2 Your Wedding at EMERALD LAKE LODGE Thank you for your interest in Emerald Lake Lodge. We would like to take this opportunity to introduce you to our lodge. Emerald Lake Lodge has a setting of unparalleled natural beauty. Originally built in 1902 by the Canadian Pacific Railway, this historic property has been restored and redeveloped to become one of the finest year round resorts in the Canadian Rockies. The Lodge is like no other with its rare blend of old and new - contemporary comfort in the midst of hand-hewn timber and stone. Savour first class cuisine in the lakeside dining room or enjoy a cognac in the Kicking Horse Lounge with its Gold Rush vintage oak bar, legacy of a Yukon saloon. On the second floor are sitting and reading rooms and a games room complete with slate billiard table, satellite television and computer with Internet access. Emerald Lake Lodge and Conference Center is designed to meet the needs of small weddings or larger ones up to 140 people. Grace and intimacy characterizes our functions rooms. They are not only beautifully appointed but versatile as well. As a result, planners are given the opportunity to create an intimate atmosphere for their wedding that reflects their style. The Lodge is surrounded by twenty-four cabin-style buildings, which include eighty-five guest units accommodating up to two hundred guests. All of the cabins have been built to reflect the traditional architecture of the original lodge. Each room features a fieldstone fireplace, a down duvet, and a private balcony with a spectacular mountain view. Our summertime restaurant, Cilantro on the Lake, offers a casual Californian menu, with a patio between the lagoon side on its left and the lakeside on its right. Our recreation facilities are located at the Clubhouse, which has a sauna and an eighteen person hot tub which overlooks Emerald Lake. Other recreational activities include cross-country and downhill skiing, hiking, canoeing and a host of other activities. Attached is our Wedding Planner package complete with room descriptions, room rental fees, and menus. If you require additional information or have any questions, you can contact us directly. 5 HELPFUL HINTS TO MAKE YOUR WEDDING A SUCCESS IN THE CANADIAN ROCKIES The weather here is known for its drastic, unpredictable changes. It is recommended to have a back up plan in the event of snow or rain if you are planning to hold your Ceremony outdoors. Please speak with your wedding coordinator directly to discuss options in case of weather. You are welcome to hold your Ceremony in the same room as your reception / dinner. After the Ceremony we ask that your guests depart the room in order for our staff to successfully complete the room set-up and keep the dinner running on time. Two and a half hours are required to change the room from Ceremony to Reception style set up. Your function room will be set-up with the appropriate tables, chairs, linens (white) and settings. The Lodge is very unique in the aspect that decorations are not needed. Simple flowers and candlelight are all that you need to enhance the atmosphere. All rooms are tastefully decorated and offer natural lighting, art or other decorative wall hangings. It is strongly recommended to offer hors d oeuvres to your guests during a Reception period, especially if a Host bar is in effect. Upon booking, the Conference Coordinator has various names of photographers, DJs, florists, etc to help you get on your way. The Bride and Groom are responsible for the booking of these services. The Conference Coordinator, after helping you select the room that is suitable for your special day, will assist you with the menu and wine selections. 6 WEDDING POLICIES (Please review carefully) ACCOMMODATION: The following number of rooms are required to be booked the night of the wedding; President s Room 7 rooms, Cilantro 15 rooms, and the Vice President s room 20 rooms. Accommodation type and style is subject to availability. If the wedding ceremony is scheduled before 5 pm it is strongly suggested that the immediate wedding party be registered in the hotel the evening before the wedding. We will not guarantee occupancy of hotel rooms prior to 4 pm. A ROOM BLOCK WILL BE HELD UNTIL 60 DAYS PRIOR TO YOUR FUNCTION. Your guests are welcome to call our Central Reservations line at to make their reservations. All reservations must be received 60 days prior to the function. Any rooms not reserved by this time under the block will be released and availability will not be guaranteed. All blocked room rates will depend upon the time of year they are reserved. DEPOSITS: An initial Deposit of $ will be required with signature of contract. The lodge will require a further deposit of 50% of the total estimated charges 30 days prior to the event date. The outstanding estimated charges will than be required 7 days prior to the event date. In the case of over estimating, the lodge will then refund the remaining balance. Final balance is to be cleared upon departure. ROOM RENTALS: Prices are non-negotiable and include all set-up necessary tables, chairs, table linens (white only), and table settings. President s Room 18 x 25 feet $700 plus GST Vice President s Room 40 x 25 feet $2500 plus GST Cilantro on the Lake 30 x 30 feet $3000 plus GST (May - September) $7000 plus GST - The function room will be made available noon the day of the function for decorating. - Two and a half hours are required to change the room from Ceremony to Reception style set-up. Access to the room is limited to hotel employees only during this time. - A guaranteed number of guest meals must be confirmed seventy-two (72) hours in advance. Charges will be applied to the guaranteed number or the actual number whichever is greater. - Emerald Lake Lodge is not responsible for damages to or loss of any article left in the hotel prior to, during or following any function by the customer or his/her guests. - Should damages occur in a function room or a guest room due to the negligence of members of the wedding group, an assessment of damages will be made. The couple will be notified and payment will be due upon the assessment. - In the event the hotel has to discount room rates or provide complimentary rooms to hotel guests because of noise complaints, these charges will be added to the wedding master account upon departure. RECEPTION ARRANGEMENTS: All accounts are to be paid in full upon check out, unless otherwise stated on the contract. All function requirements must be confirmed by Banquet Event Order 45 days prior to arrival. Should changes be required, the Lodge reserves the right to charge subsequent fees. Room drops will carry a charge of $1.50 per room per drop, plus GST. 6

7 WEDDING POLICIES (Continued) Emerald Lake Lodge will supply white linens, however if you wish to supply your own, you will be responsible for making arrangements. Please note that music must be kept to a minimum noise level for the consideration of other guests. Emerald Lake Lodge will reserve the right to restrain or end the music if complaints are received. Emerald Lake Lodge may specify guestrooms that must be booked in order to reduce noise complaints. Bands and DJ s are only allowed at Cilantro s and not in the main Lodge. All entertainment must be pre-approved by the Lodge and conclude by midnight. All live or recorded entertainment is subject to SOCAN (Society of Composers, Authors and Music Publishers of Canada) charge and Re:Sound charge. These are automatically applied to function invoices. SOCAN plus GST (without dancing), $41.13 plus GST (with dancing). Re:Sound (1 to 100 people) $ GST (without dancing), $ GST (with dancing). Re:Sound (100+ people) $ GST (without dancing), $ GST (with dancing). FOOD AND BEVERAGE: Hotel policies and B.C. Liquor licensing prohibits guests from consuming their own wine and/ or liquor in our function rooms. Please ask wedding coordinator for different bar set-up options. Emerald Lake Lodge will be the sole supplier of all food & beverage (with the exception of a wedding cake). For all menu selections a guaranteed number of guest meals must be confirmed seventy-two (72) hours in advance. Charges will be applied to the guaranteed number or the actual number whichever is greater. A gratuity of twenty percent (20%) will be added to all Food & Beverage service. There is a dessert fee of $2.00 per person plus GST on items not provided by the lodge. This charge will be applied to all cake items, this includes cupcakes, cake pops etc. Buffets are set for a maximum of 2 hours. All food and beverage planning is required 45 days prior to the date of the wedding. In the event, confirmation has not been received, the hotel reserves the right to choose the menu based on the individual s budget requirements. All prices are subject to change without notice; however, Emerald Lake Lodge will guarantee prices forty-five (45) days prior to the function. A service charge of 20% will be added to all Food and Beverage Services. All prices are subject to GST & PST. Additional Meals: We strongly recommend that you advise your guests of the menu selected, in order to accommodate for food allergies or dietary requirements. If there are any unexpected meal changes or dietary requirements that have not been prearranged an extra charge of $35 per meal will apply plus service charge. Guest names and their specific dietary requirements must be forwarded to Conference Department at the time of planning. A selection of main courses for plated meals may be offered to your guests. Selections are limited to three choices, including a vegetarian entrée. There is an additional cost for more than one entrée choice. Place cards or seating charts with guest names and corresponding meal choices are required to designate main course selection to the banquet staff and are to be provided by the client. If you are unable to provide an exact count for each main course selection, a charge of $6.00 per person will apply. 7

8 WEDDING POLICIES (Continued) FOOD TASTINGS: Available to guests who have their wedding booked with a contract signed and deposit paid. Wedding Tastings can be accommodated on Sunday afternoons between the hours of 1:00pm 3:00pm in the Main Dining room, subject to availability. All food selections need to be provided to the Conference Coordinator 2 weeks before your tasting is scheduled, if the menu has not been provided at this time the lodge cannot guarantee your options can be provided. You are limited in the number of options you can select for your tasting, please choose the following: Plated Meal - 2 x Starters (Soup & Salad) - 2 x Main Courses (including a vegetarian option) - 2 x Starches - 2 x Desserts *PLEASE NOTE WE CANNOT ACCOMMODATE THE CARVED ITEM OR BUFFET ITEMS AT YOUR TASTING All food and beverage consumed at the tasting is to be paid in full prior to departure. The Food Tasting is subject to an automatic 20% gratuity. The Lodge cannot open Banquet wine to sell by the glass for tasting. Banquet wines will be sold by the bottle, if available, at the time of the tasting. On the day of your wedding you will receive 50% of the food cost from your wedding tasting back as a credit up to a maximum of $50. PAYMENT AND CANCELLATION POLICY: Payment: 1. The deposit shall be paid at the time of booking to secure function space. The deposit shall be credited towards the final billing. This initial deposit is non-refundable. 2. All wedding events will receive an estimate from Emerald Lake Lodge. This will include all expenses affiliated with the event day (i.e. F&B, Room Rental, Guest Rooms). From this estimate the lodge requires a collection of a non-refundable 50% of the total, 2 months prior to the event date. The remaining non-refundable 50% of the estimate is then collected 7 days prior to the event date. In the case of over estimating, the lodge will then refund the remaining balance. Final balance is to be cleared upon departure. Cancellation: 1. Weddings cancelled 60 days prior to the event will lose the advanced deposit. The deposit may be held for one year for a future reservation. 2. Weddings cancelled 30 days prior to the event will lose the advanced deposit and will be charged 50% of the estimate. 3. Weddings cancelled 7 days prior to the event will lose the advanced deposit and will be charged 100% of the estimate. 8

A fee for any other room or space beyond the space that has been reserved will be applied if used. You are welcome to hold your event in the same private room as your reception or dinner. View Point No charge if you are using a Function room for your reception and/or dinner. Overlooking Emerald Lake, the View Point is a magnificent and magical place to hold your wedding ceremony. If not using a Function room for your reception and/or dinner, the fee for use of the viewpoint is listed below. If the Elopement Package is booked, this fee will not apply. Ceremonies at the View Point will be stand up style. A maximum of 20 chairs can be provided by the Lodge. You are as well welcome to make individual arrangements to have chairs set up at the Site. CIVIL CEREMONY WINTER Weekday $400 Weekend $600 SUMMER Weekday $400 Weekend $600 These rates apply for ceremony rental only and only include chair set-up. Additionally, these ceremonies can only be booked 6 months out if a Saturday has been requested. 9

33 EMERALD LAKE LODGE DIRECTIONS From Calgary Emerald Lake Lodge and Conference Centre is located approximately 200km (125 miles) from Calgary, Alberta. To reach the Lodge from Calgary, leave via 16th Avenue heading west. This route turns into the Trans Canada Highway #1 which you will follow directly to Field, British Columbia. 2km (1 mile) past the town of Field you will approach a turn-off clearly marked for Emerald Lake. The Lodge is located 8km (5miles) down this road. From Vancouver If you are at the Vancouver Airport you will want to go south on Highway 99 towards Tsawwassen (Ferry Dock). Exit onto Highway 10, which will be labeled as the direction to reach Hope. After the town of Langley, Highway 10 will join with the Trans-Canada Highway #1, which will take you east to Hope. At Hope it is best to leave the Trans- Canada Highway #1 and take the Coquihalla Highway as it is shorter. The Coquihalla Highway will take you to Kamloops where you rejoin the Trans-Canada Highway #1 heading west. Follow this highway all the way past Golden and into the Yoho National Park. 55 kilometers past Golden there is a turn off to the left clearly marked Emerald Lake. If you come to the town of Field you have gone too far. The Lodge is located 8 km (5miles) down this road. Please keep in mind that Emerald Lake Lodge is 840 kilometers from Vancouver, much of which is through mountain terrain that may necessitate slower driving. Please park your vehicle in the overnight parking lot where the shuttle bus will meet you to take you to the main lodge.
