35 PLANNING YOUR SPECIAL EVENT Arranging and Reserving a Date and Location Even if the date or guest count of your event is only tentative, please notify our catering sales office of your event so that we can make preliminary plans to ensure a memorable occasion. Our catering specialists are here to assist you in person with your event details or you may order by phone at Our Location, Mailing Address, & Web Address We are located in the SSC E.T.Dunlap Student Union Boren Blvd Seminole, OK Booking & Planning an Event Whether the event is to take place on or off campus, you need to have a confirmed reservation for the location before we will be able to make deliveries. Tables, chairs, linens, and other equipment will need to be arranged at this time as well. To reserve a room for an event please contact us via at kara.lambert@sodexo.com or call us at (405) Contact us at least 21 days before the event so we can accommodate special orders for linens and such. This is the time for a thorough discussion of all specifics and details. OFFICE HOURS Monday thru Friday 8:30 am to 4:30 pm We are closed on some holidays. Event Confirmation and Guarantees After we have finalized all the details for your special event, you will receive a customer contract. It is required that you sign a copy of your contract to guarantee and confirm the event. The final headcount for food and beverage is due 72 business hours before the scheduled event date. You will be billed for the final guaranteed headcount unless the headcount increases on the day of the event. Payment All catered functions must be secured by payment before they occur. A non-refundable deposit equal to the same amount as the room rental is required to secure the event. The final balance is due on the day of the event. Tax exempt organizations are required to submit a copy of their exemption certificate prior to their date. Otherwise taxes will incur. Non-University groups will be charged an additional 18% service charge. Changing/Canceling an Event In the event of a cancellation you are responsible to notify us at least 5 business days before your function and your deposit will be forfeited. If you do not contact us with a final count within 3 business days allowed, we will prepare for the estimated number and charge accordingly. If you cancel or change an event after this deadline, some of the expenses already incurred cannot be absorbed and will have to be billed. - continued - 39

36 Delivery Fees There is no delivery fee for catering services held within the SSC Campus. Deliveries outside the campus will be subject to a dollar amount or 10% delivery fee, whichever is greater, not to exceed $ Attendants To ensure that your event is a success, catering staff will be provided for all served meals and some buffets. If additional time is needed, a fee of $15 per hour, per attendant, will apply. To ensure that your event is a success attendants may be required. If attendants are needed, additional charges of $15 per hour, per server, with a minimum of four hours. Service Staff Continental breakfasts, breaks, and receptions are priced for selfservice. Buffet style functions are staffed with one attendant for every 25 guests and are included with the per person price. All waited meals servers are included. Food Removal Policy Due to health regulations, it is the policy of Flavours, Sodexo at SSC that excess food items from events cannot be removed from the event site. Items purchased for pick up should be properly stored prior to the event and removed and disposed of by the host of the event. Alcohol Policy Seminole State College does not permit alcohol on campus. Sodexo does not provide bar setup or alcohol service. All such services must be arranged by the client. Catering Equipment As the host of the catered event, you are responsible for the equipment we have provided for the service of your catered event. Any missing or damaged catering equipment or supplies will be charged to your account at replacement cost.
