3 Harmony Primary School Harmony Primary School is located in the southern suburb of Atwell, the school caters for approximately 700 students from Kindy to year 6 In 2013 our canteen was open three days; 2014 five days Our average orders per week are 550, approximately 80% of orders come through online Melinda and I job share our position working 3 days a week each We employ 3 casual staff and welcome the occasional volunteer Flexischools: why and when We introduced Flexischools in July 2009 mainly due to a demand from parents to have the option to pay for lunches via eftpos After careful research the cost of having an eftpos system would be too costly and not sustainable to keep prices as low as possible We trialled Flexischools for a term and received positive feedback from school community Having Flexischools meant we could give our parents the option of paying via their credit card or by direct transfer from their bank account at a fraction of the cost of using eftpos, plus we would reap the benefits of having the Flexischools system. 3

4 Cost of Setup and Guarantee The current cost of introducing Flexischools in your school is $775 plus GST This includes: The label printer 12 month warranty Continuous label supply Paper menu converted to online menu on start up Ongoing phone and online support Guarantee 12 month trial, if you are not totally happy you can return the printer within the first 12 months and receive a full refund. What do you need? To start with Flexischools all that s needed is a computer with an internet connection and running either: XP Vista Win7 Win8 4

6 Day to day running Your menu is setup online for start up, then it can be easily adjusted to suit your needs Items can easily be added, deleted and made unavailable at any time Changes in prices can be made easily Reports printed off daily for sales, items and class lists These are a great time saving resource, as they eliminate the need to count order bags and tally food lists Options can be made available i.e. sauce or no sauce eliminating waste 3% of total order value is kept by Flexischools, takings are deposited weekly into your nominated bank account Editing the Menu 6

10 Parents Parents create an account online They add each of their children to the account Credit can be added to their account by credit card or direct deposit from their bank account This can be set up to automatically top up when a minimum amount is reached Orders can be reoccurring for the term Parents can add Allergy Alert to their child's order to advise canteen staff of an allergy No need to hunt for cash each morning $0.25 cost per order Teachers Teachers can add themselves to their classroom number and have their lunch delivered to their classroom Admin staff can also add themselves under staffing banner A special section on the menu can be created for teachers 10

11 Other uses Great facility to have sports day or other special one off menus or fundraising activities Menu can be created under a new heading Cut off date can be set for all orders this gives you enough opportunity to plan and order Options can be set so that the customer can choose a different main item, drink and snack Environmentally friendly less paper bags needed, label can be applied straight to food packaging SUMMARY We have found many positive aspects of using Flexischools and we hope this short presentation has given you insight into whether Flexischools could work at your school 11

14 Possible issues Bags jamming Internet down Parents miss cut off Paying Commission (ours is 3.8%) My story We have had online ordering with Our Online Canteen for around 4 years, I love it. Over the time we have had online ordering the positives have definitely outweighed the negative. We still offer both over the counter and online ordering with approx a 50/50 split The system is easy to use 14

15 Testimonials I have been using the My Online Canteen website since Koorana Primary school first introduced it. I don't like to keep cash in my purse which proved difficult when I needed to order lunches at the last minute. I have also used the system to order their lunches in advance when my husband and I have gone away on holiday and the children were left with family. It was one less thing for them to worry about while we were away. It is very simple to use, you can see at a glance what is available and not have to worry about your children losing their lunch money on the way to school. 16 Jackie Craig Canteen Supervisor Dawesville Catholic Primary School Students: yr old kindy to Yr 7 = 575 students yr old kindy to Yr 6 = 521 students Lunches provided: per week per week Operating days: 5 Staff: one full time supervisor & one assistant on one day per week The plan End 2013 an evaluation of canteen profit and sales was conducted Potential to employ a part time assistant HOWEVER First term is generally quieter The loss of year 7 s was considered Volunteer numbers increased Do we need a new plan? Decision was made not to go ahead and employ 16

17 Increase volunteers Increase sales Add a theme to the slowest sales day If this doesn t coincide with the kindy students day at the school it is still run on their day just for them Include a raffle prize on the theme day as an incentive to purchase Add a new menu item to the slowest sales day 17

18 Increase profits Slight price increase in pastry items sales have not dropped Slight price increase in homemade products such as lasagne and bolognaise as there is more profit margin than commercial items Check prices on all stock and where possible source a better deal Where possible purchase items on special and freeze e.g. English Muffins on special at Woolworths: purchase 40 packs at a time and freeze them, potential to save close to $50! All containers (recyclable cardboard) for meals are recycled and eaten by the school worms Decrease wastage Encourage the pre order of recess items to reduce wastage 18

19 Increase relations I get involved with the students in cooking classes on my admin day to help build rapport Catering for sports day This is done on a Sunday in conjunction with the P&F Orders placed Friday before the event and delivered to the faction bays on the day P&F provide lunches to the parents Outside catering and events 19

21 FRESH PRODUCE OVERLOAD Any donations of fresh produce to the canteen can be sold or used for ingredients for cooking. This will take some of the financial pressure off purchasing these items. STAFF MORNING TEAS / PERSONAL DEVELOPMENT DAYS Offer to cater staff morning teas to make it easier for teachers, whilst making a profit for the canteen. Also, ask administration to think of the canteen as their first choice to cater for any meetings or Staff PD Days. 21

22 VISITORS LUNCHES Invite school visitors to order from the canteen. For example any special guests of the Principal, sports personalities or visiting sporting groups and any workmen doing maintenance work around the school. Remember everyone needs to eat, so why not offer the services of the Canteen. OUTSIDE WORKPLACE LUNCHES Employees of Flex Industries have opted to have their lunches catered for by the Boulder Primary Canteen. 22

23 COOKING WORKSHOPS/ PARTY PLAN/COOK BOOK Host cooking demonstrations or Party Plan events such as Chef s Tool Box or Tupperware. Create a Canteen Cook Book with recipes from the canteen and sell to your local community. PROMOTION OF SPECIAL DAYS There are so many special days in a calendar year that you can take your pick, for example: Daffodil Day, Footy Colours Day, Harmony Day, Day for Daniel, Valentine s Day, St Patrick's Day, Autism Day, Halloween and many, many more! 23

24 BIRTHDAY PARTY SERVICE Boulder Primary Canteen has introduced a Class Room Birthday Party service for the parents and students. Offering 24 mini muffins, along with a larger muffin for the birthday child, a helium balloon, party hat, whistle and a party gift. This provides a service to the parents, brings great enjoyment to the children and profit to the Canteen. A win, win all round. It can also be used for class room Farewells! CATERING OUTSIDE EVENTS South Kalgoorlie Primary School have been successfully catering outside functions for example: business functions, BBQ s, birthdays, Christmas parties and wakes. 24

25 CONCLUSION I realise that the items I have mentioned mean extra work, but I look at it this way:- That if the canteen closes, I lose my job and in these hard economic times jobs are hard to find, especially one that I love and am passionate about so I feel the hard work pays off in the end! I would like to take this opportunity to thank my volunteers for their hard work and effort in helping us keep our canteen operational and also my family for their support in the hours the canteen takes me away from them.
