In the heart of Southsea, surrounded by breathtaking views of the Solent, lies the iconic Queens Hotel. Within our historic yet contemporary building, we pride ourselves on being a hotel that offers something special for all. The Queens Hotel carries a civil wedding license for the Elizabeth Ballroom, available to hold your ceremony, wedding breakfast and reception. Our highly experienced team are passionate about making your day special, and are always on hand to advise and assist you with any questions or queries you may have along the way. Please contact our Events Team who will be happy to arrange a suitable time, most convenient for you, to visit the hotel and discuss your requirements. 2 Our Room and Ceremonies Elizabeth Ballroom Our ballroom holds a maximum of 120 people seated or 140 people for a standing reception. Room Hire Charge Ceremony Set Up Reception 1,000 Civil Ceremonies & Partnerships We are licensed to hold Civil Marriages in The Elizabeth Ballroom & Queen s Room. You will need to contact Portsmouth Registry Office directly on to arrange a Registrar. Exclusivity We know how much this day means to you. At the Queens, we will only ever host one wedding on a given day. *Please note all prices within this brochure may be subject to change.*
3 . Additional Details Venue Viewings If you would like to view the hotel and the function rooms we have to offer, please contact our Events Team to arrange an appointment. Due to high demand, appointments book up well in advance, so it is advisable to call us and check availability prior to visiting. If our Events Team are not available, a Duty Manager is always on hand to show you the venue. Wedding Arrangements Following your initial enquiry, we will provide you with a bespoke quote for your wedding based on your preferences and requests. At 8 weeks prior to your wedding we require confirmation of all details, including final numbers and menu choices. The final payment will be invoiced based on these numbers, with any increases being paid for no later than 14 days prior to the wedding. Payment Full payment for your wedding is required no later than 8 weeks prior to your wedding date, though you are welcome to provide payment prior to this date. Timings On the day of your wedding, your function room is available to you until midnight, after which time any non-residential guests are required to vacate the premises. Residential guests are welcome to use other hotel facilities after this time.

DJ and Entertainment DJ 310 We can put you in touch with our DJ directly to discuss your music preferences and genres. Should you wish to book a live band or any other entertainment we will be happy to advise you. Mood lighting 200 per event
15 Your Questions Answered How much is the deposit? To confirm and secure your Wedding date the Queens Hotel would require a nonrefundable deposit of 1,000. When should we meet to discuss our requirements? You are welcome to visit the Queens Hotel as often as you would like, however, a final meeting will be arranged approximately 6 weeks prior to your wedding to confirm and finalise all your details, along with providing final numbers and payment. What are the menu options? We offer a variety of choice for our guests. From our banqueting menu you may choose one choice of starter, main course and dessert for all guests. We can of course cater for special dietary requirements; just discuss any requirements with our events department. If you have any special requests please do let us know and we can ask the Chef to price any special requests for you. Are the prices within this brochure subject to change? Yes, our pricing is subject to a slight increase every year. Please ask a member of our events team for more information. Do you have facilities to cater for disabled guests? Due to the nature of the steps at the entrance to the hotel wheelchair access is available at the side of the hotel in Osborne Road. The lift will then give you access to all floors. A toilet for the disabled is situated just outside the Elizabeth Room on the ground floor and we have a large bedroom which is fully equipped with handrails, wet room and extra wide doors for your ease and comfort. Are there minimum numbers? There are minimum number requirements in the Elizabeth Ballroom of 80 guests. If you anticipate your wedding to be smaller than this please discuss your requirements with the Events Team.
16 External Suppliers For Food and Beverage: The hotel does not permit use of external caterers for any items, other than the wedding cake and/or decorative elements such as sweet carts. Please discuss any queries you have with a member of the Events Team. For Decorations: External decoration suppliers are welcomed. Please liaise with a member of the Events Team to arrange timings and logistics no later than 7 days prior to your wedding. For Entertainment: You are welcome to provide your own DJ, though we do require full PAT Testing and Liability Insurance from the supplier no later than 14 days before the wedding. For bands and other forms of entertainment please direct your questions to a member of the Events Team to discuss our ability to facilitate your requests.
17 Making a Booking To make a provisional booking, please telephone or us with your details, your approximate number of guests and your desired date. Popular dates in the hotel diary do book up over a year in advance so it is advisable to reserve as soon as possible. Once we have confirmed availability we will place your booking on a provisional hold for 14 days and we will write to you to confirm the details. After this time, all unconfirmed bookings may be released without notice due to high demand for weddings and functions at the Queens Hotel. To confirm your booking a non-refundable deposit of 1,000 is required alongside a signed copy of the hotels Terms and Conditions. Please inform the hotel at this stage how many bedrooms you would like to reserve and the quantity of each room (e.g. how many doubles, singles and family rooms). We are able to reserve a maximum of 20 rooms, subject to availability, which are distributed to your guests on a first-come-first-served basis.
18 Wedding Check-List Pay your deposit to secure your wedding date Reserve accommodation for your guests We can create a group booking for you and reserve up to 20 bedrooms (subject to availability) Book your registrar and confirm the timings for your ceremony at the hotel (if applicable) Arrange a follow-up meeting to discuss your wedding with a member of the Events Team Confirm all final details including final numbers and all food and beverage choices for the events team to facilitate an invoice to be made for final payment Provide full payment for your wedding no later than 8 weeks before your big day Provide the Events Team with your guest list, seating plan and preferred table layout Arrange logistics for decorating your chosen function room Arrange logistics for your cake to be delivered
