3 drinks Data Collection Tool User Guide The drinks association, now in its 117th year, is a non-profit organisation for all companies wholesaling wines, beers, spirits, RTD s and ciders in. The drinks association owns and publishes drinks guide online (updated regularly), drinks guide and drinks Yearbook (annual editions), drinks trade magazine (bi monthly) and the new online e-magazine drinks weekly. The drinks Association is committed to reinvesting into the distribution of its publications and the development of services to the drinks industry as a whole. The drinks association's mission is to be the pre-eminent supplier of information and services to the n Liquor Industry. Communication via various industry briefings ensures the Liquor Industry Network remains strong. The drinks Association publications ensure the industry is kept informed on all business matters relevant to the market place and provides manufacturers and producers with the opportunity to advertise and promote their products and services to the potential customers. 3

4 1. Supplier Login Click on Supplier Login and you will be transferred to the secure login page. User Name: This is your first and last name for example: Hope McMurdy Password: This is a 6 digit number. It comprises of the prefix 10 and the 4 numbers allocated to your company. For example:

5 2. Data Collection Tool This is the home screen and is the first screen you will see upon logging into the secure section. This screen will display your company profile and will enable all authorised users to edit contact information as well as access pricing and product data currently listed on the drinks Guide website 3. Company Profile Edit Profile click this to make any changes or additions to company profile information. View All this is a view only option. This edit page allows you to make any updates or changes to your company profile. Should you wish to change your company logo simply click on Select and upload the relevant jpg. gif or png image file. 5

6 Should you wish to add or delete information click on the tick or cross respectively. You can also select or deselect the tick boxes in the Company Classifications(s) section where appropriate. Alternatively, you may wish to add an additional form of contact. To do so simply click on the drop down menu and select the type of contact you wish to enter. Remember: all this information will be displayed on your profile contained in drinks Guide. Once you are happy with your changes click SAVE and the website will automatically be updated. Should this not be the case press F5 on your keyboard to refresh the site. 6

7 4. Export Products This tool will enable you to extract, or export, all the products currently listed under your company name into a standard excel format. Click on Export Products When prompted by browser, select save to save the Excel file. 7

8 Ensure you ENABLE EDITING before you commence changes, the ENABLE CONTENT. Finally, click yes to this file is a trusted document. Click View Downloads if using IE to open the Excel file. Click Open to open the downloaded file in Excel. Excel will present a warning message This file originated from an Internet location and might be unsafe. Click for more details. And a button entitled Enable Editing will also be displayed. Click this. Excel will present another warning message Security Warning. Macros have been disabled. And a button entitled Enable Content will also be displayed. Click this. It will take you directly to excel and a list of your products. You will note we have added a couple of fields as well as inserted the word unidentified where there is an empty field. These additions are part of the GS1 requirements and will assist in bringing the drinks association data into line with GS1. The following fields are fixed text fields and can only be selected from the list within the drop down box: Category Subcategory Unit of measure Units All other fields are free text fields and can be edited to your specifications. The fields included are: Brand Name - XYZ Sub Brand Name (if any) unclassified Product Name - ABC Size Carton Qty

9 Wholesale Price (ex GST) $ Brand website link URL www. *Start Availability Date date ABC company will commence supply * *End Availability Date date ABC company will discontinue the product * *Start Availability Date & *End Availability Date are not compulsory fields. They relate to specific products being supplied for a specific period only e.g. Christmas release or Winter/Summer release. However, it is important to note, if you supply a start date you must supply an end date (even if it is 10 years away). For e.g. If you know you will be listing a product in 2 weeks time, place start date to commence in 14 days and End Date in To remove products from your listing insert an End date (the date you are processing your changes). Once you export your data the product will be removed from your listing. You will note each field has a drop down filter attached should you wish to make changes to only one brand or region. This replicates the filter facility within excel. At this stage we are not collecting vintage as part of the data collection. However, this can be listed within the product description should you wish to do so for e.g. Springs Chardonnay Once you have completed all changes and deletions, save the file on your computer. Use the same naming convention provided. You are now ready to update the website. See example below: Please note the Unclassified comment within the data collection tool. The insertion of this word is a requirement of GS1 and fills all blank data fields. When you have completed all amendments to your spread sheet, save onto your computer in the usual manner (we suggest you save as of the date of completion). 9

10 5. Import data Finally, to update the data on the website. Simply click on the Select button to locate your saved data update. This will open your windows explorer so that you may select the appropriate file. You are now ready to send the file to the drinks Guide website. Click Send. Once the import process has completed you can return to your Company Profile and check that the changes have been made. For further information contact: 6. Brand Name Mandatory Data Format: AlphaNumeric Description The distinctive name of the product, the word part of the trademark, or the name of the manufacturer. The recognisable name used by the brand owner and recognised by the consumer. 11

Example: VXDF Red Wine 750ml; the size is 750 Size Unit of Measure Mandatory Selected from available values Description Default value is ML (Millilitre) Example: VXDF Red Wine 750ml the size unit of measure is ML. Please refer to Appendix 10 for available values. Unit Mandatory Selected from available values Description Default value is BOT (Bottle) The container of the product. 14 Description The product s wholesale price includes WET where applicable and excludes GST Start Availability Date Mandatory Data Format: Date Description Default value is current date. The date which the product becomes available from the supplier. End Availability Date Data Format: Date Description The date which the product is no longer available from the supplier. When a product is marked as Delete the system will automatically set the end availability date to the current date. However a future date may be data entered 14
