POLICIES CANCELLATION Cancellation of your event must be in writing. The hotel reserves the right to assess a cancellation fee. These fees are based on estimated revenue of your event. Please refer to your contract for specific information regarding the cancellation of your event. LIABILITY The hotel shall not assume liability for any damage, loss of merchandise or articles left in the hotel prior to or following a banquet or meeting. The hotel is not responsible for damage caused by acts of God. Arrangements for security of exhibits, merchandise or meeting room articles may be set up through our Event Management Team. The hotel has the right to monitor and control all events in the facility. Costs to repair damages to the premises, if they should occur, will be charged to the group, or person, making arrangements for the event. All items related to the event must be removed immediately following the conclusion of the event. DEPOSITS A non-refundable confirmation/cancellation deposit is required with a signed contract in order to hold the requested date and space. All pre-payments are non-refundable in the event of a cancellation. Deposits will be applied toward the final balance due. Please refer to your contract for specific information regarding the cancellation of your event. SMOKING POLICY Smoking is prohibited inside the hotel and only permitted in designated areas outside the hotel. ROOM SET-UP & ACCESS TO FUNCTION ROOM Function rooms will be set for the final guarantee attendance number unless a different (over-set) number is received by the hotel from the event planner in advance. If set-up changes are requested once the room is already set, the client will be assessed a charge of $50.00 per hour with a one hour minimum. For your convenience, functions will be fully set and ready 1 hour prior to your event s posted start time. For weddings, the room will be set and ready by 11am the morning of the wedding. Arrangements may be made in advance for access greater than these times for an additional fee. ROOM ASSIGNMENT Rooms are assigned according to the anticipated number of attendees. If your numbers increase or decrease, we reserve the right to re-assign your group to a room that is more appropriate. The starting and ending times of your event must be followed as contracted, as other groups may be using the same room prior to, or after your event. MENU SELECTION Your menu selection should be submitted to the DoubleTree by Hilton Lafayette East no later than 30 days prior to your scheduled event. Banquet events will not be executed without a signed banquet event order and signed contract. GUARANTEES The guaranteed number of guests is required no later than 72 business hours prior to the function and is not subject to reduction after the stated time period. Final billing will be based on guaranteed number or actual attendance, whichever is greater. BILLING Payment for all events must be received 72 hours prior to your event unless credit has been established in advance. Direct billing privileges must be established at least 30 business days prior to your event date. FOOD & BEVERAGE It is the policy of the DoubleTree by Hilton Lafayette East that all food (with the exception of special occasion cakes), nonalcoholic, and alcoholic beverages must be purchased from our facility due to the State of Indiana Liquor Laws and the Indiana State Board of Health. The hotel reserves the right to end any event if policies are not followed. Food and/or beverage provided by the hotel will not be allowed to leave the hotel at the conclusion of the event. No person under the age of twenty-one (21) shall be served alcoholic beverages under any circumstances. The hotel reserves the right to stop bar service for any group or guest at its discretion. MINIMUMS A food minimum of $6,000, plus tax and gratuity, is required for all events held on a Saturday evening (any time after 3:00pm) in the DoubleTree by Hilton Lafayette East Westwood Ballroom. SAFETY & SECURITY Local and state fire codes must be observed. Fire exits, aisles and equipment must not be obstructed in any way. Should the hotel deem the event necessary of having security, security guards will be provided at the expense of the client. STORAGE Packages may be sent to the hotel 3 days prior to the scheduled banquet or meeting. Packages should be clearly marked with the onsite contact name, meeting name, and arrival date. If excessive storage or handling is required there may be an additional fee. Storage arrangements must be made with our Event Management Team. TAX EXEMPT STATUS The Indiana Department of Revenue has the position that only FUND RAISING events are exempt from Indiana sales tax with respect to food and beverage. The hotel must have a copy of the tax exempt certificate on file prior to the event. Alcoholic beverages are not tax exempt.
