With spectacular city views and overlooking the famous Windy Hill oval, our three function rooms are designed with style and practicality. Our function facilities are very popular and can cater for any desired occasion, from weddings to birthdays, business seminars to any special occasion. We have a dedicated and experienced function team to assist and organise your next function. Two car parks offering free parking are located on Napier Street. Limited on street parking is also available on Napier & Brewster Streets. 22 Need Decorations The Windy Hill functions department can arrange all your decorations to give you what your function needs. Our preferred supplier of decorations is PARTY S BALLOONS. Together with them, we will make your function just how you want it, all you need to do is sit back & enjoy! Balloons can be air or helium filled, in any shape or colour you wish. Helium balloons on the ceiling, table centers or bunches of balloons, even Topiary trees can be made ~ the choice is endless! So come in and enjoy a coffee with us while we discuss all areas of decoration! Need a DJ? Why not have our photographer take the worry out of it for you It s your event and you would like to spend time enjoying it with your guests Do you want to be stuck behind a camera? NO! - Then you need our photographer to take the stress away!! Let our photographer Capture your memories with beautiful images of the fun, love and excitement of your event. All images will be provided to you by USB stick so you will have all the pictures to keep and print as many as you wish. All images will be provided to you within 10 days of the event. 25 Terms and Conditions Essendon Football Club Windy Hill Venue General information and conditions of booking We look forward to assisting you in the preparation of your function. We would like you to be completely familiar with our general information and conditions. Confirmation of Booking The booking will be considered as confirmed upon receipt of the room hire, guard fee and security bond deposit, together with the completed function booking form. Room Hire & Minimum Spend Requirements The EFC room hire charge pertains to all organisational groups and personal celebrations. Hire costs include facilities, equipment, linen, food & beverage servicing, as listed on booking form, subject to availability. Public Holidays & New Years Eve All events held on public holidays and new years eve will incur a 15% surcharge on all prices. Please Note: In order to provide performance & quality service the following minimum catering charges apply. Business Seminars $ of catering before the venue will take on a function. If a function does not exceed this amount, Management will invoice the company the full amount. Member Discounts Members room hire discounts will only apply if the booking form is in the same name as the Windy Hill Venue membership. The discount is only valid for private functions. Membership must be financial and held for 12 months prior to the function date. Food and Beverage Menus The Essendon Football Club Windy Hill Venue is the sole caterer for all functions. Suggested menus are selected from a range of food and beverage items, but we are pleased to offer other options to suit your specific requirements. No food or berverage items are to be brought onto the premises except for ONE celebration cake which must be used as part of your event. Please note: Every effort is made to maintain prices, however prices quoted for events are subject to CPI. Management reserves the right to adjust the price quoted for catering by no more than 3%. Beverage prices in this package are a guide only, and actual prices charged will be the current prices on the date of the function. Menu and service details For smooth running of your function, the planning of menu and service should be finalised seven (7) working days in advance of your function. 25

26 Terms and Conditions Essendon Football Club Windy Hill Venue General information and conditions of booking (continued) Final attendance numbers and payment The final and minimum chargeable number of guests attending the function is required by 12 noon, five (5) working days prior to the date of the function. Payment of catering, decorations and entertainment must be paid in full, 3 days prior to the function. Final payment must be settled on the conclusion of the function, unless otherwise authorised. Late payments will incur a 10% late fee. All payments made by American Express will incur a 3% surcharge. Decorations and technical requirements Decoration and technical requirements other than those available in the function room can be arranged. No signage or display material is to be nailed, screwed or stapled to any surface of the complex. Cancellations EFC requires written notice of a cancellation or postponement. More than 60 days prior to the function, a full refund of deposit will be given. Less than 60 days prior to the function, the deposit will be refunded only if room is re booked. Dress Code Essendon Football Club Windy Hill Venue function rooms have a dress code of neat casual. No singlets or rubber thongs are permitted. Smoking Policy Smoking areas are provided outside. Condition of Entry All non-members of EFC Windy Hill Venue are required to sign the visitors book upon entry. Bond Policy A $ bond is payable as a part of the deposit for all functions. Essendon Football Club reserves the right to retain the bond if any irregular cleaning or repairs are required following the completion of the function. This will be fully refunded should the venue be left in a satisfactory condition. Security Guard Policy Essendon Football Club Windy Hill Venue reserves the right without liability to exclude or eject any objectionable persons from the function area. Some reasons include, but are not limited to, under-age drinking, drunkenness and antisocial behaviour. Where applicable a compulsory security guard fee will be charged. This helps us cover the cost of hiring professional security guard(s), which are crucial to ensure the smooth running of your function. As a guide this fee is $ for less than 120 guests in attendance and $ for 120 or more guests in attendance. However, EFC management reserves the right to advise whether one or more guards are required and as such, charge the applicable fee. No adult entertainment is permitted in any form. 26

27 Responsible Service of Alcohol Essendon Football Club Windy Hill Venue promotes responsible service of alcohol (RSA) at all times. We do not tolerate under age drinking or any persons who assist under age drinking. It is an offence for a person who is under 18 years of age to: Buy alcohol Possess alcohol in a licensed premises Possess alcohol in a public place Use false identification to buy alcohol It is an offence for a person who is 18 years of age or over to: Send a person who is under 18 years of age to buy or collect alcohol from a licensed premises Supply alcohol to a person who is under 18 years of age on a licensed premises It is an offence for a licensee to: Supply liquor to an intoxicated person Allow a drunken person on the premises or remain on the premises Drunk Violent, or Quarrelsome If you are: You must leave the premises when asked. As part of promoting responsible serving of alcohol spirits must be on a cash basis at all times. Please note that if any of these laws are breached this may effect your security bond and function.
