2 GENERAL INFORMATION Guarantee A guarantee number of attendees is required seventy-two (72) hours prior to function date. In the event the guarantee is not received within seventy-two (72) hours, the hotel assumes the guarantee to the maximum number previously stated. Should less than the guarantee number of guests attend the event, the guarantee number will still apply and be charged. Guarantee for Saturday and Sunday are due the preceding Wednesday. Monday and Tuesday guarantee are due the preceding Thursday. Food and Beverage Food and Beverage may not be brought into any Hotel public or function area by patron or guest attending any function. In addition, due to license restrictions and Metro Louisville Health Regulations, no food or beverage may be taken off Hotel premise under any circumstances. Taxes and Service Charges All applicable taxes, 22% service charge and price listed and so agreed upon by written agreement will be paid as mutually determined. Payment and Billing All charges are to be paid in advance, within the agreed terms, unless direct bill has been established to the satisfaction of the Hotel. Direct bill requires a thirty (30) processing period. Should a direct bill not be in place, a mutually agreed, non-refundable deposit shall be paid Hotel at the time of signing written agreement. The estimated remaining balance is due fourteen (14) days prior to function date. Any additional expenses incurred during the function are due at the completion of function. If credit is established, the balance on the account is due upon receipt of invoice. Menu Selection Menu selection should be submitted to the Hotel Sales Department no later than ten (10) working days prior to function date(s). Notification of any/all changes and/or cancellation must be made directly with the Hotel Sales Department. The hotel welcomes the opportunity to specially design a menu upon request. Tax Exempt Status Hotel is required by the State of Kentucky to have a copy on file of applicable Purchase Exemption Certification with exemption number issued by the Kentucky Revenue Cabinet. The tax exempt organization credit card or check is required for proper payment. Cancellations Cancellation of the event in its entirety is subject to the following charges: Cancelation Charges 90 days or more 25%* 89 to 30 days 50%* 29 to 15 days 75%* 14 to 0 days 100%* * Based on total contracted meeting room, food & beverage, and guest room revenue.
