2 Planning a Special Event? We are here to serve you! Taher offers a full range of catering expertise. Let us help you plan your special gathering! Our guidelines & policies help to assist you in booking a catered event with Eagles Cafe. Upon approval of the date, room location and building, the process begins with the completion of a Catering Form. This form is available through the school s internal network. Please complete all required information, including the authorized budget account number, and submit it to the Office. The form must be submitted a minimum of seven (7) working days in advance of the event date. A late fee of 5% will be assessed for requests made five (5) working days or less of the event date. If your event requires special services and/or conditions, please specify on the Catering Form. A copy of your Catering Form will automatically be forwarded to the Office. If your event requires complex or customized requests, contact the Office and discuss the food service requirements for your event. The Eagles Cafe staff will help you with your menu selection from our culinary offerings or, if necessary, customize a menu for your event. Please call or the Office ( or pat.hinnenkamp@totinograce.org). takes pride in offering creative menus with tastes and flavors that reflect Totino-Grace s focus on nutrition and adherence to exacting standards. Our Culinary Team uses only the finest quality and freshest of ingredients to produce our recipes. Choose from a variety of favorites from our pre-established menu list to offer your guests a unique dining experience. Customized menus are available upon request. Eagles Cafe is a department within the food service area of Totino-Grace. Eagles Cafe does not maintain a liquor license and cannot sell any alcoholic beverages. Eagles Cafe has the ability to assist events requiring alcoholic beverage service by arranging with independent companies that can supply complete alcoholic beverages, qualified bartenders and all beverage supplies. Please contact the Director to discuss this option and associated costs. Eagles Cafe can offer events receiving donated beverages (including liquor and wine) bartending services at a rate of $25 per hour per bartender, and a minimum of 4 hours. by Taher Page 1
3 If there is a program before or after the meal, please notify the Director of Catering. There may be additional labor charges for service requirements that extend beyond the designated service window for your event. Catering activities requested outside normal school schedule such as holiday breaks or extended breaks and during the summer will incur a labor charge of $25 per hour per hourly staff member as required at a minimum of 4 hours. A waiver of the labor charge may be granted under special circumstances at the discretion of the TG Food Service Director. Catering arrangements should be made by completing the Catering Form. In arranging catered events, guaranteed attendance must be specified FOUR business days in advance of the event. This will allow ample time to finalize the ordering and planning process. You will be responsible for the guaranteed amount or actual number in attendance, whichever is greater. Eagles Cafe will generate a catering invoice for each event. The invoice will include the name of the customer, event name, date, invoice number, department budget code, description of the services, quantity and invoice amount. Catering invoices will be generated at the end of each month. Customers will receive the original invoice and a copy will be sent to the Business Office for inter-department charge back. External events receiving invoices will be required to submit payment to Eagles Cafe within 30 days of receipt of invoice. All cancellations must be submitted to the Eagles Cafe catering office by calling or ing ( or pat.hinnenkamp@totinograce.org) no later than 5 business days prior to the function to avoid a cancellation fee. Events or items cancelled less than 5 business days before the scheduled functions could be subjected to a 50% cancellation fee depending on the items and services requested. Events cancelled with less than 24 hours of the scheduled function may be charged 100% of the estimated food and beverage charge unless waived by the Director of Food Services. Unless specified, high quality disposable products will be furnished. If required, china, glassware, flatware and linen service can be provided on all buffet stations. China and glassware and linen will be rented to accommodate the additional guests. The cost of renting additional items will be in addition to the price per person listed in this guide. Wait Staff: If required, table service staff during your buffet will be charged at a rate of $25 per hour per staff member, for a minimum of 4 hours.
