17 Our Policies DEPOSIT AND SIGNED CONTRACT A $500 deposit and signed contract are required to guarantee the event date. All deposits are nontransferable and will be credited to the cost of your event or retained by Teravista Golf Club if you cancel your event without a 60-day written notice. FINAL PAYMENT Final payment is due on the day of your event. GUARANTEE It is the responsibility of the client to provide a guaranteed number of guests (7) seven days prior to the event. The final guarrenttee number is due by end of business day (7) seven days prior, and is not subject to reduction after that date. Final charges will be based on actual attendance or the final guarantee submitted, whichever number is greater. CANCELLATIOn In the event of cancellation, written notice is required. If there is a cancellation less than 60 days prior to your event, you will be required to pay a cancellation fee in an amount equal to the minimum expenditure, less any deposits already received. 3rd party VENDOR Requirements The Club is not responsible for any items brought on property by an outside vendor. Please be aware of the following requirements: 3rd Party Vendors must complete a waiver. Teravista Golf Club is not responsible for setting up, breaking down or moving items from outside vendors. All deliveries must be arranged during business hours and in advance with Director of Sales or Food/Beverage Director. DECORATIONS The client may supply their own decorations. Decorations may not be affixed to the walls of the facility, and glitter, confetti, rice and birdseed are not permitted. The Club will not assume the responsibility for any decorations before, during, or after the event. Candles permitted with approval from Director or Sales. ADDITIONAL EVENT SERVICEs Our staff can arrange for flower arrangements, entertainment, personalized cakes, photography, videography, specialty linens, lighting and other décor. We would be pleased to assist you. SERVICE CHARGE AND SALES TAX Listed prices do not include applicable 20% Service Charge and 6.25% Sales Tax. EVENT RENTAL TIME Events are allotted (4) four hours of rental time. Special Pricing will apply for additional hours. Events must end by 11 p.m. REHEARSALS Rehearsal times may be scheduled with the Director of Sales Monday through Friday prior to 6:00 p.m. for a (1) one hour duration. EVENT SETUP Event setup may be scheduled (1) one hour prior to the scheduled event. Additional setup time must be arranged in advance. 3RD PARTY VENDOR CATERING AND ALCOHOL 3rd party catering is not permitted without prior written consent. Events requesting 3rd party catering are subject to an outside catering fee. All alcohol must be purchased from Teravista Golf Club; no outside alcohol is permitted. Policies outlined in this brochure are detailed in, and governed by, the event contract executed by the authorized representative for your event.
