Monday, February 29 1:00pm 5:00pm Garden vendors can begin set-up. Garden vendors must be done hauling in items by March 2 nd at 2:30pm. Tuesday, March 1 and Wednesday, March 2 9:00am 5:00pm Set-up by appointment only. Please make an appointment with Cassie at cassier@biawc.com or (360) Only vendors with appointments will be allowed to set up. Thursday, March 3 6:00am 10:00pm All vendors may set-up this day. Large trucks will be allowed in until 2:00pm by appointment only. ALL OVERHEAD DOORS WILL CLOSE AT 3:00PM! All items and display materials will need to be hand carried in after this time. 3

4 Friday, March 4 6:00am 9:00am Take-down Dates and Times Exhibits must be ready for showing at 10:00am. All exhibits items must be hand carried only into the arena on Friday, as aisle carpets will be down. The Show starts promptly at 11:00am. Judging for awards will take place at 10:00am. All exhibits must remain intact until the show closes at 5:00pm on Sunday! Sunday, March 6 5:30pm 10:00pm Vehicles and forklifts cannot enter the building until the aisle carpets and pipe and drape around the large roll-up doors are removed. Please take down and take with you any part of your booth that would be in the way of Pacific Party Canopies. They will remove any exhibit items in their way. Pacific Party Canopies, The Whatcom County Home & Garden Show, or any of its affiliates are not liable for any damages caused. You leave your items at your own risk. Monday, March 7 7:00am 12:00pm All exhibits must be out of the building by 12:00pm. Forklifts will be available until then. 4

6 Directions to the Northwest Washington Fairgrounds The NW Washington Fairgrounds are located at 1775 Front St. Lynden, WA. From Seattle: Take I-5 to exit 256A Guide Meridian. From the exit, turn right onto the Guide Meridian. Go North approximately 10.2 miles. Turn right on Front Street in Lynden, WA. Continue for about 0.5 miles. Turn right into the fairgrounds. From Vancouver, BC: Take I-5 to exit 270 Birch Bay-Lynden Road. From the exit, turn left onto Birch-Bay Lynden Road. Continue for approximately 8.2 miles. Turn Left onto the Guide Meridian. Continue for 0.2 miles. Turn right onto Front Street in Lynden, WA. Continue for approximately 0.5 miles. Turn right into the fairgrounds. Vendor Parking Vendor parking is reserved in a grassy lot located off of Front Street. Limited parking will be available on the south side of the Home & Garden Show and will be reserved for Garden Vendors only. Additional parking is located in the northeast lot with RV parking. Please note that NO PARKING will be allowed behind the Home & Garden Show building. Any vendor doing so will have their vehicle towed at their expense. RV s Vendors may park RV s overnight in the northeast parking lot. RV parking has a fee of $25 per night. You must make a reservation with Cassie at cassier@biawc.com. Upon full payment, you will receive a pass. All vehicles without a pass will be towed at the owner s expense. Call Cassie at (360) with any questions. 6

7 What is provided? Pacific Party Canopies will be providing decorating services. They will provide an 8 high black rear curtain and 3 high black side curtains. Please note that no tables or chairs will be provided for your booth. Edlen Electric will provide each booth with 1 (one) 5 amp 120-volt electrical service. If you require a higher amount of electrical service, please see the attached Edlen Electric order form. Green carpeting will be installed along the aisles of the show; however you must provide a floor covering for your booth. If you do not carpet or cover the concrete in your booth, carpet will be provided for you and charged accordingly. Please Note: Pacific Party Canopies will be removing pipe, drape and carpet on Sunday, March 8 th after the show ends. If you decide to remove your booth on Monday, March 9 th, Pacific Party Canopies might have to move some of the items in your booth to remove their materials. They will move any exhibit in their way. Pacific Party Canopies, the Home & Garden Show, or its affiliates are not liable for any damages that might be caused. You leave your items at your own risk. If you leave any of your items on their carpet and they cannot remove it you will be charged for the carpet. Please DO NOT attach or place any of your items on the pipe and drape. If they cannot remove it easily when they tear down, you will be charged for any items they are forced to leave behind. 7

8 Use of Display Space 1. Your display must be set up by Friday, March 6 th by 10am. In the event that an exhibitor fails to install their display within the set-up times allowed, the Home & Garden Show Committee shall have the right to take possession of said space and resell same or any part thereof. All fees and deposits collected will be forfeited. 2. When prefabricating your booth, please remember to allow room for booth divider curtain rods on each side. Please allow approximately 2 inches per side. 3. You must cover the concrete in your booth with appropriate flooring. Please provide your own or it will be provided for you and charged accordingly. 4. All demonstrations, promotional materials, and personal sales activities must be confined to the limits of the exhibitor s booth. No exhibitor shall assign, sublet, or share the space assigned without the consent of the Home & Garden Show Committee. Exhibitors must display goods manufactured or sold by them in their regular course of business, unless otherwise approved by the Home & Garden Show Committee. 5. Microphones & PA systems will NOT be allowed as outlined in your contract. 6. Booths must be staffed during all Home & Garden Show hours open to the public. Failure to do this will result in forfeit of booth space. You will not be invited back next year. 7. Flashing, blinking, rotating or moving lights are not allowed, without specific exception from the Home & Garden Show Committee. 8. Give-away food samples must be approved by the Home & Garden Show Committee and the Whatcom County Health Department. 8

9 Internet High-speed wireless internet is available at the Northwest Washington Fairgrounds. This year internet will be provided free to all vendors. Quality, security and internet speed is not guaranteed. Security The Home and Garden Show will provide security from 7:00pm, Wednesday, March 2 nd through 9:00 am Monday, March 7 th. Security personnel are present to provide overall show security; however, you should provide adequate staffing to ensure the security of your valuable items during set-up, the show, and take-down. You may want to consider removing any small or valuable items at night. Security cannot guarantee exhibitors against loss of any nature. Admission Vendor wristbands are required for those working your booth at the Home and Garden Show. Each exhibitor will be issued 4 wristbands. If more wristbands are needed, arrangements must be made with Cassie at cassier@biawc.com or (360) You must order additional wristbands prior to February 26 th. You will find your wristbands at your booth during set-up hours. If you need your wristbands before set-up to distribute, please contact Cassie. Vendor wristbands are required for any vendor to enter the Home & Garden Show free of charge. Vendors entering the show without a wristband will be charged. Wristbands are for the use of exhibitor staff only, and must be worn and are not to be given to friends/ guests for entrance. 9

10 Awards 4 awards will be given out at the Home & Garden Show. They are: 1. Best of Show Large Booth 2. Best of Show Small Booth 3. Best of Garden 4. Vendors Choice Booths will be judged on creativity, use of space, visual aesthetics, and the quality of information of the company and its products. All vendors in the show will have a chance to pick their favorite booth. Vendors are encouraged to walk around the show before the show opens and select their favorite booth. Forms will be at your booth when you arrive. Please submit your vote for vendors choice by noon on Friday, March 4 th. Forms must be submitted on the Home Show Station table by the front doors. Food Give-away food samples MUST be approved by the Home & Garden Show Committee as well as the Whatcom County Health Department. Please contact the Health Department prior to the show for sample approval at (360) Concessions will be available during the show for purchase. Hilltop Catering, Poffertjes, Grants Burgers, Whistle Stop Kettle Corn, Alpine Coffee, Good to Go Man Pies, Chow Hot Dogs and Crave Catering will all be at this year s show. Vendors will also have snacks available in the Vendor Hospitality Room, located up the staircase to the left as you walk in the show doors thanks to Costco. 10

11 Some helpful tips to make this year your best Home and Garden Show yet Wear comfortable shoes. Wear layered clothing: temperatures in the building vary depending on your booth location and outside weather conditions. It is usually cool during set-up days. SPACE HEATERS ARE NOT ALLOWED! Selling in the Home & Garden Show is strongly suggested. Large ticket items as well as spontaneous purchase items have both done well at the show and can help off-set your expenses. Consider handling out promotional items with your message and your company name. Customers who pick up those items will have many opportunities to re-read your message. Keep your literature simple and to the point. Action visual aids- such as silent slide shows, videos, working models, cutaways and samples can be very effective. Customers are attracted to displays that they can interact with. Signs- large, bright and simple can be very important, make sure you are noticed. Your exhibit area reflects on YOU! Keep it clean, neat and above all staffed during all hours of the show. Advertising Advertise in the Home and Garden Show Official Program produced by the Bellingham Herald.
