3 Catering Policies All food and beverage must be supplied by the Hilton Garden Inn Portland Airport. Outside food and beverage will not be permitted. Exceptions may be made with the approval of management. GUARANTEES In order to provide the best possible service, it is important that we receive your agendas, menu selections, set-up requirements, AV requirements, etc, no less than 48 hours prior to your event. A signed contract/banquet event order (BEO) is required (10) days prior to your event. Some events require a (30) day confirmation. Upon receipt of signed documents, all events are considered definite. A final guaranteed number of guests is required 72 hours prior to your event. The guaranteed number represents the minimum billing and your expected number of guests can only increase. ALCOHOLIC BEVERAGE SERVICE The Oregon Liquor Control Commission (OLCC) regulates the sale and service of alcoholic beverages. As a licensee, Hilton Garden Inn Portland Airport is responsible for the administration of these regulations. Prior approval to bring in any outside alcohol beverages must be approved by management. Hilton Garden Inn Portland Airport practices responsible hospitality, anyone who appears under the legal drinking age may be asked to supply identification. We also reserve the right to deny service to anyone who appears intoxicated. Alcoholic beverages must be served by certified hotel staff only. SERVICE CHARGE A 20% service charge will be added to all food and beverage pricing. All prices are per person, unless otherwise noted, and are subject to change. 14 General Information ROOM RENTAL Meeting room rental is applicable where meal minimums are not met. GRATUITY A 20% gratuity charge is added to all food and beverage. PAYMENT / BILLING ARRANGEMENTS Direct billing applications may be obtained from the sales department and must be received two (2) weeks prior to event. Without direct billing approval, advance payment or credit card guarantee is required. Credit cards will be pre-authorized for approximate amount of event (1) week prior to event start date. GUARANTEE All events with food and beverage require a final guaranteed count no less then 72 hours prior to arrival. This guarantee will be the number for which fees will be charged. CANCELLATION Cancellation of any event less than ten (10) working day prior to event will be subject to a cancellation fee. MEETING ROOM ASSIGNMENTS All meeting room assignments are subject to change. Please refer to the daily schedule of events in the lobby upon arrival for verification.
