2 Event Policies Ballroom Minimums: Our stately ballrooms require a minimum of 50 guests in order to provide a reception. For more intimate parties 50 persons or less, an elegant banquet room may be reserved. Reception Times: We offer four (4) hours for your wedding reception. Additional time is available at a charge of $350 per hour, plus service and tax and the cost of extended services, if applicable. Event Deposits & Payments: All receptions require a non refundable deposit of $1000 upon contract signing. Your initial deposit will be applied to the final bill. A deposit of 50% of the estimate bill is due 30 days prior to arrival. The final deposit is due 2 weeks prior to the event. All forms of payment are accepted. Personal checks must be submitted no later than 14 days prior to your event. Any guarantee changes 72 hours or less prior to the start of your event will require full payment at that time. Any overpayment or credit will be returned to you within 30 days after the function. Event Guarantees: In order to assure that we can prepare appropriate quantities, the anticipated attendance for meal functions must be specified by 11:00 am no less than three business days (72 hours) in advance of your event date. Your anticipated attendance will be considered a GUARANTEE OF ATTENDANCE, not subject to reduction in number. If your attendance increases, the guarantee of attendance will increase and charges will be made accordingly. If the Guarantee is not received within 72 hours of the function, the Hotel will assume the Guarantee count to be the number provided in the original contract. Service Charge & Tax: A service charge of 20 percent and Maryland state tax, currently 6 percent, is included in the per person cost. Food and Beverage Arrangements: Final menu selections should be submitted six weeks prior to the function to ensure the availability of the desired menu items. No food product (with the exception of your celebration cake) may be brought onto the premises. Food items left over from your function (other than your celebration cake) may not be removed from the hotel under any circumstances
