12 12 Catering Policies Function/Meeting Space Please secure your function/meeting space through conference services prior to booking your catering needs. If filling out an online request please include full details of the location of your meeting/ function. ( Room number, floor, building name) Contact information for conference services: Menu Selection Here at Dalhousie Food Services we strive for the utmost in ultimate quality & catering services in order to provide that, we ask that orders are placed at least 3 business days in advance. For large dinners or receptions 14 days notice is required. Final numbers with firm dietary requests for all events are due 3 business days in advance. Orders placed less than 72 hours in advance will be based product & staff availability. Payment & Deposits For External clients 50% of your estimated charges are due 14 days prior to your event, with the remaining 50% due 72 hour prior to your event. Any balances owing will be processed the following business day. A valid credit will be required to be on file. 13 13 Catering Policies Cancellations Cancellations must be received at least three business days prior to the event in order to avoid a cancellation fee of 50% of all anticipated charges. Cancellations received within 24 hours of the function may be subject to a cancellation fee of 100% of all anticipated charges. MINIMUM ORDER CHARGE Please note that some menu items have minimum billing numbers. You may certainly order this service for a lesser amount of people however billing will be based on the minimum order depicted in the menu description. A minimum food order charge of $30.00 (before taxes) is required for all on campus deliveries. A minimum food order charge of $75.00 (before taxes) is required for any off-site functions. The catering office must be contacted by phone at least 5 days prior to the event for any off-site functions. ENTERTAINMENT & MUSIC FEES SOCAN, the Society of Composers, Authors and Music Publishers of Canada, administer fees for all events in which music or entertainment are employed. These fees, ruled by the Copyright Approval Board of Canada, range between $20.56 and $ depending on the banquet room capacity. Re:Sound is the Canadian not-for-profit music licensing company dedicated to obtaining fair compensation for artists and record companies for their performance rights. The associated fees range between $9.25 and $78.66 depending upon the banquet room capacity. These fees are automatically applied to your hotel invoice as well as applicable taxes 13
