brought into the hotel by patrons attending a function or banquet without special written permission of the Hotel. The Hotel reserves the right to levy a surcharge of such services. The Hotel reserves the right to inspect and control all parties, meetings, receptions, etc. being held on the premises. All Federal, State, and Local Laws with regards to food and beverage purchases and consumption are strictly followed. All food and beverage must be purchased through the Hotel unless otherwise instructed. Food and beverage items cannot be taken off the property. All banquet menus and prices quoted are subject to change without notice. Please contact the Catering Office for current menus and price quotes. In the unlikely event the Hotel is unable to provide the contracted function space the Hotel will provide a comparable alternative arrangement. Determination of a comparable alternative arrangement is within the Hotel s sole discretion. If the customer does not approve of the comparable arrangement the Hotel can terminate the contract without penalty and the Hotel is released for any liability associated with the function, program or event. Function Liability Charges for damage to the premises by any guest, invitee, or other person attending a function will be charged to the persons responsible for hosting the event. The Hotel will not assume responsibility for damage or loss of any merchandise or materials. Page 39

General Information Guarantees Confirmation for the number of guests to be served must be received no later than 10 business days prior to the scheduled function, otherwise the Hotel will consider your originally expected number of people to be the guarantee for all charges. All charges will be based upon the guaranteed number or the actual number served, whichever is greater. The guarantee number can be increased within 72 hours; however the number cannot decrease. The Hotel will be prepared to serve 5% above the guaranteed number specified but reserves the option to substitute meals of equal or greater value should the actual meal count exceed the 5% average. Hotel reserves the right to change room assignments should attendance drop or increase, without prior notification. Service Fees & Taxes A 21% service charge and 6% MI sales tax will be added, when applicable, to all food and beverage, audio visual and room rental ordered through the sales department. Loss & Damage The Hotel will not permit the affixing of anything to the walls, floors or ceiling with nails, staples, carpet tape or other substance. Please consult with our Catering Department for assistance in displaying of all materials. Special engineering requirements must be specified to our Catering Department at least three weeks prior to the function. Changes will be based on labor involved and power drain. A wide selection of audio visual equipment and services are available through our off site supplier on a rental basis. Orders may be placed through the Sales Department. Cancellation Policy Should it become necessary to cancel or substantially reduce your contracted function the Hotel will be entitled to liquidated damages based on the scale provided in the catering contract. General Information Billing and Credit Deposit Payment method of choice is non-refundable. Credit Card The accounting department will be calling the bank one week prior to your arrival to place a hold on funds for the estimated balance of your event. The final balance will be charged to the card within 5 business days following your event. A copy of the invoice(s) and the folio of charges to your card will be e-mailed to the contact listed after the card is charged. Cash or Cashier s Check final balance due 3 days prior to event arrival. Personal/Company Check Not accepted less than 20 business days in advance. The only methods of payment accepted 19 business days or closer to your groups arrival are: Cash, Cashier s Check and Credit Card. Should additional people arrive unexpectedly the day of your event, payment is required prior to the food being prepared for them. Tax Exempt Status Payment method and tax exempt form must be in the same name. Any payments made with cash, cashier s check, personal check or personal credit card do not qualify for tax exemption. If you prefer to use a combination of methods, please inform your sales representative at the time the contract is signed. SPECIAL NOTE: A credit card is required to be on file regardless of the method of payment chosen. It will be used if no alternate method of payment is provided for additional costs on the day of your event (i.e. additional people). Advance Shipping Guide The customer is responsible for the arrangements and all expenses of shipping materials, merchandise, exhibits, or any other items to and from the Hotel. The Hotel is not responsible for damage or loss of any items left in the Hotel prior to or following any function. The Hotel accepts no responsibility for goods shipped to the Hotel prior to scheduled functions or left after a function is completed. The Hotel will accept packages two working days prior to the function. Parcels will not be accepted on pallets or skids and the shipper will be responsible for loading and unloading of packages into the Hotel.
