20 Catering Information Event Panning Timeine There are some important decisions for you to consider regarding the catering and execution of your event. Your Catering Saes Manager is ready to assist you in making these decisions a seamess part of your panning. The timeine beow wi hep you in creating the environment and presentation needed for a successfu event. 90 days prior to your event (or before) we request an initia order. At this time you wi be issued a catering agreement and it wi be due 10 business days from issue date aong with a required deposit. 45 days prior to your event you must provide catering ocations, approximate numbers of guests and finaized menu choices. 10 business days prior to your event we require guest guarantee minimums aong with any remaining baance. Once minimums are stated, they can increase, however they cannot be reduced. 3 business days prior to your event the fina guest count is due. GUARANTEES When providing your initia order, a minimum estimated attendance guarantee must be communicated to the Catering Saes Department. Contract minimums and fu payment prior to your event wi be based on the minimum estimated attendance. When changes are determined on a per person basis, a fina guaranteed attendance must be given to Premier no ater than 12:00 PM (PST) for each event order based on the foowing schedue*: Events up to 400 peope require the fina guarantee three (3) business days prior to the first event. Events between 401-2,000 peope require the fina guarantee five (5) business days prior to the first event. Events over 2,000 peope require the fina guarantee seven (7) business days prior to the event. This figure is the number of guests for which you guarantee to pay and is not subject to reduction. We wi be ready to prepare 5% over your Guaranteed Attendance up to 1,000 guests (50 meas). SMG Food and Beverage wi make every attempt to accommodate increases in your count after the fina guarantee is due, however, any increase exceeding 10% of the fina guarantee wi be subject to a 10% surcharge. If the count increases within the fina guarantee timeine, the 5% wi no onger appy. Once minimums are stated on initia saes orders and signed, they cannot be reduced. The Guaranteed Attendance (a) sha not exceed the maximum capacity of the areas within the Faciity in which the Event(s) wi be hed, and (b) sha not decrease by more than 25% (or more than 1,000 peope, whichever is ower) of the estimated attendance specified on the catering Order(s). SMG Food and Beverage sha be entited to charge and coect from the Customer any reasonabe costs incurred by the Caterer in the event the Guaranteed Attendance figure provided by the Customer is not within the imits stated in this paragraph. 21 CONTRACTS, DEPOSITS, AND PAYMENTS Once initia contact and event information is communicated to your saes manager you wi receive a contract for the entire event. You wi be issued catering saes orders for each service. 90 days prior to your move-in day for your event we require a signed copy of the saes order and the food and beverage agreement and a deposit of 25% of the tota estimated amount. 45 days prior to your move-in day, we require a second deposit of 25% of the tota estimated amount. 10 days prior to your move-in day, we require fina payment in fu for a functions based on your contracted attendance A guarantee payment is required for a functions. Deposits are non-refundabe and non-transferabe. We request that you have a credit card on fie for any additions to your orders. You may finaize your account by company check, cashier s check, Visa, MasterCard, American Express or cash. The Catering Saes Department wi process/pre-approve your credit card for any estimated baance due five (5) business days prior to your function date. Amounts in excess of $10,000 must have actua credit card present to be swiped and wi be subject to a 3% convenience fee. Any on-site adjustments, additions or repenishments of contracted catering services wi be refected in a fina invoice, payabe upon concusion of the event. Checks are payabe to: SMG Food and Beverage at 300 E. Ocean Bouevard, Long Beach, CA Premier sha not be required to provide any services hereunder, nor wi the Caterer be required to commence panning for the event(s), uness and unti the Customer has returned a signed copy of the agreement and paid the deposit to the Caterer. SERVICE LOCATIONS AT OUR FACILITY Premier is deighted to be abe to offer our food and beverage services in any of the meeting rooms, barooms, exhibit has or obby spaces of the Long Beach Convention & Entertainment Center. Pease keep in mind the services ordered for specific ocations are to be served and consumed in those ocations. Services may not be moved to an additiona ocation after the start time isted on your saes order. Services requested for additiona ocations wi be paced on a new saes order at the price point of the initia order. The Caterer reserves the right to approve, and make changes to, a foor pans and ayouts of a events areas where the Caterer s services are to be provided, as deemed necessary in Caterer s soe discretion, to enabe the safe and efficient conduct of Caterer s services by Caterer s staff. Without imiting the generaity of the foregoing, Caterer reserves the right to specify the ocations and configuration of a décor, tabes, buffets, and service stations, as we as staging and breakdown areas. Customer s dispays, exhibits, and decorations must compy with the buiding code and fire ordinances of the Long Beach Fire department. ADMINISTRATIVE FEE AND SALES TAX A 22% Administrative Fee and a 10.25% saes tax wi be appied to a food, beverage and additiona services. Pease note that the Service Charge is taxabe (per Caifornia State Board of Equaization Reguation #1603). A prices and items are subject to change. LATE FEES Initia orders not received within 10 business days of your event wi be subject to 15% surcharge. Customer sha pay interest at the rate of 1.5% per month (or, if ower, the maximum ega rate) on a payments not made within thirty (30) days foowing the date such payments are due, which interest sha accrue from the date due unti the date of payment. 22 LABOR CHARGES A $ abor fee wi be charged for hosted or cash and carry services (bar or food). Shoud your event end time be deayed more than 30 minutes, a abor charge wi be added incuding event staff overtime charged by the fu hour. BEVERAGE CHARGES BASED UPON CONSUMPTION Beverage charges based upon consumption appy ony to each order that is a quantity of 50 beverages or more. Orders ess than 50 beverages are based upon the actua amount ordered. If the tota amount of consumed beverages ordered is ess than 50% of the initia order, a restocking fee of 25% of the cost of the remaining non-consumed beverages wi appy. DELIVERY FEES A deivery fee of $50.00 wi be appied per order to services of guest counts under 25 or under $ Services requested prior to 6:30am and after 9:00pm wi aso be assessed a deivery fee. SERVICE TIMES Premier food and beverage service time frames are based on ninety minutes. If services extend past two hours additiona abor fees may appy OUTSIDE FOOD AND BEVERAGE Premier is the soe provider of food and beverage at the Long Beach Convention and Entertainment Center and the Aquarium of the Pacific. Patrons, exhibitors or attendees may not bring food or beverage of any kind into the faciity to any event. Pease contact your Catering Saes Manager for food samping guideines and any other dietary needs (Kosher, etc.). SPECIALTY MEALS We ask that three (3) business days prior to your event that a speciaty mea guest count be given with your guarantee. Speciaty mea types incude: Vegan, Kosher, Haa, Guten Free, and Aergies. For Vegetarians, we traditionay prepare 3% of your guaranteed guest count uness otherwise notified. In the event a written canceation notice is received ess than 30 days from the first schedued Event, but before the Guaranteed Attendance is due, the customer sha pay to the Caterer a canceation fee equa to 50% of the estimated Catering Order charge.
