8 Wedding Package Policies General Information Room rental rates include set-up, coordination of event and event clean up. Tables, chairs, glassware, china, silverware, white linen and choice of overlay and napkins, and display tables. Menu choice will include a plated or buffet meal with no more than 3 menu choices offered. Hor D oeuvres will be limited to a choice 3. Wedding package inclusions vary and will be better explained on the following pages. Deposit and Fees - The package rates are based on a 5 hour event. Room rental fees are subject to a pre-tax 20% service fee and Virginia State tax of 9.3% on the service fee. All events will end no later then 11:00 pm regardless of start time, unless prior arrangements have been made with Management of The Mimslyn Inn. A signed contract and non-refundable deposit of $ will confirm your booking. Another deposit of 50% of the estimated remaining function cost will be required a minimum of 60 days prior to function date. Payment in full, based on the guaranteed count, is due 7 days prior to the event, unless prior arrangements have been made. Food and Beverage - Your menu selection, room-set-up and the requests will be outlined in a Banquet Event Order (BEO) which will be prepared based on discussion with our sales department. The BEO will be ed to you for final review and signature confirming details. Any addendum to the BEO will be binding by both parties. A guaranteed number of attendees is due 14 days prior to event date. The guaranteed number of guests must be made no later than 7 business days prior to the event date. *Wedding Cake - Outside vendor wedding cakes are encouraged. Delivery and set-up would not be the Inn s responsibility. Should the Inn be asked to cut the cake, a $3 per guest fee will apply. Plates, forks and napkins will be supplied by the Inn. Guest Room Accommodations: A minimum reservation of twenty (20) guest rooms is required to book a wedding venue. These rooms are specified based on venue location. Any rooms within the required twenty room block that remain vacant will be added to the final bill. Requests over the required 20 rooms will be blocked out awaiting individual reservations. Exceptions do apply. Miscellaneous Information Adequate conference/banquet space has been reserved for your agenda. Final specifications will be detailed at least 30 days prior arrival. Should the need arise; we reserve the right to relocate your event(s) to another room. We will make every effort to contact you in advance should this be the case. Cancellation Policy If you decide to cancel your event, you agree that the Hotel will suffer damages. Such damages will be a result of the Hotel s inability to offer your unused space or services to another group and /or the cost to the hotel of trying to re-sell same space/services. The exact amount of damages will be difficult to determine. Therefore, you agree that the liquidated damages clause is a reasonable effort by the parties to agree in advance on the amount of damages. * Should you chose not to purchase a wedding package, a la cart menu and room rental options are available. Due to licensing and insurance requirements, all food and beverage to be served on Hotel property must be supplied and prepared by Hotel. In addition, no remaining food or beverage shall be removed from the premises.
