In order to provide you with quality service, please advise our Tournament Coordinator how many sets are required two days in advance. Club Rental $40.00 Tournament & Sponsor Signage We have all the hole indicators you will need. Please advise Tournament Coordinator with a list two days in advance. All Events Include: 18 hole green fee Power cart if required (fee) Complimentary use of practice facility Power cart staging and signage Registration table, podium, microphone and prize table Placement and pickup of course signage and hole in one prizes **Group size must be confirmed seven days in advance. Event will be responsible for this number for golf and food plus any add-ins. Extra tables or tents can be supplied at tournament s expense. 2

4 Organizational Tips for the Coordinator Here are a few suggestions to help your tournament run smoothly. This will ensure that we at Edmonton Petroleum Golf & Country Club are organized and prepared to make your event a memorable experience for the participants, and a tremendous success for you, the coordinator. When creating a draw, make sure all groups have an experienced player. Urge potential participants to commit as early as possible. As the event coordinator, please arrive at least an hour before the event. Try to have participants arrive a half-hour before their tee time. The Golf Shop should receive a completed alphabetical and hole by hole draw and any other relevant information regarding the tournament at least two days in advance. This will contribute greatly to the success of your event. If you would like to arrange a registration area and prizing table, please notify the Tournament Coordinator 24 hours in advance. The EPGCC can provide on-course liquor if requested (baileys, vodka, rum, gin, beer, coolers) and pop, juice. The cost will be determinate upon request. 11 Tournament Contract Terms and Conditions (1) The final number of participants must be confirmed to Edmonton Petroleum Golf & Country Club seven (7) days prior to the tournament date. Any revisions to the confirmed number of players must be relayed to Edmonton Petroleum Golf & Country Club no later than three (3) business days prior to event date. If these changes are not conveyed three (3) business days prior to the tournament date, then the original confirmed numbers become the guarantee and minimum charges will be based upon these numbers. (NO EXCEPTIONS). The Edmonton Petroleum Golf & Country Club reserves the right to alter starting times, course rotation or format should the number of players differ greatly from the original booking. (2) Food services required for all tournaments. The menu selection and maximum number of persons requiring food service must be conveyed to Edmonton Petroleum Golf & Country Club at least seven (7) days prior to event date and any changed to the final number must be relayed to Edmonton Petroleum Golf & Country Club three (3) business days prior to the tournament date. Minimum charges will be based on the number of persons confirmed at such time. (3) All alcohol must be purchased directly from Edmonton Petroleum Golf & Country Club. No glass bottles or coolers can be brought onto the course. Alcohol will not be available until after 10:00 a.m. All provincial liquor laws will be enforced. All unauthorized alcohol will be confiscated. (4) A deposit of $1, is mandatory to confirm an advanced group booking. Deposits will be applied to final bill and are refundable only if cancellation occurs 30 days prior to the original booking date. Tournaments must go as scheduled unless inclement weather conditions deem the course unplayable. Management will determine if the conditions are unplayable. Every effort will be made to plan an alternate date. If the event begins but has to be called due to severe weather conditions, the banquet will be held as scheduled. Tournament will be confirmed upon receipt of deposit. Balance is due upon event conclusion payable by company cheque, credit card or cash. (5) All players and volunteers must comply with Edmonton Petroleum Golf & Country Club dress code. Tailored shorts and collared shirts are mandatory for men. Ladies may wear a shirt without a collar, providing it has sleeves, or may wear a shirt without sleeves, providing it has a collar. Persons wearing jeans, cut offs, gym shorts, tank tops, halter tops or Lycra will be denied access to the course and clubhouse. (6) The Edmonton Petroleum Golf & Country Club has banned the use of traditional spikes. Those wearing spikes will be denied access to the course. (7) Should you require specific place settings or audiovisual equipment, we would be pleased to assist you with advance notice. (8) Pace of play must not be over five hours. Player assistants have authority to move a group into position after two warnings. Please follow their requests. (9) All signage must be picked up within 48 hours of your event. (10) The event organizer is responsible for any damage to the Edmonton Petroleum Golf & Country Club property as a result of any actions of a participant in the tournament.
