2 Your venue hire costs Whether you are hosting a large wedding banquet or intimate celebration, our exclusive function rooms have something to offer to everyone, plus there are no minimum number requirements (subject to the hotel s discretion). May to September plus December Friday or Saturday: Sunday to Thursday: October to April (not including December) Friday or Saturday: Sunday to Thursday: Civil Ceremony Room Charge: (This is in addition to the Registrars fee. Ceremonies must be booked by the bridal couple with the Nottinghamshire Registry Office ) Maximum numbers: Our Courtyard Conservatory can seat up to 54 guests for a wedding breakfast. Our Normanton Suite can seat 120 guests for a wedding breakfast - for an evening Reception, the room will hold a maximum of 200 guests (100 seated). Your accommodation Complimentary Bridal Suite or 4-Poster for the Bridal Couple, for the night of the Wedding Allocation of 15 Rooms for the Wedding Party at the following rates: - Executive Double/Twin: Sunday to / Clumber Double / Twin / Disabled: Sunday to / Clumber Family: Sunday to / plus children s 5.00 per child (upto the age of 12 and for over 12 years of age) Rates are inclusive of full English breakfast, use of the New Leaf Spa Club between check-in (2pm) and check-out (11am) and prevailing rate. The 15 room allocation must be named & guaranteed by credit or debit card at the latest 8 weeks prior to arrival. Any rooms holding after this time will automatically be released. Reservations must be made by your guests directly with our Reservations team on , quoting a group reference number which is confirmed with your contract.

Your Stationery We are delighted to be able to offer an additional service of providing beautiful hand made stationery, post boxes, table plans, menu s and place cards to coordinate with your colour scheme (please ask for details). Your Hair & Make-up Please ask your wedding coordinator for details about professional hair and make-up for your special day, which can be provided in-house or from your chosen destination. Your Entertainment We can recommend our in-house DJ at an additional cost of There is a fee of for guests providing their own entertainment (including a disco). PATS testing and liability insurance certificates must be provided without exception at least 14 days prior to your special day. 8 Your Terms & Conditions Booking You are welcome to put a provisional hold on any available date for 2 weeks. Should a deposit not be received within this time frame, the hotel will automatically release the date. If you would like to proceed without provisionally holding a date, you can move directly to securing your booking. To proceed with the booking, a non-refundable deposit of is required which will then be followed by your contract. A further deposit of 40% of the estimated final balance is payable 26 weeks prior to your special day (estimated on figures discussed at your initial meeting). 8 weeks prior to your day, your personal Wedding Coordinator will meet with you to discuss your finishing details, after which the final balance is payable 2 weeks prior to your special day. Cancellation Written cancellation via registered post must be received by the hotel (fax, , verbal cancellation is not acceptable). Provisional bookings - No charges are applicable Confirmed bookings - in excess of 26 weeks prior to your booked event, the non-refundable deposit is retained by the Hotel. Between 36 weeks and 35 days prior to your booked event, 50% of your estimated final balance will be chargeable. Within 35 days to your booked event, 100% of your estimated final balance will be chargeable. In the case of postponements - the Hotel shall be at liberty to levy an administration charge of 10% of your estimated final balance. You must inform the Hotel of your chosen alternative date and, subject to availability, all deposits paid shall be credited to the alternative date. Cancellations/Increase in numbers - Any cancellation of numbers must be communicated to the hotel before your final balance invoice is raised. Any cancellations after your final balance invoice is paid cannot be refunded without exception. Any increase in numbers must be communicated no later than 1 week before your special day and fully pre-paid. Catering The full amount of your guests must be catered for. Once the catering numbers have been finalised and pre-paid 2 weeks prior to your day, there will be no allowance for anymore food to be made on the night. We do not allow any other caterers within the hotel, and no other food items are permitted except the wedding cake, favours, chocolate fountain or sweetie table. The Bridal Couple accept that their wedding guests are not allowed to bring or consume food or beverage not supplied by the hotel on the hotel premised, without prior written agreement. Accommodation The hotel has 73 bedrooms of varying standards. 15 of these will be provisionally reserved and confirmed in your contract. A group reference will be supplied for you to pass to your guests so they may each book individually and receive your preferred rates. Advance Purchase rates are non-refundable, non-transferrable and cannot be cancelled, without exception. Any bedrooms not required will automatically be released no later than 6 weeks prior to your special day. Guests who still wish to book will be on a first come, first serve basis. Damage & Theft Any stolen or broken items must be paid for. The Bridal Couple accept that any item of the hotel which is stolen or damaged by themselves or any of their wedding guests from any area of the hotel, including bedrooms and spa, is the direct responsibility of the Bridal Couple. The hotel does not accept responsibility for damage or theft of any property or guests belongings brought onto the premises. This includes damage thought to be caused by either staff or other hotel guests. Any damage or theft caused to suppliers items is, again, the sole responsibility of the Bridal Couple (or supplier if staying with their items during your special day). External Suppliers Please note that any entertainment (including DJ) that are not our own will require PATS testing and liability of insurance certification to be supplied to the hotel a minimum of 4 weeks prior to your day. There is a charge of to supply your own entertainment or DJ. If you would like to book the resident DJ, you must confirm with the return of your signed contract. Please note that the hotel will not be held responsible for the music the DJ plays. It is the sole responsibility of the Bridal Couple to liaise with the DJ directly with any specific songs or play lists that are required prior to your day. All suppliers are to be confirmed to the hotel and any requiring electricity must also supply PATS testing certification and relevant insurance to the hotel a minimum of 4 weeks prior to your day. Children Whilst we welcome children to the hotel, may we advise that parents are responsible for their own child s behaviour. We do not permit children to run in corridors or public areas and they must be supervised at all times. This will avoid disturbance to other hotel guests and for their own safety, allowing you to enjoy your day to the full. Fireworks No fireworks are permitted unless pre-arranged with the hotel and run by a specialist fireworks company with certified proof. Chinese lanterns are not permitted, without exception. All prices are inclusive of VAT current at the time the booking is made and can be subject to change.
