12 General Information Room Rental: Room Rental Fees are determined upon original program details. Revisions from the signed Catering Contract may necessitate a revision in Room Rental Fees. Room Rental includes the Standard Set-Up & Clean-Up, Service Staff, House Linen for Tablecloths & Napkins, a Dance Floor or a Stage/Riser, Podium with Microphone, American and California Flags, Easels (Paper not Included), Extension Cords, and/or Water Stations. All items are based on availability. Billing & Payment Schedule: The Lodge of Big Bear Lake a Holiday Inn will utilize a deposit in the amount of $ This deposit is non-refundable. Half of the estimated amount for the event is requested 60 days prior to the event. The remaining balance is due no later than 10 days prior to the event. If payment is not made by these particular due dates, there will be a $ late fee per incident. Credit Card Authorization Form: A signed Credit Card Authorization Form is required for each event to hold on file for any unpaid charges or incidentals. Disturbances, disruptive and/or unruly behavior will not be tolerated and any damage incurred will be charged to the client s credit card on file. The event contact accepts full responsibility for any damages resulting from any action or omission of their individual attendees. Food & Beverage: Because of market fluctuations, all prices are subject to change. Should The Big Bear Lodge, a Holiday Inn Resort prices increase, written notification will be given. Outside Food & Beverage is prohibited. We reserve the right to end your function if our staff finds any outside Food or Beverage. The Big Bear Lodge, a Holiday Inn Resort does not permit the removal of any Food & Beverage (including alcohol) provided by The Big Bear Lodge, a Holiday Inn Resort. To add a Cash Bar, Client must pay the Bartender Fee of $20 per Hour. The Cash Bar will only take cash; no credit cards will be accepted at the time of the event. No outside alcohol will be accepted on the premises. This is against our ABC license agreement. If any alcohol is brought in from outside, the event contact will be given one warning and if the problem persists, the event will be cancelled. Security: For any parties where alcohol is to be served, 1 Security Guard is required for every 150 people. The Big Bear Lodge, a Holiday Inn Resort will supply Security at the guest s cost of $25 per Hour; no outside Security is permitted. The Big Bear Lodge, a Holiday Inn Resort shall not assume responsibility for the loss or damage of any personal property and/or articles brought into The Big Bear Lodge, a Holiday Inn Resort as well as any item left unattended and/or any damage that occurs in the parking areas. All children under the age of 13 must be accompanied by an adult at all times.

13 Labor Charge: All requirements in regards to set-up need to finalize in advance. Any changes made after the 72-hour mark in regards to the number of people, tables, chairs, food items, etc. may result in a $ late fee per incident. In the case on-site changes are requested, additional labor fees may also be assessed. Guarantee: In order to provide for all attendees, the guaranteed number can be raised any amount up until 3 days before the function. Unfortunately, the number on the signed Catering Contract may not be reduced. After the 3-day mark, should the number of people be raised it will result in a $ late fee per incident. Should you not be able to provide a count, The Big Bear Lodge, a Holiday Inn will refer to the original number on the Catering Contract and prepare accordingly. This will ensure the comfort for all in attendance. Signage, Banners & Decoration: Signs, banners, decorations, etc. are not permitted in the Hotel Lobby or in front of the Hotel, however, they are allowed in The Big Bear Lodge, a Holiday Inn. In an effort to maintain appearances, the attachment/affixing of signs, banners, decorations, etc. to function walls, floors, ceilings or curtains must be approved by the Sales & Catering Coordinator first. Guests are to hang up all signs, banners, decorations, etc. themselves. No glitter, no confetti, no rice, and no real rose petals will be allowed. If so, it will result in a $ cleaning fee. Business License: The City of Big Bear Lake, CA. requires that all events which may or will be handling any money from their guests, to have a Business License before the event. This must be received before the date can be confirmed on a definite basis. Cancellation Policy: The Big Bear Lodge, a Holiday Inn Resort reserves the right to refuse service to anyone. Should the entire or partial program cancel, the The Big Bear Lodge, a Holiday Inn Resort will retain the nonrefundable deposit. In addition, The Big Bear Lodge, a Holiday Inn Resort will collect liquidated damages, fees according to the following schedule: Cancellation Prior to Event Date 0-20 Days in Advance = 0% Returned to Client Days in Advance = 25% Returned to Client Days in Advance = 50% Returned to Client

14 Service Charge & Sales Tax: To ensure the superior service of The Big Bear Lodge, a Holiday Inn Resort, a 20% Service Charge (Gratuity) will be added to the invoice. Current Sales Tax will apply at 8%.
