4 Cookie Sale Program Timeline Getting Ready for the 2018 Cookie Sale Program Prior to January 12: 2018 Troop Cookie Coordinator (TCC) Position Description and Agreement must be turned into Girl Scouts of Eastern South Carolina s (GSESC) Product Program Specialist before Girls begin taking Cookie orders. All Girls must be registered members of GSESC. Prior to January 12: Train Girls and Caregivers on the 2018 Cookie Sale Program. Receive signed 2018 Cookie Sale Permission and Responsibility Form for each Girl. Retain throughout the duration of the sale. Distribute Cookie Order Cards. Remind families there is absolutely no selling before January 12 on your honor! January 9: Cookie Chat 7 pm, Topic: 2018 Things You Should Know. Pre-Sale (Initial) Order January 12: Pre-Sale order taking begins. Girls can send s through Digital Cookie. January 16: Cookie Chat 7 pm, Topic: Digital Cookie January 23: Cookie Chat 7 pm, Topic: Closing Out Pre- Sale (Initial) Order January 27: Pre-Sale Ends. Review Digital Cookie Orders, DOC Orders by Girl Report and add Cookies to be Delivered to the Initial Order tab in ebudde. January 30: Enter and submit Troop s Pre-Sale Cookie Order and Rewards Order in ebudde. TCCs will be locked out of the Initial Order tab at 11:59 pm. Remember to include your Troop s initial Booth Sale order as well. Collect Cookie Order Cards from each Girl. You will give them back at Cookie Delivery. Give each Girl a Goal Getter Order Card and encourage continued selling. No later than February 3: Turn in Cookie payment for Pre-Sale (Initial) Order to your SUCC. Remember to keep the $0.85 cents per package of Troop profit. You do not need to pay for your Initial Booth Sale order at this time. February 5: All Pre-Sale Cookie payments are due to Girl Scouts of Eastern South Carolina, 7257 Cross County Road, North Charleston, SC Goal Getter January 30-February 23: Girls continue taking orders on Goal Getter order cards February 6: Cookie Chat 7 pm, Topic: Goal Getter Phase Week of February 19: Pre-Sale (Initial) Cookie Delivery to Troops. Rewards will be distributed through Service Unit Cookie Coordinators around this time. Booth Sales Cookie Booth Sale sign-ups occur at January/February Service Unit meetings. Items will arrive late April. Mid-Late April: Your SUCC will notify you when patches/final Rewards are ready for pick up. Distribute rewards to Girls within two weeks of receiving them and communicate delivery plans to families. 6 5Skills for Girls When Girls participate in the largest Girl-led business in the world, they earn and learn they earn funds for their Girl Scout activities while learning 5 skills that will help them in business and life Goal Setting Girls set Cookie Sale Program goals and, with their team, create a plan to reach them. This matters because Girls need to know how to set and reach goals to succeed in school, on the job, and in life. Decision Making Girls decide where and when to sell cookies, how to market their cookies, and what to do with their proceeds. This matters because Girls must make many decisions, big and small, in their lives. Money Management Girls develop a budget, take cookie orders, and handle customers money. This matters because Girls need to know how to handle money from their lunch money to their allowance to (someday) their paycheck. People Skills Girls learn how to talk (and listen!) to their customers, as well as learning how to work as a team with other Girls. This matters because it helps them do better in school (on group projects, on sports teams, and on the playground) and later at work. Business Ethics Girls act honestly and responsibility during every step of the Cookie Sale Program. This matters because employers want to hire ethical employees-and the world needs ethical leaders in every field. Why do these skills matter? When your Girl Scout has learned these skills, she will be poised for success in her career. Think about it: When employers interview job candidates, they all look for the same thing. This is true whether the employer is a bank, high-tech company, hospital, publishing house, car dealership, accounting firm- or even the local pet store! 8 The Girl Scout Cookie Activity Pin Celebrating the 5 Skills with girls! All girls who participate in the Girl Scout Cookie Program are eligible to earn the annual Cookie Activity Pin. When they earn the pin, invite girls to share their accomplishments in each of the 5 Skills. Here s how girls achieve the 5 Skills through the Girl Scout Cookie Program: The Cookie Activity Pin is available for purchase at your local store or through The pin is a different color every year. 1. Goal Setting Set personal learning goals. What do you want to learn this year? What do you want to do better? Share this with at least one other person or your group. Set personal sales goals for yourself based on your personal and group goals. Keep a record of your accomplishments each year! 2. Decision Making Develop a basic business plan for your cookie sale. Work as a team with other Girl Scouts to decide when and where you ll sell cookies and what you ll do with the money you earn. 3. Money Management Develop a budget for accomplishing at least one of the goals you set in the Goal Setting step. Use this budget to help determine your sales goals. Be able to explain how the money earned in the Girl Scout Cookie Program helps you, your group, and your council. 4. People Skills Practice your elevator speech for customers about what you are selling, why you are selling it, and why they should purchase it. Make a list of customers you will approach. Don t forget people you sold to last year! 5. Business Ethics Discuss how living the Girl Scout Promise and Law applies to what you do in the Girl Scout Cookie Program as a businesswoman. 9 Girl Programs Volunteer Toolkit (VTK) Did you know that your Troop has access to the Financial Literacy and Cookie Business Badge requirements online? Co-Leaders of Girl Scout Daisies-Juniors can assist their Troop in earning these Badges with access to the Volunteer Toolkit (VTK). The VTK is a comprehensive, digital tool accessible on the computer, smartphone, or tablet. Talk to the Troop Co-Leaders about enhancing the Cookie Sale Program experience for Girls by building these Badges into the cookie season. Cookie Captains and Cookie Rookies These two programs engage experienced cookie sellers and new cookie sellers alike. A Service Unit or even a multi-grade level Troop can use these programs to boost participation and build your cookie team. Additional materials for the Cookie Captain and Cookie Rookie programs are available on GSESC s website at Cookie Captain and Cookie Rookie patches can be purchased from the GSESC Shop for $1.50 each. Bling Your Booth Encourage your Girls to bling out their Cookie Booth with lots of creativity to help generate the energy and attention that will attract more customers and sales! Ideas to Bling Your Booth: Create images and decorations promoting Operation Cookie Drop. Be sure to use your Operation Cookie Drop package wrap. Pick an original Cookie Booth theme, like tropical, Girl power, or glitz and glam it s up to you. Use cool color combinations. Create fun posters with your cookie goals. Dress up, and use colored lights to invite customers to a cookie party. Have fun with it!!! Everyone who participates in a Blinged Cookie Booth can receive a 2018 Bling Your Booth patch, available for purchase in the GSESC Shop for $1.50 each. National Girl Scout Cookie Weekend February 23-25, 2018 National Girl Scout Cookie Weekend offers every go-getter, innovator, risk-taker, and leader a chance to show off their cookie boss skills by participating in Booth, door-to-door, and digital sales throughout the country and to share how they re making the world a better place with their earnings. Celebrate with us by sharing your awesome cookie story! From camping, to traveling, to giving back to those in need, Girl Scouts are using their cookie earnings to do amazing things! During National Girl Scout Cookie Weekend, we re celebrating these amazing G.I.R.L.s in a big way! Buy 5 Contest Buy 5 is a contest for customers and a sales strategy for your Girls. Each time a customer purchases five packages of Cookies, the Girls can give them a voucher when they pay, for an entry into a drawing to win a case of Girl Scout Cookies! Every five packages = one voucher. The average customer purchases three packages. The Girls can use the Buy 5 Contest to increase their purchase to five packages. Provide a voucher to customers only after they have received and paid for their Cookies. Partner the Buy 5 Contest with Operation Cookie Drop and your Troop Gift of Caring. The Girls are sure to have a successful Cookie Booth Sale when they use all of their resources wisely! Vouchers were included in your Cookie program materials. If you need more, you are free to make copies. All of the details of the contest and how it works are shown on the voucher. Winners will be announced and contacted at the end of the Cookie Season. 10 Girl Programs continued Troop Gift of Caring (TGOC) To participate, Girls: Choose an organization where they will donate their Troop Gift of Caring cookies. Throughout the Cookie Sale Program, Girls offer their customers the opportunity to purchase additional packages of cookies to be donated to their organization. The Girls should be able to clearly identify the organization and share why their Troop has chosen to donate to it. Encourage your Girls to decorate a donation box. Troops should use their remaining inventory to fill their TGOC orders. Troops will need to place a Cookie Cupboard/warehouse order if they do not have enough extra packages to fulfill their TGOC cookie order. Participation in the Troop Gift of Caring program is easy and keeping track of which Girls in your Troop participate is easy, too! There is a TGOC column in ebudde that allows the TCC to indicate the number of TGOC packages donated for each Girl. The TCC will not need to enter which variety of cookie was donated. They will simply enter the number of packages in the TGOC column on the Girl Order tab. Operation Cookie Drop (OCD) GSESC s Operation Cookie Drop program encourages Girls to make a difference in their community by asking customers to donate a package of cookies to the men and women serving in the military. A few tips to grow your OCD sale: Set a goal. Assign someone to create a thermometer to keep track of packages sold and post it at your meeting. Create Operation Cookie Drop sandwich boards from two pieces of poster board to wear during door to door order taking. Visit local military support organizations and ask them to support Operation Cookie Drop. Remember to use your Operation Cookie Drop package wrap. Unlike your TGOC, no pickup or delivery is needed. These packages are virtual cookies. You will order them and allocate them to the Girls but you will never physically have these cookies. Simply collect and deposit $4.00 for each package sold. WE will present Cookies sold through Operation Cookie Drop to military organizations after the Cookie Sale has ended. The TCC will not need to enter which variety of cookie was donated. They will simply enter the number of packages in the OCD column on the Girl Order tab in ebudde. Operation Cookie Drop Outreach (OCDO) GSESC has so many partners throughout our 21 county council and we want to make sure they have the opportunity to purchase cookies to support our Operation Cookie Drop efforts. When you participate in Operation Cookie Drop Outreach you will be given the contact information for 10 of our partners. Your Troop will then be responsible for contacting the partner to see if they are interested in purchasing cookies for Operation Cookie Drop. GSESC will provide you with resources and talking points to help make the sale. All Girls who participate in the Operation Cookie Drop Outreach program will receive a patch, even if no sales are generated. The patch will not be ordered through ebudde. It will be mailed directly from GSESC. Contact Amy Hoffman at amypage@girlscoutsesc.org to request partner contact info. When cookies are sold through the Operation Cookie Drop Outreach program the TCC will not need to enter which variety of cookie was donated. They will simply enter the number of packages in the OCD column on the Girl Order tab in ebudde. All packages of cookies sold through TGOC, ODC, and/or OCDO will count towards the Gift of Caring Rewards. 24+ Packages sold through Gift of Caring: 2018 Gift of Caring Patch Cookie Pro Contest Girl Scouts of the USA s Cookie Pro 2018 Contest is an exciting opportunity to highlight the amazing skills and experiences that Girls gain through participating in the Girl Scout Cookie Program. Join us in celebrating the cookie entrepreneur skills of Girl Scouts nationwide unlock an awesome, limited-edition Cookie Pro 2018 patch while earning a chance to be featured on a Girl Scout Cookie package (not to mention going on an all-expenses-paid trip to New York City!). 14 Girls will have the option of Girl Delivery, which allows customers to purchase cookies on Digital Cookie and have them delivered by the Girl instead of shipped. When a customer makes a Girl Delivery order it must be approved by the Caregiver within ten days. Caregivers will need to communicate with the TCC to receive cookies to fulfill Girl Delivery orders. Girl Delivery orders must be a partnership between the Caregiver/Girl and the TCC. Instruct Caregivers to communicate with you when they need cookies to fulfill Girl Delivery orders. You can also see orders for all Girls on your Digital Cookie Troop dashboard. The Digital Cookie Mobile App Can Be Used to Accept Credit Cards! If a customer wants to purchase cookies with a credit card, Girls can use the Cookies in Hand feature on the Digital Cookie Mobile App. The Girl enters the amount of packages the customer is purchasing, enters the customer s credit card and hands the cookies to the customer. The sale amount will be reflected in ebudde. If a Girl sells cookies using the Cookies in Hand feature of the Digital Cookie Mobile App GSESC absorbs the credit card fees associated with the sale. The fees do not need to be passed off to the customer. Digital Cookie Features Option for Girl Scout to upload her own video and photo. She can also customize her website. In past sales, Girls who uploaded a personal photo or video more than doubled their Digital Cookie sales! Reports, graphs, and charts show Girls their sales in real-time. Customer tracking system allows Girls to upload contacts and keep them organized in one location. User-friendly web platform. Shipping Option, starting at $9.95 for 4 packages. Military shipping available too! Toffee-tastic and Girl Scout S mores available through Girl Delivery and Shipping option. Payments credited directly to the Troop through ebudde. Digital Cookie Dates Mid-December: An from Digital Cookie will be sent to Caregivers. It will give information on how to set up the Girl s Digital Cookie site. Remind Caregivers that this may end up in their Spam/Junk/ Promotions folder. January 12-March 18: Digital Cookie Shipping option available to customers. January 12-January 27: Girl Delivery orders can be added to the Girl s Pre-Sale totals in ebudde. January 28-March 12: Girl Delivery option continues, but Girl Delivery orders are fulfilled through extra packages or Cookie Cupboard/warehouse pickup. 21 Troop Cookie Coordinator (TCC) Training In an effort to provide consistent 2018 Cookie Sale Program training, GSESC is offering online training which will be available starting in December. This training will be for TCCs and any other Volunteers associated with the Troop that wish to participate in the Cookie Program. 22 Participant Info Participant Benefits By participating in the Cookie Sale Program, not only do your Girls learn the 5 Skills but it is supporting your Troop and Girl Scouts of Eastern South Carolina (GSESC). 100% of Cookie Sale Program proceeds stay in our council. GSESC uses funds from the Cookie Sale Program to: Provide financial assistance to Girls who would otherwise not have a Girl Scout experience. Maintain GSESC properties such as Sandy Ridge. Provide amazing programs with affordable fees. Participant Requirements All registered Girl Scouts with a signed 2018 Cookie Sale Permission and Responsibility Form can participate in the Cookie Sale Program. This includes Girl Scout Juliettes (Individually Registered Members). Girl Scout Juliette Procedures: Money-Earning Activities through Product Sales can be found at GSESC2018COOKIES. The Troop must have: At least two registered, approved, and trained Troop Co-Leaders. A registered Adult as the Troop Cookie Coordinator, who has signed the Troop Cookie Coordinator (TCC) Position Description and Agreement. The TCC can be a Troop Leader but it is always better for another Adult associated with the Troop to take on this role. All Troops must be clear of any debt due to GSESC in order to participate. Keep Safety In Mind Girls must be identifiable as Girl Scouts when selling cookies by wearing either a Girl Scout uniform or t-shirt. This includes during Pre-Sale and during Cookie a Sales. Girl Scout Daisies, Brownies, Juniors, and Juliette s must be accompanied by an Adult when selling and delivering cookies. Girl Scout Cadettes, Seniors, and Ambassadors must be supervised by an Adult and use the buddy system when selling and delivering cookies. Girls should learn and practice personal safety protection skills outlined in GSUSA and vendor provided activity materials. For example: Be familiar with the neighborhoods you sell in. Use safe pedestrian practices. Sell door-to-door only during daylight hours. Do not enter the home of a stranger or approach customer s cars. Do not carry large amounts of money. 23 Caregivers Meeting Caregiver Meeting Sample Agenda It is critical to schedule a meeting prior to the start of the sale with Caregivers (mother, father, grandma, grandpa, guardian, etc.) and Girls to explain the Cookie Sale Program, obtain permission, and recruit help. Below is a basic agenda for the meeting that should take between 30 minutes to one hour. Prior to the Meeting Get trained Online or at a Service Unit Training and pick up materials from your SUCC. Discuss a Caregiver meeting date and time with Troop leadership, reserve location, and communicate to families. Discuss the activities the Troop has planned for the year and potential Troop goal with the Troop leadership. Remember to include re-registering for the year as an activity. Write your deadlines and contact info on newsprint for families to record. Meeting Agenda Explain deadlines and Caregiver expectations, both programmatically and financially. Have each Caregiver complete the 2018 Cookie Sale Permission and Responsibility Form. Collect and keep in a safe place throughout the duration of the sale! Provide a Cookie Order Card to each Girl once their 2018 Cookie Sale Permission and Responsibility Form has been collected. Divorced/Separated Caregivers or Multiple Caregivers Have each Caregiver complete the 2018 Cookie Sale Permission and Responsibility Form Provide each Caregiver with a separate Cookie Order Card for when she sells cookies in their custody. Each Caregiver picks up ordered cookies separately, and received separate receipts. For Troops who participate in the Pre-Sale (Initial) Order and have a Troop PGA of 275+, the Troop will earn an additional $0.05 per package for their entire Pre-Sale Order (this does exclude Booth Cookies which aren t paid for with Pre-Order). Discuss the 5 Skills Girls practice during the Cookie Sale Program (see page 4). Talk about the activities the Troop has planned for the year. Work backward starting with the cost of the activity to calculate how many packages the Troop will need to sell to reach the goal. Together, set a Troop goal. Encourage the Girls to set their own goals based on this Troop goal and record these goals on their Cookie Order Card. Discuss Troop proceeds and the amount the Troop can expect to earn based on the goal. Remind families that any profit earned through the Cookie Sale Program belongs to the Troop, not individual Girls. If a Girl leaves the Troop no money goes with her to her new Troop. Review any Badges, patches, and/or pins the Troop is planning to earn throughout the program, including participating in a Cookie Rally, Cookie Programs, or Cookie Booth Sales. Provide families with information about Digital Cookie. Let them know to expect an from Digital Cookie with more information on signing up. Remind them that this may end up in a Junk/Spam/Promotions mailbox. Review the cookie varieties and cookie cost. We sell Little Brownie Baker cookies. Thin Mints, Samoas, Tagalongs, Do-si-dos, Trefoils, and Savannah Smiles cost $4.00 a package. Girl Scout S Mores and Toffee-tastics cost $5.50 a package. Payment for Pre-Sale cookies is collected when the cookies are ordered. Troop profit is 85 cents per package of cookies sold. Troops who have an Initial Troop PGA of 275+ will get to keep an additional 5 cents per package (only applies to Pre-Sale packages which are paid for). Review Cookie Booth Sales Etiquette Agreement and procedures. The agreement can be found at: Discuss safety (see p. 20). The Cookie Sale Program is a Girl program and Adults should refrain from selling for their Girl Scouts. Girls should sell in their designated area. Girl Scouts should observe GSESC jurisdiction (by zip codes) when marketing products in person. Girl Scouts should observe GSESC jurisdiction when selling cookies in a Caregiver s workplace. Be direct regarding rules and business ethics. This includes: no selling before January 12, no returning cookies, check policy, your deadlines, debt consequences, customer integrity (if a Girl takes an order, she must fulfill that order in a timely manner after receiving cookies or communicate a delay to the customer). Remind Girls to collect contact info from each customer on the order card and provide receipts. Ask for help! There are so many different parts of the Cookie Sale Program. There is something for every Adult in your Troop to help with. Thank families, and encourage the Girls by explaining they are now participating in the largest Girl-run business in the world! 24 Pre-Sale Phase The Pre-Sale phase is the initial portion of the Cookie Sale Program. GSESC s Pre-Sale orders are taken January Taking Orders Girls are on their honor not to sell until January 12. Provide Caregivers with clear instructions about the start and end dates of the Cookie Sale Program. See page 21 for a Caregiver meeting outline. Thin Mints, Samoas, Tagalongs, Do-si-dos, Trefoils, and Savannah Smiles cost $4.00 a package. Girl Scout S Mores and Toffee-tastics cost $5.50 a package. Payment for Pre-Sale cookies is collected when the cookies are ordered. If the Troop accepts personal checks they should be written out directly to the Troop. Girls can go door to door, hit the streets, pick up the telephone, and log into Digital Cookie to start taking orders. Remind them a week ahead of time when you need their cookie order card. Give yourself at least a day to enter their orders in ebudde. Caregivers will need to write down their Digital Cookie Girl Delivery orders on a line on their paper cookie order card if you intend to order these Girl Delivery orders on the Troop s Pre-Sale (Initial) order. Otherwise, these orders will need to be picked up at a Cookie Cupboard/warehouse and/or filled with the extras you ordered for Cookie Booth Sales. Log into ebudde after the Caregivers meeting to become familiar with the website and ordering system. Make sure participating Girls are listed. If a Girl is not listed, they are not currently registered with the Troop. Contact us at customercare@ girlscoutsesc.org if the Caregiver says they have paid and registered their Girl(s). You can begin entering Girl orders at any time in ebudde and click Save to save your progress without submitting your order. Step by step ebudde instructions can be found in the ebudde Troop User Manual, which you received with your Cookie Sale materials. There are 12 packages of cookies per case. Your Pre-Sale (Initial) order will be rounded up to make full cases for you. Who s Responsible and For What? The Troop Cookie Coordinator (TCC) is financially responsible for: 1. Any cookies ordered through ebudde TCC s must be aware of the total number of cookies submitted in the Troop ebudde order. Make sure to check for extra large numbers before hitting the submit button. Cookies ordered through ebudde and picked up at delivery, cookies exchanged or swapped with another Troop, or cookies picked up at a Cookie Cupboard/warehouse. Be sure to always count and verify your cookies and complete a receipt. There are no exchanges, replacements, or adjustments. A signed delivery ticket is FINAL. 2. All monies collected. Make sure any time cookies or money exchanges hands that a receipt is written, dated, and signed. All Girl payments received from Caregivers or at Cookie Booth Sales. Always complete a receipt. TCC s should deposit all monies in the TROOP account promptly and frequently. Any lost or stolen money is the responsibility of the TCC. 3. All Pre-Sale and Final Rewards earned by the Girls. TCC s must distribute all rewards to Girls without outstanding debt within two weeks of receiving. Each family is financially responsible for: 1. All cookies ordered by their Girl Scout. The TCC should utilize ebudde and receipts to manage the cookies received by each Girl. 2. All monies collected from customers. Families must turn in all payments to the TCC by the given deadlines. Turning money in as collected is recommended. Any lost or stolen money is the responsibility of the Caregiver who signed the 2018 Cookie Sale Permission and Responsibility Form. What Is the Return Policy? Cookies cannot be returned to GSESC once signed for by a Troop or Caregiver. Once signed for the become the financial responsibility of the Troop or Caregiver. What If a Package is Damaged? If a package is damaged, it can be exchanged at a Cookie Cupboard/warehouse for a non-damaged package of the same cookie variety. Damaged means: Crushed package Sealed but empty package Unsealed package Returned by customer for any reason Girl Scouts of Eastern South Carolina Cookie Sale Program

25 Goal Getter Phase This is the second part of the Cookie Sale Program running from January 28-February 25. It s the time between when Girls turn in their Pre-Sale orders and when they receive their cookies. Keep the momentum going by utilizing these suggestions! When your Girls turn in their cookie order cards with their Pre-Sale orders, hand them the Goal Getter order card that was included with your Cookie Sale materials. Collect the Goal Getter order cards and pick up additional cookies from these sales at Cookie Cupboards/warehouses starting February 26 or use cookies from your initial Booth Sale order to fill the Goal Getter orders. Girls can contact customers that they missed in January and new customers any time. They can also continue to send s through Digital Cookie! Encourage your Girls to continue reaching their goals by setting Goal Getter goals using the Goal Getter patch or any of the other great items for sale. See pages for more information. Ways to Increase Sales During the Goal Getter Phase Use a door hanger to maximize potential orders when going door-todoor. Cookie recipe cards are great promotional materials. Recipes can be found at GSESC2018COOKIES Use social media to spread the word It s Cookie Season Use e-cards from littlebrownie.com Contact local businesses for sales-suggest they buy by the case. 26 Cookie Delivery Cookie Delivery is the week of February 19. Your SUCC will announce the date, time, and location of your Troop s pick up. Delivery Basics Each delivery site is a bit different, but here are the basics. Your SUCC will let you know about any additional information you need. Arrive at your assigned time. Please alert the delivery site worker who greets you if you have multiple cars. Use a vehicle (or vehicles) to pick up all your cookies at once. See the chart on the right for general guidelines on the amount of cases that will fit into a vehicle. Please note that this guide is only accurate if your vehicle is free of car seats, strollers, stuff, and humans in the back seat. Avoid carrying cookie cases and children in the passenger area of a vehicle at the same time. If you need multiple vehicles to pick up your order, be sure you arrive and get in line together. You are required to get out of your car and count the cookies as they are loaded. Your Troop is responsible for all the cookies for which you sign for. Do not accept damaged cookies. If there is an error, notify a delivery site worker immediately. Tell them to slow down, if needed. We will not fix shortage errors. Count, count, and recount before you sign for your cookies and leave the delivery site. Pre-Sale Rewards will be delivered on cookie delivery day as well. Make sure to leave room in your vehicle for them. If your Troop misses delivery due to an emergency, contact your SUCC as soon as you can. 27 Cookie Pick Up by Caregivers and Girls Follow these easy steps to ensure a successful cookie delivery to your Caregivers and Girls! Notify Caregivers of the date, time, and location they can pick up their order. Give yourself enough time to get home from delivery, unload the cookies, and prepare the orders. Sort all cookies and orders before you let any Caregivers pick up their cookies. This will help you identify a problem with orders before anyone picks up. Prepare cookie receipts for each Girl. When Caregivers pick up, have them count and verify their order. Complete a receipt for every cookie transaction. Remember Caregiver s are responsible for all cookies for which they sign. Write a receipt each and every time cookies or money exchange hands. Keep receipts in a safe place with the signed 2018 Cookie Sale Permission and Responsibility Forms. If you have a Girl with multiple Caregivers, be sure that they pick up their separate orders. At this time, you can collect the Girl s Goal Getter order cards. You can give them their Goal Getter cookie orders from Cookie Booth cookies you ordered or you can place a Cookie Cupboard/warehouse order for pick up beginning February 26. Cookie Receipts Provide a receipt each time cookies exchange hands to keep a record of who is financially responsible for those cookies. Protect yourself, protect your Troop, and protect your Girl Scouts. Date the receipt and include the Troop number and Girl s name You and the Caregiver should sign the receipt. Keep one copy and give the other copy to the Caregiver. Customer Cookie Delivery Checklist As the Girls pick up their cookies to deliver to customers please remember to cover the following: It s important to deliver the cookies to customers as soon as possible. Cookie Booth Sales begin March 2, and if customers see that other people have their cookies before they do, they will be upset. When Girls deliver their cookies, they should ask the customer if they would like to order additional packages as the ones they ordered are likely to be gone within a short time. 28 Cookie Booth Phase The third phase of the Cookie Sale Program is Cookie Booth Sales! This is also the most exciting part of the sale. Cookie Booths will take place March Every Service Unit has a different system for signing up for Cookie Booths. Most sign up for Cookie Booths during January/February Service Unit meetings. It is okay to start selling at Cookie Booths as soon as you have Cookies in hand and after March 18th if you still have Cookies leftover. What is a Cookie Booth? Cookie Booths allow Girls an opportunity to reach their goals and make a difference in their community! Troops pick up more cookies from a Cookie Cupboard/ warehouse and bring Girl Scout Cookies to the public. The Girl Scout Cookie Booth is not just a Booth, but the most highly anticipated Girl run business of the year! What Do I Take To A Cookie Booth? Confirm your Cookie Booth assignment and check for any specific rules for the location. Arrive ON Time with: Cookie Booth Sale Confirmation A table and cash box (with money for change) Signs for marketing your cookies Decorated donation box (if allowed) Girls with their Girl Scout uniform, t-shirt, or Girl Scout pins, that identify them as Girl Scouts Where Do I Get Cookies To Take? Troops get cookies from a Cookie Cupboard/ warehouse for extra orders and Cookie Booth Sales. Information on locations and hours of operation can be found on page 29. How Many Cookies Should I Take? Every Cookie Booth Sale is different. If this is your Troop s first Cookie Sale talk with other TCC s in your Service Unit to get their advice. The table below are suggested package amounts for the first weekend. Cookie Booth Rules There should be a minimum of two Adults and two Girls at a Cookie Booth Sale during one timeslot. If the business has multiple doors two Adults must be at each door. A Girl Scout Juliette can participate in Cookie Booth Sales. They must also have two Adults with them. All Adults at a Cookie Booth Sale must be registered members of GSESC. Participants (Girls and Adults) must wear uniform, Girl Scout t-shirt, or Girl Scout pins. Be on time for your Cookie Booth Sale. Do not arrive early and expect to set up while the other Troop is finishing their sales. Count cookies and money before and after each Cookie Booth Sale. Write a receipt before and after to verify. 29 Cookie Booth Phase Cookie Booth Rules (continued) Carry a cash box with around $60-$90 in change. Do not ask the store for change! Troops can collect credit card/debit card payments for Cookie Sales through the Cookies in Hand feature on the Digital Cookie Mobile App. The Girl enters the amount of packages the customer is purchasing, enters the customer s credit card and hands the cookies to the customer. The sale amount will be reflected in ebudde. If a Girl sells cookies using the Cookies in Hand feature of the Digital Cookie Mobile App GSESC absorbs the credit card fees associated with the sale. They do not need to be passed off to the customer. If a Troop is using a Square or another credit card processing device (other than the Digital Cookie Mobile App) they are allowed to transfer the credit card processing fee to the customer only with the customer s permission. You must have a visible sign stating the cost difference of the cookies per package when paying with cash verses using credit/debit cards. Example: Cash $4.00 per package, Credit/Debit Card $4.11 per package. Bring your own table and chairs. The business is not required to provide a table or chairs. Do not block doorways or harass customers. This includes yelling and obnoxious chants. Allow customers to come up to the table. Do not eat, drink, smoke, or chew gum at Cookie Booth Sales. The Troop is representing Girl Scouts to the community. Do not leave empty packages, cases, or trash at your Cookie Booth table. Any Cookie Booths listed in ebudde are linked to the Booth Sale Locator. Customers using the Booth Sale Locator can see when and where Booth Sales occur. Do not be a no show. If you cannot attend a Cookie Booth, contact your SUCC/Booth Sale Coordinator to find a new Troop. If two Troops show up at the same time for a Cookie Booth Sale, the following steps need to be followed: Remain calm. Do not make a scene. Both Troops will check their Cookie Booth Sale Confirmations. If one Troop has misread its Cookie Booth Sale Confirmation or did not bring a Cookie Booth Sale Confirmation, that Troop will leave. In the event of a double booking, please call your SUCC/Booth Sale Coordinator. They will advise you on how to proceed. If the SUCC/Booth Sale Coordinator is unavailable, the Troop with the lower Troop number will remain at the location and the other Troop will leave quietly and respectfully. Please remember that you are setting an example for all Girl Scouts. Cookie Booth Problems The following is what you should do if your Cookie Booth has Cookies or money stolen: 1. Call Call GSESC s Cookie Hotline at Submit Police Report. 4. GSESC s Director of Communication and Marketing will field media requests. ALTOGETHER AWESOME! 27

31 Cookie Cupboards What is a Cookie Cupboard? Cookie Cupboards are locations where Troops can pick up more cookies both to fill the Girls additional cookie orders and for Cookie Booth Sales. GSESC has 21 counties and we have strategically placed Cookie Cupboards/warehouses throughout our entire council to accommodate the Troops needs to replenish cookies. Pick Up Directions for All Locations Troops must place reorder 48 hours in advance using the Pending Order function in ebudde. The Troop representative picking up cookies must have a completed and signed 2018 Cookie Pick Up Authorization Card and photo ID. Cookie Warehouses and Cookie Cupboards Charleston Dale J. Additional Cookie Cupboards locations to be announced at Service Unit trainings and meetings. Who Can Pick Up Cookies For the Troop From a Cookie Cupboard/Warehouse? A Pending Order must be placed in ebudde 48 hours in advance of cookie pick up. The Troop representative picking up cookies must have a completed and signed 2018 Cookie Pick Up Authorization Card and photo ID. If the card and ID are not presented cookies will not be released. When cookies are received from a Cookie Cupboard/warehouse, the Troop is taking financial responsibility for those cookies. Pending Order A Pending Order is a Troop transaction in ebudde that is directly connected to a Cookie Cupboard/warehouse and tells the Cookie Cupboard/warehouse what cookies the Troop would like to pick up. Troops must schedule their Pending Order requests at least 48 hours in advance of pick up. Place a Cookie Cupboard/Warehouse Order To ensure that we have accurate stock in each Cookie Cupboard/warehouse, all Troops are required to place a Pending Order before they can pick up cookies. In the Transactions tab, click the Add a Transaction button. Chose a pick up date and time that matches the hours of operation for the Cookie Cupboard/warehouse. Choose Type: Normal and 2nd Party: Cupboard. Select the Cookie Cupboard/warehouse from the drop down box. Product Movement should say Add Product because you are adding cookies to your Troop. Enter your quantities. Please note that order must be placed by the full case (12 packages). Add the contact info of the person who will be picking up the order in case there is an error. Once your order is complete, click OK. This will place your order at the Cookie Cupboard/ warehouse and you will now see your order highlighted in green in your Transactions tab. Click the Save button at the top of your screen to complete the transaction. A pop up box will appear confirming your changes to the Transactions tab. All Pending Orders not picked up by pick up time and date will be deleted from ebudde. ALTOGETHER AWESOME! 29

32 Allocating Cookies Why is it Important to Allocate Cookies to Girls? Every package sold counts toward Girl rewards. Girls will need to be given credit for cookie sold after the Pre-Sale order. Follow these easy instructions on how to allocate cookies to Girls for cookies sold post Pre-Sale. You can allocate cookies each time they are picked up, once a week, or at the end of the sale, whatever works best for you. Click the Girl Orders tab. Click the Girl s name you want to allocate cookies. Click Add a Transaction. Enter the details of the transaction such as Booth Sale 3/9 or extra pick up 3/8. Using the tab key, move across the rows and allocate cookies under the appropriate column. When finished, click OK. Click Save before moving to another Girl s name. Make sure that you have allocated all cookies to Girls at the end of the Cookie Sale. All cookies must be allocated in order to place Final Reward orders. Booth Column Cookies sold at Booth Sales are already paid for by the customer who purchased them at the Booth Sale. To keep the balance due by Girl accurate, tab over to the Paid column and enter the dollar amount received. Extra Column Cookies sold during the Goal Getter phase of the Cookie Sale Program should be allocated in the Extra column. OCD and TGOC Columns Customers who purchase Operation Cookie Drop or Troop Gift of Caring packages at Booth Sales or with additional orders should be allocated properly in these columns. If these packages were purchased at Booth Sales, tab over to the Paid column and enter the dollar amount received to keep the balance correct in ebudde. Girls will need to have cookies allocated in the OCD and TGOC columns for the Gift of Caring rewards to be ordered. How to Allocate Digital Cookie Girl Delivery Orders If a Girl sells cookies through the Girl Delivery option of Digital Cookie and they were not added to the Pre-Sale order: Once a Caregiver tells you they need additional cookies to fulfill a Girl Delivery order from Digital Cookie you will need to allocate them to the Girl under the Cookie Other column. Enter the details of the transaction such as DOC Girl delivery 3/10 or DOC order 3/8. Do not mark a payment for these packages. A financial transaction will already be listed under the Girl s name from Digital Cookie as being paid Girl Scouts of Eastern South Carolina Cookie Sale Program

33 Payments Cookies are allowed to be sold through March 18, 2018 Payment for Pre-Sale orders is collected at the time of sale. This money is due to GSESC by February 5. March 18 is the end of the 2018 Cookie Sale Program All money is due from Girls and families to the TCC by March 19. Troops should have all final monies deposited into the Troop account no later than March 19. Collecting Payment Be cautious! If Caregivers have $500 worth of cookies out and they have not made a single payment, request that they bring a payment back to you before you give them more cookies. Make sure to document all communications with Caregivers as you pursue payments. This information will be needed if you need to submit a Past Due Caregiver Payment Report. Deposit All Collected Money Deposit ALL money into your TROOP account promptly and frequently. Girls should turn in checks often for prompt deposit into the Troop account. The Girl s first name and Troop number should be written on the memo line of all checks she submits to the TCC. Bounced Checks It is up to the Troop to decide if they will accept checks. If your Troop accepts checks for payment make sure that they are made out directly to the Troop. It is helpful to have the Driver s License number on the check in case it is returned. Fees associated with bounced checks are the responsibility of the Troop. The biggest reason checks are returned is because they are not deposited promptly. Make frequent check deposits! Caregiver Debt As the TTC, you are required to complete a Past Due Caregiver Payment Report for any Caregiver with an outstanding balance, no matter the amount. You received a Past Due Caregiver Payment Report with your Cookie Sale materials. Additional reports can be printed from tinyurl.com/gsesc2018cookies. If a Girl does not pay: DO NOT use Troop funds to pay the Caregiver debt. Complete the Past Due Caregiver Payment Report. Attach a copy of the signed 2018 Cookie Sale Permission and Responsibility Form, copies of all Cookie/Money Receipts signed by the Caregiver, and any additional documentation. Incomplete forms or forms without an attached 2018 Cookie Sale Permission and Responsibility Form will not be accepted. The balance owed will fall on the Troop, the Troop Co-Leader and/or the TCC. Please remember to make a copy of everything before turning into SUCC/GSESC. Past Due Caregiver Payment Report(s), and supporting documentation, are due to the SUCC by March 23. Delinquent Debt Consequences The easiest way to ensure your Troop does not have debt is not ordering more cookies than you can sell. Be conservative with your orders. You can always go back to the Cookie Cupboard/warehouse and get more if you run out. Do not wait until the last week or after the sale to ask for help if your Troop is having problems selling the cookies you have. Your SUCC and GSESC s Product Program team is here to help you. Girl Restrictions Any Girl whose Caregiver has a delinquent Cookie Sale balance may only participate in Cookie Booth Sales. They may not participate in the Fall Sale Program. The Girl can still participate in Troop activities and she should still receive her rewards. Caregiver Restrictions The TCC must submit a Past Due Caregiver Payment Report and supporting documentation in order for delinquent Cooke Sale balances to become responsibility of a Caregiver. Caregivers who are delinquent in paying their Cookie Sale balance will be contacted by GSESC s Product Program Department in April. If payment is not received, a legal action letter will be mailed. Caregivers with a delinquent Cookie Sale balance cannot hold a Troop or Service Unit position for at least one year after the balance has been paid. Caregivers with a debt cannot attend or help at a Booth Sale. Troop Restrictions Troops who are delinquent in paying their Troop Cookie Sale balance will be contacted by GSESC s Product Program Department in April. If payment is not received, a legal action letter will be mailed. TCC s and Troop Co-Leaders with a delinquent Cookie Sale balance will be removed from their leadership position. New leadership for the Troop will be sought or the Girls will have the opportunity to move into an existing Troop. Troops who have had Cookie Sale debt in previous sales (that has been paid off) may not be able to participate in Pre-Sale and/or Booth Sale portions of future Cookie Sales. This will be decided on a case by case basis. ALTOGETHER AWESOME! 31

34 Closing Out Your Sale Troop To Troop Transfers We suggest you work with other Troops in your area to help with inventory management. If a Troop has cookies that you need, swap, or transfer them! Cookie Swap You swap cookies for cookies with another Troop. You give six packages and take six packages no transaction is needed in ebudde. Cookie Transfer You need Thin Mints and another Troop has a case that they can give you. They give you the case of cookies, and in doing so, transfer the financial responsibility to your Troop. Complete a receipt; both Troops must sign it. The Receiving Troop enters this transaction into ebudde. Entering a Cookie Transfer in ebudde (Receiving Troop) Go to Transactions tab and click Add a Transaction. Select Type: Normal and choose Second Party: Troop. Enter the Troop number of the Giving Troop. Under Product Movement, select Add Product since you are adding the other Troop s Cookies to your inventory. Click OK and then click Save to complete the transaction. Both Troops will now see the transaction in ebudde. Allocate All Cookies to Girls See page 30 for more information on allocating cookies to Girls. All cookie packages must be allocated in order to place Final Reward orders. Left Over Cookies After the Sale is Over If your Troop has left over inventory beyond March 18, the Troop still needs to pay their complete final payment to GSESC using their profit from the cookies they have sold. Be sure to seek out your SUCC for support before the Cookie Sale is over if you suspect your Troop will have leftover inventory. Determining Council Payment To determine how much money your Troop owes to GSESC, go to the Sales Report tab in ebudde. The bottom of the report will tell you how much your Troop has earned and what is owed to GSESC. Final payment is due to GSESC by March 28. Payment should be made by one Troop check made out to Girl Scouts of Eastern South Carolina or GSESC. Payment can also be made by using the Troop s debit card. Selecting and Submitting Final Rewards Before you can enter the Girls Final Rewards, you must finish allocating all the cookies. Do not complete your Final Rewards selections until this is done, as allocations can change the rewards. See page 30 for allocation instructions. In the directions below, we suggest using the Edit All feature to make the Girls selections all on the same page. There is not a save feature, so if you use this, be prepared to complete all Final Reward selections at once. The Gift of Caring and Digital Cookie rewards will be ordered for the Girls automatically based on how cookies were allocated in ebudde. Go to the Rewards tab. Click Fill Out next to the Final Rewards Order. All messages showing Size/Catalog Selection Needed means you must enter a choice for the Girl at a certain level. Click Edit All and scroll down to each Girls name and make her selections. Once this is complete, select Submit All Reward Orders. The system will alert you if a choice has been missed. Review the Troop s total order and scroll to the bottom to select Submit Reward Order. After this point, you cannot make any edits. If you need to make changes, contact your SUCC immediately. Cookie Sale Program Evaluation You will receive an from ebudde toward the end of the sale with a link to the Cookie Sale Program Evaluation.
