4 HOST YOUR FUNCTION or MEETING at THE HILLS OUR FACILITIES & SERVICE If you are looking to celebrate an important event, enjoy a party or conduct a meeting let the Hills Club be your host. Here at the Hills we aim to provide you with friendly, professional service and with quality facilities. All functions booked include complimentary tea and coffee. Use of our big TV, projector and wireless microphone is also complimentary. Free public wi-fi is also available. Enjoy the view, our function room can accommodate up to 96 guests seated (more guests can be accommodated if you require a cocktail style setting). We will arrange your room according to your needs. You can also decorate the room with the theme of your choice. Early access to do this can be readily arranged. Our spacious meeting rooms can hold up to 50 people seated theatre style or up to 24 seated in a u-shape at tables or 30 or more seated class room style. FOOD & DINING Our restaurant offers a range of delicious menus for your function including finger food and platters, buffet menus or more formal dining options. We can even tailor a special menu to suit your specific needs or we can combine a food and beverage package for you. See page 5, Dining Options & Menu Selections. BAREFOOT BOWLS Barefoot Bowls is fun, easy and suitable for all ages. Play bowls and we can serve food to your party at the green. You can even include bowls with your function or meeting. See page 9, Play Barefoot Bowls. WAKES We can generally accommodate wakes at short notice. Our function room, if available, is provided free of charge including complimentary tea and coffee. 5 OUR ROOMS The Gallery - a room with a view Our private function room can accommodate 120 standing guests cocktail style or 96 seated dinner style. The function room has full bar access and can be set for casual parties or for more formal occasions. Our restaurant offers a range of delicious menus including finger food and platters, buffet menus or more formal dining options. We can tailor a menu to suit your specific needs and budget or we can combine a food and beverage package for you. Just let us know what you need! The Forum - nothing to distract Our meeting rooms are ideal for corporate events, classes or club meetings and can hold up to 50 guests seated theatre style or up to 24 guests in a u-shape or 30 guests class room style. Use of our projector is complimentary and free public wi-fi is available. Let us know if you require any catering for your meeting. We can provide morning and afternoon tea and lunch for your guests if required. You could also combine your meeting or corporate event with a barefoot bowls party. 6 BEVERAGE OPTIONS & FUNCTION ADDITIONS BEVERAGE OPTIONS Cash Bar Your guests pay for their own drinks from the bar. Bar Tab You can set a bar tab with a dollar limit. You can also choose the drinks you want served, for example, tap beer, house wine & any soft drink only. Your guests order at the bar and their purchases are added to the bar tab. Our staff will advise you when the tab is approaching the limit set. Drink Packages Ask our function staff about tailoring a food and drinks package to suit your needs. FUNCTION ADDITIONS Tea & Coffee For all functions booked, tea and coffee is complimentary for your guests. Celebratory Cake You are welcome to bring celebratory cake free of charge and we will provide you with a cake knife and plates. We can store the cake if required and will take every care. However, we will not accept responsibility for any damage that may occur. Cocktail Tables Add a special touch to your event and include some cocktail tables at no additional cost. Equipment You can use our big TV (USB drives and portable hard drives will generally work) projector and wireless microphone free of charge. We do not provide laptops but you are welcome to bring your own. Linen Linen for your dining tables will be provided free for function food orders $900 or over. Otherwise we can provide linen at $7.50 per table. Entertainment Advise our function staff if you want to hire a licensed DJ, BAND or a JUKEBOX for your function. We can also lay a small parquetry dance floor if required. Room Access & Decorations You are welcome to decorate the room with a theme of your choice. For evening functions the room will generally be available from 5pm or earlier by special arrangement. Please advise our function staff if you wish to decorate or gain early access to the room. Generally, evening functions are booked until midnight and lunch functions until 4.30pm. FOR YOUR SAFETY Smoke from candles may trigger fire alarms. For the safety of all club guests, if you wish to light candles it is essential that you first consult with the club manager. The use of smoke machines is not permitted. 7 DINING OPTIONS - Buffets Our restaurant offers a range of delicious menus including: Buffets (see below); Formal alternate service (see page 8); and Hot and cold finger food platters and pizzas (see page 9). We can also tailor a menu to suit your specific needs or we can combine a food and beverage package for you. Just let us know what you want! 8 DINING OPTIONS - Formal dining For more formal occasions we can provide a two or three course dinner served to your table for a minimum of 40 guests. The price includes table linen and complimentary tea and coffee. 9 DINING OPTIONS - Finger food, platters and pizzas We offer a variety of pizzas, finger food and hot and cold food platters including seasonal fruit and antipasto platters. Hot finger food can be ordered in two different ways ie you select your choices or choose delicious set platters. 10 TERMS & CONDITIONS CONFIRMATION & ROOM HIRE FEE All function bookings must be confirmed within 7 days of booking and the full room hire fee paid. The amount of the fee is the rate applicable for the day booked (see rates on page 2). The Hills Club reserves the right to cancel any bookings if confirmation is not received within this time. PRICING POLICY & FINAL PAYMENT While we try to maintain the cost of our function packages, prices may be subject to change. Hosts will be given advance notice if there are any changes to prices. All prices are inclusive of GST. Function menus and the final guest numbers attending must be confirmed at least 7 days prior to the event. Full payment for the function menus must be made no later than 7 days prior to the function date. CANCELLATIONS & RESCHEDULING The room hire fee is not refundable. However, if cancellation notice is received at least 14 days prior to the event you may transfer the booking to another date to be held within six months (this date cannot be transferred). If cancellation notice is received at least 14 days prior to the event, any other previous payments made for menu selections, less any costs incurred by us, will be fully refunded. INSURANCE & DAMAGE Function hosts will be held financially responsible for any damage caused to the Hills Club property, equipment or fittings or triggering smoke alarms (see For Your Safety on page 4). The club does not accept liability for any damage to or loss of items or equipment left at the club prior to, during or after a function. We do not cater for 18th birthday parties. For 21st birthday parties we require an additional $150 payment for extra security. IDENTIFICATION & SIGNING-IN TO THE CLUB All guests aged 18 or over must show relevant identification when entering the club. Acceptable IDs include a current driver license or current photo card. RESPONSIBLE SERVICE OF ALCOHOL & CONDUCT The Hills Club adopts a policy of Responsible Service of Alcohol. Our staff may conduct ID checks and will not serve alcoholic beverages to minors under the age of 18 years or to guests who are perceived to be in a state of intoxication. Guests perceived to be intoxicated or engage in disorderly conduct will be asked to leave club premises. All minors must be in the company of responsible adults at all times whilst on club premises including outside areas. 2-6 Jenner St. Baulkham Hills membership@thehillsclub.com.au 8
11 PLAY BAREFOOT BOWLS Have fun, play barefoot bowls at the Hills Club Barefoot bowls can be played on most days (from 4.30pm on Fridays and usually from 12.30pm on Saturdays and Sundays). Small groups or larger groups up to 70 people can play and children are welcome. Bowls usually takes between 1.5 hours to 2 hours to play. The cost of barefoot bowls is $10 per person and you can pay on the day. The price includes: Bowls and equipment hire; Green hire; and Tuition and game rules. SNACK & enjoy a DRINK by the green Our function guide includes a delicious range of finger food and cold food or hot food platters that can be served to you and your guests by the green. Please see page 7. Finger Food & Platter Selections. If required, we can also arrange a special bowls and dinner package for you. Please see the separate attachment Barefoot Snack & Dine. The main bar is conveniently located in our lounge area. See the duty manager if you wish to arrange a bar tab account for your guests. If you wish to order finger food to enjoy at the green, full payment is required no later than three (3) working days prior to the scheduled date of the barefoot bowls. If you have concerns about adverse weather on the day and you decide to cancel your barefoot bowls please note the following. Your food payment will be fully refunded if you provide at least four (4) hours notice prior to the scheduled starting time of the barefoot bowls. However, please note that you are also welcome to consume your food inside our club premises. LARGER GROUPS & CANCELLATIONS A deposit may be required for group bookings of 20 people or more. The deposit is payable within 7 days of making the booking and is non refundable unless adverse weather affects the playing of bowls on the day booked. If cancellation notice is received at least five (5) working days prior to the event, you may transfer the deposit to another date which can be used within six months of the original date (this new date cannot be transferred). 2-6 Jenner St. Baulkham Hills membership@thehillsclub.com.au 9
