2 WELCOME Town Centre VENUES Whether you are planning a festive cocktail party, a formal dinner or a monthly board meeting, the evocative surroundings at the Town Centre Vikings will impress. With an abundance of natural light both the Athllon and Rowland Rooms are grand atmospheric spaces, ideally suited to cocktail style events, corporate banquets, wedding receptions and private events. For the more intimate gatherings the sweeping views of the Brindabella Mountains provide a comfortable and stylish atmosphere for private lunches or dinners within the Back of Baamoo, Private Dining Room. RESTAURANT BaaMoo Bistro & Grill features fresh seasonal produce, mouth watering steaks and seafood in a traditional modern Australian menu. Open 7 days a week for lunch and dinner. Moo&Brew Cafe operates within Town Centre Vikings, with great take-away coffee, sandwiches, cakes and pastries. Sit back and relax in the comfy surrounds with free Wi-Fi and daily newspapers. Your guests will then simply be required to sign next to their name at the front reception desk upon arrival. We can assist you by providing a function register for this event. Should your guests wish to use the club facilities after your event, standard ACT licensing regulation rules will apply. UNDER AGE GUESTS Minors are permitted to attend functions within our venue, however each person under the age of 18 years must be accompanied by a parent or legal guardian at all times whilst attending the event. Please note your personal event and catering requirements will affect the maximum seating capacity in each room. To ensure we can best cater to your event this needs to be discussed at the time of your booking. RESPONSIBLE SERVICE OF ALCOHOL The Vikings Group employees are obligated to adhere to strict Responsible Service of Alcohol practices. Management reserves the right to refuse service or evict intoxicated or troublesome persons. The client is responsible for the behaviour of his or her invited guests. 9 TERMS AND CONDITIONS Functions can only be booked by the BaaMoo Management staff member, and full clients membership card of the Vikings Group is required at the time of booking. A deposit equivalent to the applicable room hire is required within 7 days of the receipt of your confirmation letter. The Vikings Group and BaaMoo reserves the right accept another booking after this time if the prescribed fee is not received or the tentative bookings is not confirmed with fourteen (14) days of initial booking. CANCELLATION OF BOOKINGS Cancellation of bookings must be provided in writing. In the event of cancellation, the following fees will apply. From date of confirmation to fourteen (14) calendar days to event, deposit payment will act as cancellation. Fourteen (14) to seven (7) days prior to arrival, 25% of food costs and deposit payment. Seven (7) days to schedule arrival, 100% of total costs and deposit payment. FUNCTIONS HELD ON A SUNDAY OR A PUBLIC HOLIDAY Will attract a surcharge on the food and beverage component. The surcharge is 10% on Sundays and 15% on Public Holidays. ACCESS AND TIME Access to the club by the Hirer is restricted to those areas approved for the specific function. BaaMoo its designated representative shall have access at all times to any area being used for an approved function. Access to the room will depend upon availability, please discuss your requirements with your Event Coordinator. All functions are ceased at 1.00am, unless prior arrangements have been made with Management. An hourly fee of $ will apply for functions extending after this time. DAMAGE AND CLEANING The event organiser / client are responsible for the behaviour of his or her invited guests. Any damage reported will be assessed and payable by the organiser / client, this may include but is not limited to property damage or additional cleaning charges. Without prior approval, no decorations are permitted to be attached to walls, ceilings, glass, and furniture or club equipment. INSURANCE Although we take extreme care of our guests, we cannot take responsibility for any damage or loss of items before, during or after a function. RESPONSIBLE SERVICE OF ALCOHOL The Vikings Group employees are obligated to adhere to strict Responsible Service of Alcohol practices when providing beverage service to patrons. Management reserves the right to refuse service or evict intoxicated or troublesome persons. The client is responsible for the behaviour of his or her invited guests. OTHER No external food or beverage items are permitted into any Vikings venues, with the exception of a celebration cake from a commercial supplier. Additional charges may apply if service is required. Arrangements must be finalised seven days prior to your event. Floor plans cannot be altered after 12.00pm two (2) days prior to your event. FUNCTIONS WITHOUT CATERING In addition to room rental, the following fees will apply for events that do not require catering guests, flat fee of $ guests, flat fee of $ These costs cover setup and pack down of room (staff labour), linen and cleaning. CONFIRMATION OF BOOKINGS A room hire fee applies to all functions. (a) A booking will only be accepted in writing, accompanied by a signed copy of these Terms and Conditions. (b) Once approval by BaaMoo Bistro & Grill is granted a deposit equivalent to 100% of the room hire fee is due and payable. For payment of the deposit, please take the confirmation letter to BaaMoo. A booking will only be accepted in writing, accompanied by a signed copy of these Terms and Conditions. The deposit is non-refundable and acts as a cancellation fee (if applicable). 10 TERMS AND CONDITIONS FOR HIRING A FUNCTION ROOM BILLING DETAILS Our preferred method of payment is by cheque. Payments by credit card will incur a credit car d fee (currently between 0.90 % and 4.0% depending on the card used). Accounts remaining unpaid outside our normal trading terms will incur interest charges. Deposit invoices are due and payable in full fourteen (14) days from issue date of confirmation letter. Final invoice - Corporate & Government Functions: payment terms are fourteen (14) days from the date of the invoice. Private Functions: payment terms are ten (10) days prior to the function. If you do not reach the required minimum number for catering you will be charged up to the minimum. Alcohol will only be served when substantial food is available for guests. Such relevant function details include (but are not limited to) room set up, menu selection, beverage requirements, estimated numbers and duration. In the event of the function being booked less than two weeks (14 days) out from arrival these details must be provided at the time of booking. Final confirmed numbers must be provided in writing seven (7) working days prior to the function for Corporate and Government clients and fourteen (14) days prior for private functions. These numbers will form the basis for invoicing. Minor increases to confirmed numbers (up to 5%) can be accommodated up to 48 hours in advance of the function.
