24 Function Services and Information General Information All food and beverages must be provided and prepared by the Hotel, with the exception of specialty made cakes: Birthday, Anniversary, Wedding. Menus, Audio Visual, Phone, Internet arrangements, meeting requirements and all details pertaining to your event must be finalized with your catering representative no later than 30 days prior to your event. Enclosed for your consideration are suggested menu selections. In addition,, we would be more than happy to discuss recommendations or customize a menu for your group. Due to Health Department regulations no food and beverages are to be removed from the function room and or premises. All food and beverages must be consumed during the event and any remaining leftovers remain the property of the Hotels. Hotel Liability The Hotel reserves the right to inspect and control all private functions. The customer agrees to be Responsible for any damage to the hotel. The Hotel will not assume responsibility for damage to or loss of any merchandise or equipment brought into the Hotel. Security arrangements can be made if needed and with advance notice at an additional fee. Outdoor Functions Functions scheduled for outdoor courtyard or pool area will require back-up space to be held indoors incase of inclement weather. Outdoor functions will automatically be moved inside if the weather report three hours prior to the start of the event predicts a 40% or greater chance of rain. The Hotel Management reserves the right to final decision for the need to move the event indoors. Shipping and Receiving The Hotel will receive materials no sooner than three business days prior to the function. Any vendors, suppliers or participants who are shipping materials to the hotel will be charged a handling and storage fee of $3.00 per box for each box over 5. Each item should be clearly marked with the following information: Name of Organization/Event Onsite Contacts Name Date of Function Number of boxes shipped Smoking Policy This Hotel is a smoke free environment. Smoking is permitted only in designated guest rooms and outside areas. Signage and Decoration All signage must be professionally created and displayed. Please contact Catering Manager with regards to proper procedures regarding anything that needs to be applied to meeting room walls.

25 Function Services and Information Electrical Requirements All electrical service requests must be clearly stated and received by the Catering Department at least two (2) weeks prior to the event. Appropriate charges will be assessed. Audio Visual This Hotel does not have an on-site Audio Visual Technician. All Audio Visual requirements you may have should be discussed with the Catering Department. A brochure with rental prices will be provided upon request. Please notify us as soon as possible of your needs, as some equipment requires advance notification for arrangements to be made. Beverages The Hotel holds a liquor license granted by the liquor commission, and is held responsible for complying with its regulations. To ensure the proper regulations of our licensed premises, no alcoholic beverages may be brought into the hotel function space. All beverages will be provided and dispensed by the Hotel servers and bartenders. Guarantees A guaranteed number of attendance is required no later than Three (3) business days prior to the function. If no guarantee is provided, the expected attendance at the time of the contract signing becomes the guarantee. The guarantee is the minimum number for which you will be charged. The Hotel will set and prepare for 6% over your guaranteed count. Should your actual attendance exceed your guarantee, you will be charged for the actual number of attendees. Once a guarantee is submitted you are not permitted to lower the count due to cancellations. The final guarantee must be 80% of the contracted number. If the count falls below this percentage, you will be charged the difference. Meeting Rooms We have 7000 total square feet of function space with adjustable lighting and built in sound system. The Hotel provides complimentary pads, pens, pitcher of iced water and mints on all meeting room tables. Executive meeting accessories/sets can be provided at an additional cost. Meeting Room Assignment Function rooms are assigned according to the anticipated number of guests. The Hotel reserves the right to reassign function space in the event the room originally designated fur such function shall be inappropriate or unavailable, in the Hotels sole opinion. Approval must be received from the Sales and Event Management office before publishing function room names. Surcharge All buffet meals have a minimum number of guests required. If a group falls below that minimum a labor fee will be assessed and charged to their master bill. Please see menus for minimums. Parking Complimentary self parking is available for hotel guests. The Hotel is not liable for any vehicle or its contents parked in our parking lot.

26 Function Services and Information Transportation The Hotel provides complimentary shuttle service to and from Hartsfield Jackson International Airport from 4:00am-2:00am every 30 minutes on the 15 and 45 Security The Hotel will not assume any responsibility for any damage or loss of merchandise brought into the Hotel or left in the Hotel prior to, during or following a customers function. Arrangements can be made for security of exhibits, articles for display and merchandise, prior to the planned function with Event Management. It is at the Hotels discretion if security will be required for an event. All security is at the expense of the client. Service Charge and Taxes A 21% Service charge and Applicable Taxes applies to all food, beverages, audio visual charges and room rental/set up fees. Service charges and taxes will be posted respectively and are subject to change. All prices are quoted exclusively of service charge and tax charge. For tax exempt groups, a copy of your Georgia tax exempt form must be received no later than 30 days prior to your event for approval from our accounting department. Payment All function space is to be confirmed definite with your signed contract and required deposit. Some events may require an additional payment of 50% of contracted charges thirty (30) days prior to your event. This information will be included in your contract agreement. Final payment is due no later than Three (3) business days prior to your event along with your guaranteed attendance. Should your actual charges exceed the prepaid amount, that payment is due at the conclusion of the event. The Hotel accepts the following forms of payments: Cash, Credit Card, Debit Card, Money Order and Certified Bank Checks (we do not accept personal or business checks)
