1 Baywood Golf and Country Club Event and Wedding Catering Guide B aywood Golf and Country Club is the perfect choice for your wedding, meeting, banquet, or golf event. For over 50 years, members and guests have enjoyed the unsurpassed views of verdant greens and fairways with redwood and spruce trees as a stunning backdrop. Conveniently located between Eureka and Arcata, our facility has a friendly, sophisticated feel. Our banquet facility seats up to 220 guests with views of the golf course. Outdoor patios, a cozy fireplace and a private meeting room for small groups add to the ambiance and functionality for your event. You can look forward to the finest in cuisine and service at Baywood Golf and Country Club. Our Chef and kitchen staff area highly skilled team and can create anything you desire. 2 Event Policies Baywood Golf and Country Club and its staff look forward to the pleasure of serving you and your guests. Please be assured of our complete cooperation in every way to ensure the success of your event. SPONSORSHIP: All events are sponsored by a Baywood Golf and Country Club member. BOOKING: Dates are held on a first-come, first-served basis and must be secured by a $200 non-refundable deposit based on room and date booked. PAYMENT: One-half of the estimated cost is due 60 days in advance of the event. The balance is due seven days prior to the function. FACILITY: The club has three rooms available for functions. The dining room seats up to 220, the Fireplace Room seats 30, and the Redwood Room is designated as a private meeting room for 20. Note: Seating capacities may vary depending on event. PRICING: All prices for food and beverage are subject to an 18 percent service charge and 7.5 percent California state sales tax. Baywood Golf and Country Club reserves the right to change quoted prices as necessary until ninety (90) days prior to the event. VENUE RENTAL: A charge of $2.00 per person ($500 maximum for functions) will be added to all other charges. The room rental fee is based on a five hour period. Overtime fees of $125 per hour will be added when applicable. Included in the rental fee are services such as house linens, PA system, set-up and clean-up. Items not covered in rental fees include special order linens, extra table/chair rentals, decorations, music, security, damage or insurance. All rentals are to be rented by the Club and will be charged to the party. A flat fee of $500 is charged in addition to the room rental fee if you are hosting your wedding ceremony at the Club. REDWOOD MEETING ROOM: Daily room fee is $125. If food service is included in the event, 50 cents of each one dollar spent on food and non-alcoholic beverages will be credited towards the room fee (maximum of $100 credit for members and $75 for non-member events). MINIMUMS: A minimum attendance of 75 persons is required for dinner banquets (Friday and Saturday evenings are available), and for all buffet meals. Hors d oeuvres receptions require a minimum food expenditure of $3,000. Buffet items may not be taken to go. GUARANTEE: All menus must be finalized two week in advance. An exact count of attendance and/or entrée selections is required seven days in advance and will be reflected on the final billing. DAMAGE: Baywood Golf and Country Club is not responsible for damage or loss of personal property or equipment left in any room prior to, during, or after a function. Baywood reserves the right to inspect and control all private functions. No nails, tacks, tape, etc., may be used to secure decorations to surfaces in clubhouse. Liability for damages to the premises will be charged accordingly. RESTRICTIONS: No food or beverage of any kind are permitted to be brought into the clubhouse by the patrons or their guests, with the exception of special occasion cakes from a licensed caterer. No food will be permitted to be taken from the Baywood premises. California state law prohibits consumption of alcoholic beverages by any person under the age of 21 years. The Club reserves the right to terminate liquor service at any function if it is evident that minors are present with the intention of consuming alcoholic beverages, or if Baywood staff observes intoxicated guests attempting to procure liquor after being denied such. SMOKING: Smoking is not permitted within any Club building. DRESS CODE: All attendees are required to observe the Club s dress code. Baywood Golf and Country Club considers the following as appropriate attire: (1) Shirts must have sleeves and collars for males, or mock turtle necks. No T-shirts or tank tops are allowed. (2) Sleeveless blouses are permitted for females. No halter tops or bare midriffs. (3) No short shorts, athletic shorts, or cutoffs. As a guide, shorts should be no shorter than mid-thigh. Spandex pants are not permitted. (4) Shoes must be worn at all times. CANCELLATION: Function cancellation must be received at least 60 days prior to the event. Cancellation received with less than 60 days notice may be charged 50 percent of the anticipated charges. Page 2
