7 Your Wedding Package PREFERRED CATERER All food and beverage must be provided by the DoubleTree by Hilton Chicago-Oak Brook hotel or through the hotel s approved ethnic catering vendor. Caterer will be allowed to provide and prep meals to service the event. All food and beverage provided by Hotel and Caterer must be consumed on the hotel s premise and will not be packed for carry out. It will be at sole discretion of hotel to dispose of food leftover after service on an event. The hotel s chefs are responsible for overseeing the use of the kitchen and equipment. Guest or host is not allowed to enter the kitchen and servicing area. One buffet line per 100 guests. Caterer is required to provide sufficient servers to tend to all buffets. Additional charges accumulated for adequate catering personnel to service dinner buffets is the sole responsibility of the host. If your caterer requests any food or beverage item, the hotel can provide them at additional cost. The caterer is responsible for dish up, filling and refilling each buffet and the clean-up of the assigned kitchen upon completion of function. Upon review of the final menu and equipment list, hotel will inform client and caterer of the necessary staff and equipment. If the equipment exceeds to what the hotel has in its inventory a rental charge will apply to client. The per person meal cost does not include food. Menu planning and food costs/pricing to be determined by host and the caterer. Host to pay the caterer directly. Dinner service must be completed within 4 hours of event start time. 15 minute grace period will be allowed. Thereafter $350 labor fee will be incurred for every hour with a minimum of one hour. Prices and menus are confirmed six months prior to the wedding date to ensure the highest quality. Applicable sales tax and 23% service charge will be added to all food and beverage prices. Family Style Service is available at an additional $100 per table. BEVERAGES If you wish to extend your bar please contact your wedding specialist. One bartender per 100 guests is provided and one Soda Bar attendant per 200 guests will be provided. Additional bartenders are available at $125 each. Village of Oak Brook ordinance for last call on liquor is 1am. EVENT DECOR AND PREMIUM LINEN The Catering Manager will assist you in the coordination of your wedding reception. They will provide you recommendations for wedding vendors and assist with the event design. Backdrops, lighting, audio/visual, premium linen, and event decor can all be arranged by the hotel. Chair covers priced at $6 per chair including set up and removal. Chiavari chairs start from $10 each. CEREMONIES Wedding ceremonies are welcome at the DoubleTree by Hilton Chicago - Oak Brook. We will provide the perfect indoor or outdoor setting to make your ceremony memorable. The fee includes: designated ceremony room for up to two hours, one hour rehearsal time one/two days prior, DJ table, guest book & pen table, unity candle table, water station, banquet chairs, staging (available for Mondap), setup and clean up. A $6.00 per person set up fee is required. White wooden garden chairs are available for an additional $5 each. ACCOMMODATIONS The package includes a complimentary suite for the wedding couple with your welcome amenity described in the package and the couple s first breakfast in bed the following morning. Complimentary guests rooms are included for the parents of the bride and groom. Additional meeting space for hospitality room, and the wedding couple s changing rooms are included without charge. Discounted sleeping room rates are available for your wedding guests. PARKING Complimentary covered parking is available to your guest. Valet may be arranged for $5.00 per car for the duration of the event. DEPOSITS AND PAYMENTS Upon confirmation, an initial deposit is required to reserve the space. 50% of the food and beverage minimum is required 3 months prior to the event. Advanced deposits are non-refundable and can be made by credit card or check. Final Payment is due 3 days prior with a credit card. If the client chooses to make a final payment with a cashier s or personal check, it must be made 10 days prior to the event. Final payment will also require a credit card to hold on file for any event incidentals or additions made on site. GUARANTEES Final attendance and completed floor plan are to be returned to the Catering Manager three (3) business days prior to the event.
