3 About Us Hospitality Essex Delivered Catering is a service available at Colchester campus to internal departments within the University who require refreshments for a meeting, event or celebration. We offer a wide range of food and drink from teas and coffees to champagne and canapés and simple sandwich lunches to hot fork buffets. All menus have been carefully created by our Hospitality Manager and Head Chef and are designed to suit a variety of tastes, diets and budgets. Quality and value for money are at the heart of our ethos and our menus are regularly updated with new products to keep things fresh. Our professional staff are dedicated to delivering what you want, when you want it. Our normal hours of operation are Monday to Friday 8am to 5pm and we are also able to deliver out of hours and at weekends for a small additional charge. We are proud to inform you that all our tea and coffee is Fairtrade and we use local produce wherever possible. We are committed to protecting the University s carbon footprint by using recyclable materials and have significantly reduced the amount of plastic wastage with the introduction of stylish University-logoed glass bottles of mineral water. All prices are inclusive of VAT, delivery, collection and equipment hire. This includes all necessary tableware such as paper table covers, napkins, crockery, glassware and cutlery. Additional charges may apply depending on timing and location and service staff can be provided on request with prior notice. Please refer to the Supplements section on page 18 for details of all additional charges. If you wish to discuss your requirements in more detail or if you need a tailored menu please get in touch and we will be happy to create something just for you! We look forward to being a part of your next event.

4 Special Diets Our Special Diets Focus Group has worked hard to improve and expand menus and food available to customers with special dietary requirements. Comprised of students, members of staff and representatives from Hospitality Essex, the group has initiated positive changes to both the food we offer and our labelling systems whilst raising awareness and developing a better understanding of the issue amongst our staff. If you would like to contribute to the focus group or have any suggestions or ideas on this issue that you would like to share with us, please contact us. Items suitable for a vegetarian diet are included as standard throughout our menus and labelled with a V where necessary. Dedicated items available for other special diets are detailed below. If you are unsure if any item on our menus is suitable for your diet please do not hesitate to contact us. We will always do our best to accommodate your requirements. Low-Fat Diet Semi-skimmed milk is used as standard for all hot drinks. Skimmed milk is available on request. Low calorie sandwiches are available. A Healthy Working Lunch is available. Lactose-Free Diet Soya milk for hot drinks is available on request. Lactose-free cheese sandwiches are available on request. Gluten-Free Diet Gluten-free rolls are available. Mrs Crimble's gluten-free individual chocolate macaroons and coconut jam rings are available in on our Snacks & Sundries and Finger Buffet menus. Fairfields crisps are gluten-free and available on our Snacks & Sundries menu. Gluten-free biscuits are available with tea/coffee on request. A Gluten-Free Working Lunch is available. Vegan Diet Soya milk for hot drinks is available on request. Vegan sandwiches are available. A Vegan Working Lunch is available. Halal Diet Halal sandwiches are available. Halal alternatives to many of our menu items are available on request. Nut Allergy Please note that due to the nature of our production we are unable to guarantee that our products do not contain traces of nuts. Please contact us for further advice if you are ordering for someone who has a nut allergy.

Minimum order numbers are set due to the nature of our operation in line with our ordering and production processes. If your requirements do not meet the minimum order or if you have any special dietary requests, please contact us to discuss and we will do our best to accommodate you. 17 Important Information New information for events in the Constable Building/iLab and John Tabor Building: Booking Procedure All bookings should be made using the online order form. If you require any assistance please contact us. Confirmation of your booking, including your order reference number, will be sent by usually within 24 hours (Monday to Friday). Please contact us if you have not received booking confirmation after this time as we may not have received your order. We require 48 hours notice (not including weekends) for all drink orders. We require one week notice for all food orders. We require two weeks notice for any weekend orders. Any orders received outside these times cannot be guaranteed and if confirmed will be subject to a late booking fee. Please refer to the Supplements section on page 18. We will endeavor to accommodate bookings at short notice but to avoid disappointment please try to give us as much notice as possible. If you need to amend or cancel an order please contact us as soon as possible. Cancellation charges may apply. Please see page 18 for further information. Wivenhoe House is now the primary provider of catering for events in the Constable Building as they are located next door and better placed to provide hospitality to this area of campus. Stephen Mannock and his team at Wivenhoe House will soon be surveying the tenants of the Constable Building with regards to their hospitality requirements, now that the pre-opening phase of the hotel has been completed. To book catering from Wivenhoe House for your event in the Constable Building or John Tabor Building please contact Venue Essex at venues@essex.ac.uk. Catering from Wivenhoe House for events in the ilab should be booked through ilab@essex.ac.uk. If the current offering from Wivenhoe House does not fulfil all of your requirements at present, it has been agreed that Hospitality Essex will continue to offer this service. However, due to transportation challenges and because it is not cost efficient for us to resource bookings such as small orders for tea and coffee, a minimum order spend and set delivery times have been introduced. These are as follows: All charges will be processed after your event, using the expenditure code supplied when you place your order. Financial transfers will show up on Agresso within a few days of your event. Delivery & Collection We can access all areas of campus where a trolley can be wheeled. We regret that we cannot carry deliveries up/down stairs. If you do take your delivery up/down stairs we request that you return it for collection. It is the customer s responsibility to book an appropriate room and to organise the provision and setting up of tables prior to catering being delivered. Minimum order value of per delivery Van hire charge of per day Set Delivery times: 8.50am (registration) 10.50am (mid morning) 12.50pm (lunch ) 2.50pm (afternoon) All food and drink items will be labelled where appropriate, including vegetarian items and anything relating to special dietary requirements. If a menu item is not available we will let you know and endeavour to replace it with a similar item. We aim to collect all equipment on the same day. If you would like your delivery to be collected at/after a specific time please specify when booking.

18 Important Information Food Safety Hospitality Essex uses nominated suppliers for all its food products and therefore we cannot accept responsibility for any food items purchased outside and consumed on campus. In accordance with the Food Safety Act, customers are strongly recommended not to undertake the preparation of food themselves. To ensure your food remains in perfect condition once it has been delivered please store it away from direct sunlight and heat sources, and keep it covered until it is required to ensure freshness. Food deteriorates when left out at room temperature for long periods. We advise that hot food is consumed within two hours of delivery and cold food is consumed within 3 hours of delivery. Any leftover food will be disposed of by us. For further information regarding food safety at the University of Essex, please see the Occupational Health and Safety Advisory Service webpage at: Conferences Hospitality Essex works in partnership with Venue Essex for both events organised by internal departments and those for external clients which require the organisational skills and services of the Conference Office. If you are planning an event through the Conference Office, your catering requirements will be managed by them. Any queries regarding menus and pricing should be directed to venues@essex.ac.uk Customer Feedback As part of our ongoing commitment to customer service we include a short Customer Feedback form with all delivered catering. This lets us know if we have met your expectations with regards to criteria such as quality, value and presentation. We strongly encourage you to spend just a few minutes completing the form at the end of your event and leave it for us to collect with our equipment. If you are not in attendance please kindly encourage the event organiser to do this. Not only is this information essential to the continued development of our service, it also helps us to deal with any issues in a timely and efficient manner. Thank you for your co-operation.

19 Supplements Hospitality Essex is a self supporting organisation and therefore needs to generate a profit to operate successfully. In order to remain self-funding and maintain the service level that our customers require, we have set the following charges: Minimum Order A minimum order of applies to all orders Monday to Friday from 8am to 5pm. A minimum order of applies to all orders Monday to Friday before 8am and between 5pm and 8pm. A minimum order of applies to all orders Monday to Friday after 8pm and at weekends. A minimum order of applies to all deliveries to the Constable Building/iLab/John Tabor Building. Please see page 16 for further details. Late orders Orders Monday to Friday: A surcharge equating to 15% of the total order value (maximum charge 20) will be added to all orders received and confirmed with less than 48 hours notice. Weekend Orders: A surcharge equating to 15% of the total order value (maximum charge 20) will be added to all orders received and confirmed with less than one week notice. Cancellations The minimum notice required to cancel an order without charge is 48 hours before the event (excluding weekends). Orders cancelled with less than 48 hours notice will be subject to the following charges: 50% of the total order value if cancelled within 48 hours of the event. 100% of the total order value if cancelled within 24 hours of the event. Service Staff We can provide members of our staff to serve your food and drinks at a rate of 6.00 per server per half hour. Van Hire A van hire charge will be applied to all deliveries to the Sports Centre, Constable Building/iLab and John Tabor Building. Missing Equipment Customers are responsible for our equipment whilst in their charge. Any damage or loss must unfortunately be paid for. The charge is dependent on the item and will be added to the order value after the event.
