THE SWAN AT HAY The Swan at Hay is a Grade II listed Georgian hotel on the Wales/ Herefordshire border. From the moment that you arrive you will find first class hospitality and friendly, efficient service. We provide all the ingredients to create a magical wedding day for you. From our extensive experience in hosting weddings and parties to our individuality and charm, we will provide expert advice which will take away many of the concerns you may encounter when organising your special day. Each wedding day is tailored to your individual requirements but you will find some great menus and drinks ideas in the brochure to help you with your planning. If you would like something specific then please do ask and we will do our best to help. CEREMONIES At The Swan at Hay we are licensed to hold your wedding ceremony, and The Garden Room overlooking the beautiful hotel gardens is an ideal venue. Should you require a more intimate ceremony, The Heron Room is suitable for smaller numbers. (You are required to contact the Registrar at Brecon or Hay-on-Wye to confirm the arrangements.) The hire charge for your wedding ceremony is: Heron Room (maximum 20 guests) 150 The Garden Room (maximum 90 guests) 250

WEDDING PACKAGES The Coach House seats up to 120 guests for your wedding breakfast, or alternatively the Garden Room overlooking the terrace and gardens can seat up to 50 guests. The wedding package offered at The Swan at Hay includes: 3-course wedding breakfast with coffee White linen tablecloths and napkins Wedding menu and place cards for each table The use of wedding cake stand and knife The provision of a changing room at the hotel for use of the Bride and Groom during the day (provided a minimum of 50 guests) Organisation and toast master services Help with arrangements and speeches Full use of the hotel s walled gardens for your photography Special accommodation rates can be arranged for all your guests in our newly refurbished bedrooms The hire charge for the Coach House for your wedding breakfast is 1000.00, including bedrooms 1,2,3 & 4 for the night of your wedding.

TERMS AND CONDITIONS Provisional bookings can be held for two weeks whilst you make your final decision and check the dates with the registrar or church. To secure your date a 750.00 non-refundable non- transferable deposit is required along with a signed copy of the terms and conditions. Payment can be made by bacs, cheque or debit card. A 2% charge is made if paying by credit card. A further 50% of your estimated final balance will be required six months prior to your wedding day. This payment is also non- refundable and non-transferable. Interest will be charged at 5% above base for any late payment. Your final details meeting will take place 2-3 months prior to your wedding to discuss your arrangements in full, menus, accommodation requirements and other special requests that you may have. Final numbers and full payment will be required 28 days prior to the date of your wedding. Cancellations and postponements by the client must be in writing and will result in cancellation charges being incurred. These are detailed in full on the copy of the terms and conditions supplied by the hotel. Any additional costs incurred on the day will need to be settled on departure. Menu prices are based on you selecting one dish for each course for one menu. The same menu will be served to all guests except for vegetarians and those with special dietary requirements. Any choice menus required will incur a supplement, please discuss this with your wedding coordinator at you appointment. Please inform us in advance of any special dietary requirements or allergies so that we cater accordingly. Children under 2 are free, children aged 2 to 12 are charged at half the adult rate or alternatively a special children s menu can be arranged. The Swan reserves the right to amend any prices or menus as necessary. Special accommodation rates can be arranged for your guests. We are happy to reserve rooms for your guests to book individually for which a non- refundable, non-transferable deposit will be required. Any additional rooms may be offered at higher rates subject to availability.
