Your Event Manager will assist you plan your itinerary to ensure your experience with us exceeds your expectations, and is a valuable and memorable one, both on a corporate and a personal level. 15 Terms & Conditions 1. BOOKING INFORMATION 1.1 Tentative bookings may be made and should we receive any enquiries for the date you have chosen you will be given first option. You will however, be asked to confirm your booking within seven days. 1.2 No reservation is deemed confirmed until a deposit of 25% plus $250 bond has been received by The Water Garden Oasis under the management of Picnic Bay Hotel. This is payable within fourteen days of receipt of an confirmation. If the deposit has not been received by the due date, The Water Garden Oasis reserves the right to cancel the reservation and reallocate the venue. 1.3 In the event of a cancellation after the deposit has been paid, the deposit shall be refunded if the venue can be rehired on similar or better conditions and under the following conditions: All cancellations MUST be made in writing/ All cancellations incur an administration fee of $ Less than 30 days notice: No refund More than 30 days notice: 50% refund More than 60 days notice: Full refund 2. MENU & BEVERAGE SELECTION 2.1 The Water Garden Oasis requires your menu and beverage selection to be confirmed in writing no later than fourteen days prior to the event. 2.2 The prices quoted in this package are inclusive of GST 2.3 A final minimum number of guests is required fourteen days prior to the event. Payment for the full catering amount is also required at that time. There will be no refund for late cancellations, and charges will be rendered for late inclusions. 2.4 No food or beverage will be permitted to be brought into The Water Garden Oasis for consumption, unless prior arrangement has been made with management. 3. BEVERAGE ACCOUNT 3.1 If you are choosing one of our beverage packages you may pay your account before the event or on the night. Payment can be made by cash, bank cheque, credit card or Eftpos. 3.2 Guests can pay individually for each beverage purchased, or one total account can be presented at the end of the function. The beverage account is charged on a consumption basis and while a fixed amount cannot be given, the account will be monitored to ensure the predetermined amount is not exceeded without prior permission. 3.3 Guests under the age of 18 are not to partake of alcohol.

16 Terms & Conditions 4. GENERAL INFORMATION 4.1 The client/organiser is held financially responsible for any damage sustained to Water Garden Oasis and Picnic Bay Hotel property during the function. The bond of $ will be repaid within seven days of the function once management is satisfied that no damage was sustained during the function. 4.2 Management has the right, by law, to refuse to serve alcohol to any person who is intoxicated. 4.3 Persons under the age of 18 are not permitted by law to enter the Hotel s gaming room. 4.4 Hotel policy does not permit smoking within the premises. A designated smoking area will be available. Any guest smoking within the function grounds will be requested to cease at once. The client will be fully responsible for their guests smoking on the premises and be liable to a cleaning charge of $ Function Room - The function room is available for day conferences from 8.00am to 5.00pm. Evening Conferences are available with times negotiable, usually from 6pm 10pm. The function room must be vacated no later than 30 minutes within the designated completion time. 4.6 The client/organiser agrees to begin the function and vacate the designated function space at the scheduled times. In the occurrence a function should go beyond the agreed finishing time, Water Garden Oasis reserves the right to impose a charge for each hour the function space is occupied. 4.7 Children under the age of 18 years must leave the function area by 11.00pm. 4.8 All guests must be able to provide photo identification. 4.9 Public Holidays: A surcharge of 15% of the amount of your food and beverage account will be added for bookings on public holidays. Sunday functions incur a 10% surcharge Payments by credit cards shall attract a 1.4% surcharge Security Water Garden Oasis, will not accept responsibility for loss or damage to any equipment or merchandise left on premises prior to, during, or after the function. Security will be engaged at the function client s expense if deemed necessary. We are happy to discuss arrangements with you. Displays and Signage - No items are to be attached, pinned or glued to the wall surfaces of the Water Garden Oasis building; any signage must be approved by Management. Please Note: Every effort is made to maintain prices as published. However, prices are subject to change without notice. Prices will be reviewed at the start of the New Year and the financial year. We advise long-term bookings to re-confirm prices. No increase in charges will occur in the month prior to the event.

PAYMENT: Final catering and beverage prices will be confirmed14 days prior to the event. Payment of catering and any beverage packages or additional charges must be paid 7 working days prior to the event. FINAL DETAILS: Guaranteed final numbers and details are to be confirmed fourteen days before the function. No refunds will be given for late cancellation of numbers. CONDUCT: The Picnic Bay Hotel reserves the right to exclude and/or remove any person from the premises if their behaviour is undesirable or they are wilfully destroying or defacing Picnic Bay Hotel property.
