2 welcome to the UW Oshkosh Alumni The Alumni serves as the University of Wisconsin Oshkosh s front door. The 44,000-square-foot facility is home to three University departments provides high-quality conference, reception banquet facilities. Ideally located on the scenic Fox River, the new conference center features: Contemporary event spaces for groups of five to 500. A Gr Ballroom with floor-to-ceiling windows. A 36-person executive board room with state-of-the-art technology. CELEBRATE Four well-equipped, 40-person breakout rooms. A 14- person modern board room. Outdoor function areas, including a patio gas fire pit. Onsite catering with an array of menu options. Hearing loop technology free wireless Internet. Ample free parking. In addition, by hosting your private or corporate event at the University, you gain access to the many faculty scholars, trained facilitators, college musicians expert conference planners available through the University of Wisconsin Oshkosh. 20 policies of the UW Oshkosh Alumni RESERVATIONS Reservations for meeting event spaces may be made one calendar year in advance of the function. Reservations may be made through the Alumni (AWCC) Conference Event Services Office by calling (920) or sending an to Upon booking your event, a written confirmation will be sent to you. To confirm a reservation, a deposit signed rental agreement are required. Should the onsite contact request change to the existing room reservation specifications, the AWCC will do its best to comply (based upon the availability of space, supplies equipment.) However, a labor fee will apply. Rates are based on a maximum 9 hour reservation. AUDIO-VISUAL EQUIPMENT Audio-visual (AV) equipment is available for rent on a first-come, firstserved basis. Should your requirements exceed our available in-house supplies, we will make arrangements to rent additional equipment to meet your needs charge the cost of such additional rentals to you. All AV equipment should be reserved at least seven days prior to the event. On-site staff members will be pleased to help set up connect technology, such as laptops, projectors, screens conference phones. Should your event require more complex production support, we will be happy to make arrangements with one of our technology vendors charge the cost of such additional services equipment to you. Groups may bring in their own technology to use at the AWCC. However, we cannot guarantee the compatibility of devices. Please let our event services staff members know about the equipment you intend to bring one week in advance so we can arrange any necessary cables or cords. Please arrive at least 30 minutes prior to your event to test A.V. equipment. AWCC Policies 18

21 CATERING All food beverage served at the AWCC must be provided by our on-site caterer, Flavours catering by Sodexo. To ensure all food items are available at the time of your function, all menu selections should be made with the catering staff at least three weeks in advance of the event. Menu prices will be guaranteed at the time the signed contract is received. Catering orders placed less than 72 hours in advance of the function will be assessed a $25 late fee. A final guaranteed number of attendees must be made three business days in advance. The guaranteed number will provide the count for minimum billing unless the number present exceeds the figure. For meals, Sodexo will provide food services for 5 percent above the guarantee. Sodexo will provide linen for all food service dining tables. Linen for additional tables (meeting tables, registration, exhibit, head tables, etc.) is available with at least seven days notice, at our customary charge of $5 per table. All food beverages ordered must be consumed on premises. ALCOHOL SERVICE POLICIES Our caterer, Sodexo, must provide all liquor beverage services. Liquor cannot be brought into the AWCC from outside sources (except for prizes or gifts that cannot be opened or consumed on the AWCC premises). All alcoholic beverages served at the AWCC must remain on the premises. Food service is required for all events at which alcohol is served. All alcohol service will be discontinued 30 minutes prior to the scheduled end of all events. Host cash bar options are available. Bar Set-Up Fee There is a $50 bar set-up fee for all private host cash bars. Bar set-ups include a portable dry bar, glassware, ice napkins. This fee is waived for groups of 100 or more guests. Bar Sales Minimum In addition, a $75/hour per bartender sales minimum is required. If this minimum is not met, the difference also will be billed to the host. We recommend one bartender for every guests. AWCC Policies 19

22 PARKING Free parking options are available for guests attending your event. Please contact the Event Services Office to discuss parking arrangements for your group. All AWCC guests are subject to the parking rules restrictions as determined by the UW Oshkosh Parking Office. Parking permits are required throughout campus (Monday Friday until 4 p.m.). Parking in any legal, non-reserved space on the UW Oshkosh campus, including the parking ramp, is free from 4 p.m. on Friday through 6 a.m. on Monday. DECORATIONS Open flames decorations or displays that require water may not be used inside the AWCC. The use of tape, glue, nails, thumbtacks or adhesive on the walls, ceilings, door frames, columns, chairs or staging is prohibited. The use of glitter, confetti fog machines also is prohibited. Please contact us to discuss your decorating plans. SERVICE CHARGES AND STAFFING Staffing charges are included in current rental rates. In addition, no service charge will be applied to your food beverage account with Sodexo. If additional staff is required, a fee of $25/hour, per additional staff member will be assessed. The AWCC will be closed on Thanksgiving, Christmas Eve, Christmas Day New Year s Day. Events taking place on the following holidays will be assessed a $75/hour staffing fee: Easter Sunday, Memorial Day, Independence Day, Labor Day New Year s Eve. AWCC Policies 20

23 DELIVERY AND STORAGE OF MATERIALS All deliveries to the AWCC must be arranged through our Event Services Office. The AWCC will not accept deliveries unless arrangements have been made in advance. You will be required to provide the labor or reimburse us for the cost of unloading setting up such delivered items. The AWCC does not assume responsibility for damage to or loss of any materials or equipment left in the building on display or in storage. All items will be given the same care protection given to AWCC property. RESPONSIBLE USE All groups organizations scheduled to use the AWCC will be responsible for the actions of their members guests. They are responsible for the proper use of the facilities, furnishings equipment in the scheduled area by anyone attending the function. In the interest of personal safety, building users must follow all fire safety regulations, including not exceeding rated seating capacities for event spaces; keeping aisles doorways clear unobstructed. Additional charges will be assessed for labor when an excessive amount of cleaning is required to return the areas to their original state. Additional charges also will be assessed for damages resulting from chewing gum, cle wax, decorations, or the misuse of any furnishings or equipment where repair or replacement is required. SALES TAX AND TAX EXEMPT GROUPS A Wisconsin state sales tax of 5 percent will be added to your account, unless a tax-exempt certificate is on file seven days prior to your event. Tax-exempt status is only applicable to the amounts paid from your organization s account. For all off-campus government/state groups, a Wisconsin Purchase Authorization is required within 60 days of the signed booking agreement. If the event is booked less than 60 days out, a Wisconsin Purchase Authorization is required with the signed booking agreement. AWCC Policies 21

24 DEPOSITS AND BILLINGS Non-University groups are required to make a deposit for the event space with their signed confirmation. In addition, Sodexo may require an additional deposit for food beverage service. The following groups may be required to prepay for their event: social, political, religious, nonprofit, fraternities, sororities, reunions other events with unverifiable sources of revenue or when attendees pay. Detailed invoices for event services catering will be sent to the billing contact after the event. Payments will be due within 30 days of the dated invoice. Unpaid fees charges after 30 days will be subject to a 1-percent per month carrying charge. Groups or organizations with past due accounts (beyond 30 days) will not be able to reserve rooms for future events any current reservations may be cancelled until the balance is paid in full.
