1 Welcome to JM Cellars Thank you for your interest in JM Cellars for your event. For the last 15 years we have worked to create a truly unique setting in the Woodinville area that appreciates the surrounding nature, charms our friends and family, along with providing an extraordinary location to make our award winning wines. The land on which JM Cellars sits is called Bramble Bump and we invite you to view and explore the property. We understand each event requires a high level of personal service with attention to detail. Whether you are planning a wedding or anniversary, a gathering for friends and family, or corporate event, we understand each event is unique. We value the relationships we build and hope to share the joys of Bramble Bump property with your guests and we strive for the highest level of customer service. Our team has years of experience planning private events and events for our own club membership. The Events team has created a list of preferred caterers and vendors who share our level of customer service, which can be provided upon request. Knowing there are several event locations to choose from, we are pleased to be in consideration. The enclosed summary outlines our venue and includes the JM Cellars Comprehensive Event Planning Guide that will walk you through all the details. 2 From Our Family to Yours JM Cellars is our family s labor of love. We strive to craft exceptional wine that honors the land, delights those who share it, and celebrates the people who work it with us. We take our winemaking seriously, but we vow never to become so resolute that we forget why we came to Bramble Bump in the first place: to live well, laugh often and love much. OUTDOOR AREAS The Rock Garden - In the front of the winery we have a quaint rock garden with a lush natural backdrop. The garden can accommodate up to 40-seated guests, weather permitting. The Arbor - Located at the end of the Bocce Ball court provides a grass lawn option. The lawn can accommodate up to 60-seated guests, weather permitting. The Pond - The pond located at the base of Bramble Bump is a lovely option. Please inquire about capacity. The Patio - Accommodates up to 72-seated guests during the summer months. 2
3 INDOOR AREAS The Barrel Room - With a private path to the JM Cellars Barrel room, guests arrive, sip wine and mingle as the event preparations are finalized. The Barrel Room door opens into the enchanting wine Library lit with candles and featuring past vintages of JM Cellars wine. Barrels line the room lit with votive candles and guests take their seat looking beyond the 20 foot copper doors into the lush landscape. The Barrel Room can accommodate up to 72-seated guests. The Fireplace Room & Tasting Room - With a wood-burning fireplace, the Fireplace Room has a rustic charm perfect for small events. This room is often used as a reception room, the bar and occasionally to showcase the wedding cake. These rooms can accommodate up to 40-seated guests or 55 guests with occasional seating. Renting any portion of the venue gives complete access to all event areas. Your event here is exclusive and JM Cellars will be closed to the public for the full duration of your event. 3
4 OVERVIEW Thank you for considering JM Cellars for your upcoming event! We look forward to helping you create a unique and memorable gathering for your celebration whether with family and friends or corporate businesses. To arrive at an accurate estimate, it is necessary to ascertain your event requirements and personal preferences. Please contact us at events@jmcellars.com or call (425) to discuss your upcoming event. We look forward to helping you create a memorable occasion. THE DETAILS CAPACITY The outdoor capacity is 72 guests for a sit-down dinner during summer months, weather permitting. Indoor capacity is 40 guests for a sit-down dinner and up to 55 guests for a stand-up event. PRICING The cost of hosting an event at JM Cellars is determined by the following factors: Facility Fee, Beverages, Rental Needs, Valet Service. Weddings incur an additional ceremony fee. FACILITY FEE The facility rental is determined by the day, time of year in addition to the guest count. Enoteca Wine Club members receive a 15% discount off the Facility Fee. The Facility Fee includes exclusive use of JM Cellars for a maximum of five hours and one JM Cellars staff member onsite for the duration of the event. For rentals in excess of five hours there is a $75 charge each quarter hour plus overtime fees for valet service. JM Cellars closes at 11:30 pm. BEVERAGES We exclusively serve JM Cellars wines. Wine minimums are determined by the guest count. Wines will be selected up to 30 days prior to the event. Wines unused will be available to the host upon departure. Enoteca Wine Club members receive their membership discount on all wine. Should you wish to provide beer and or sparkling wine there will be a surcharge per bottle/keg. Distilled spirits are not permitted on the property. Alcohol service will conclude 30 minutes prior to the scheduled event end time. All alcohol will be served by a server who is licensed in accordance with the current Washington State Liquor Control Board guidelines. RENTAL NEEDS Outdoor events may include rentals of bistro lighting and or tenting. Our event coordinator will work with you to determine what is needed and will coordinate the rental of these items. VALET SERVICE Due to the intimate, exclusive location, parking is limited. The use of valet service will be required for events. JM Cellars will coordinate valet service based on the size of the event.
5 CATERING You may hire caterers from the Preferred Caterers list provided. The caterer will be responsible for supplying all tables, chairs, linens, place settings, and glassware needed. In addition they will provide all staffing for set-up and break down of equipment, food service, bar service, clean up of kitchen and grounds, including removal of all garbage from the property. Caterers will be required to be onsite for the duration of the event. CONTACT US To learn more about holding an event at JM Cellars, please contact us anytime. Self-guided tours of our site are available during regular tasting room hours (11 a.m.-4 p.m. Friday, Saturday and Sunday). Monday through Thursday the winery is closed to the public, appointments during the week must be scheduled in advance between the hours of 9 am and 3 pm. We look forward to meeting you soon. 6 SCHEDULING YOUR EVENT RESERVATIONS To reserve a date, there is a $1000 refundable security deposit and a signed contract along with the first event deposit. The first deposit is 60% of the total cost of the event and may be paid with a credit card or check. The second deposit will be due 14 days prior to your event, along with the final head count. Additional charges will be invoiced within 10 days after the event. The security deposit will be refunded if no breaches to the contract have been made or applied to the remaining account balance. CANCELLATION POLICY Cancellations more than 90 days prior to the event will incur a $1000 cancellation fee. Cancellations less than 90 days prior to the event will result in a $1500 cancellation fee plus expenses incurred such as equipment rentals, valet service, etc. The JM Cellars Event Contract outlines the cancellation policy. EVENT HOURS 6:00 PM-11:00 PM Please Note the following time allotments (example for a wedding timeline) -Wedding Couple Arrival: 5:00 pm -Guest Arrival: Guests to arrive no earlier than 6:15 pm. -Ceremony: 6:30 pm -Wedding Guest Departure: No later than 11:30 pm. -Caterers: May arrive at 4:30 pm to unload -Vendor Set-Up/ Dissemble: Vendors may arrive at 5:00 pm. Vendors must be ready to leave the property no later than 11:30 pm. *Vendors must park in the lower parking lot. -Rentals must be picked up between 8:00 am -10:00 am the following business day. CERMONY AND RECEPTION COORDINATION We require the contact information for the wedding coordinator; all weddings at JM Cellars do require a full time wedding coordinator. This ensures the coordinator is familiar with the JM Cellars property and expectations for the event can be established well ahead of the event date. MUSIC Amplified music is permitted on the property; however, JM Cellars reserves the right to terminate the music if complaints are received. The City of Woodinville has an ordinance that requires all music to end by 10:00 pm. If the City of Woodinville issue fines against JM Cellars for violating the music ordinance for the day of the event, a $1000 fine will be added the final invoice for the event and deducted against the refundable deposit. WEDDING REHEARSALS Wedding clients may rehearse during a one-hour block of time. The rehearsal time can be requested one month prior to the event and will be scheduled based upon availability at the winery.
7 LIABILITY The Renting Party is responsible for the conduct of all persons attending and assisting the event. Renting Party shall be liable for all damage or loss to the Property caused by the event or persons attending and assisting the event as determined by JM Cellars. Proof of Liability Insurance will be required. UNCONTROLLABLE FACTORS The renting party shall be aware that all JM Cellars venues are in an environment impacted by the weather and natural forces. JM Cellars shall not be held liable for any impact due to weather or other natural causes on the quality or feasibility of the Event. In the event of inclement weather or other impacting circumstances, JM Cellars will attempt to reasonably accommodate for any changes; however, JM Cellars does not make any guarantee regarding the content or success of such accommodation. OTHER RESTRICTIONS NO sparklers, non-organic confetti, glitter, rice, birdseed, straw and/or hay are permitted. Please reference the contract for specifics regarding fines/fees. It will be the responsibility of the lessee to communicate this to the wedding coordinator and all other vendors. There will be a $500 deduction of the Security Deposit for use of any of the above items. Cigarette and Cigar smoking is permitted in designated areas only. CHILDCARE The renting party shall provide childcare for all children in attendance with the exception of babes in arms.
