6 Please initial and sign the following document, acknowledging your agreement to the terms and conditions of your Private Party Room Rental with County Line on the Lake. Your private event is not officially booked until we receive this completed document and the applicable booking fees have been paid in full. General: We require a per person minimum of $25.99 to be reached through food and/or beverage. (Tax and services fees additional) We accept payments made in cash or credit only. No separate checks, please. A 20% gratuity will be added to your final bill. We generally serve guests family style in all three private spaces (large portions of sides and generous portions of our smoked meats brought to each table). You may discuss other options (i.e. cocktail style receptions or buffet) with our event coordinator. Bar service can be cash, open, custom, or you may select from one of our bar packages. Glassware for bar drinks is available. Please inquire with our event coordinator. The County Line on the Lake will hold a credit card number on file until the date of your event. Gift Cards may only be used for up to $100 of food and beverage charges. The County Line on the Lake offers three Private Event Spaces: The Boy Scout Room: Requires a minimum of 25 guests and holds up to 45 people. The rental fee for the Boy Scout Room is $100. The Lone Star Deck Can accommodate up to 65 Guests and Requires a Food and Beverage Purchase Minimum of $2,000 for events booking on Thursday Sunday in High Season Times (Taxes, Service Fee and Rental Fee are additional). The rental fee for the Lone Star Deck is $200. The Grand Pavilion: Requires a minimum of 45 guests and holds up to 100 people. The rental fee for the Grand Pavilion is $200. The Grounds: If you book the Grand Pavilion, you may also add our expansive waterfront grounds for an additional rental fee of $200. This fee covers the opening of the pavilion walls, table and décor arrangement on the grounds as well as event staffing and any extra lawn maintenance required. Groups over 100 guests will require both the Boy Scout Room and the Grand Pavilion, with a total room fee of $300. Should you decide to rent more than one space, please be advised that you are responsible for meeting the minimum food and beverage amount for each space. Parties over a certain headcount OR events that extend to the grounds and intend to serve alcohol may be required to rent additional security to keep guests safe. The County Line on the Lake Event Coordinator and General Manager will determine if additional security will be required and will assess the appropriate fee. All party rooms will have access to our expansive public deck and water front grounds (unless otherwise rented). Guests may enjoy these shared spaces. Please note that service cannot be extended to shared public spaces. rev. Jan. 10/ of 3
7 Décor and personalization of the space: Our tables come standard dressed in cow-print table coverings with white porcelain plates and multi-colored linen napkins. You may upgrade to white or black table linens for $5 each. You may also speak to our event coordinator about changing your napkin color. Additional fees may apply. Please discuss decorating options with our event coordinator. We offer décor packages for purchase to make your decorating needs easier, and price is determined based on headcount, table arrangement, etc. If you d like to provide your own décor, please ask our event coordinator for approved ways to fasten your decorations to the surfaces of your rental space. If you re planning to rent anything from an outside vendor (chairs, dance floors, etc.), please make sure to coordinate your rental pick-up times with our event coordinator. Items cannot be left overnight. Glitter and confetti are prohibited. Sparklers are prohibited. Silk flower petals on the grounds are prohibited. Please coordinate time to decorate the space with our event coordinator. Please be advised that additional service fees may apply for anything requiring more time or additional County Line staff. A/V needs and restrictions: A projector and screen may be rented for $40 ($20 per item) for use on the Lone Star Deck or in the Grand Pavilion. Please be advised that Mac computers don t work as well with our equipment. We strongly recommend a run-through to test equipment prior to your event. Bose computer speakers are also available to enhance your presentation at no additional cost. Please ask our event coordinator. Our TV may be used for presentations in the Boy Scout Room for a fee of $25. Please ask our event coordinator for connection options. Amplified sound of ANY kind (music, microphone, etc) is not allowed on the Lone Star Deck, Grounds or in the Grand Pavilion. If you plan to hire a DJ or band, or if you would like to use a microphone, you must rent the Boy Scout Room. You must provide the contact information for your DJ, band or any other sound-making vendor. Our event coordinator will set up a walk-through and sound check with the DJ, band leader or manager, etc. and explain the restrictions. Please be advised that these restrictions are strictly enforced and failure to comply may result in the cancelation of the amplified portion of the event. rev. 4 Nov of 3
8 Cancelations, no-shows, rescheduling, and minimums: Private event host must give 30 days notice if they wish to cancel their event. If cancelation occurs prior to 30 days before the event, a full refund of the room fee will be returned to host. If the event host cancels less than 30 days before the event, no refund for room fees will be awarded and host will be responsible for 50% of the total guests denoted at time of booking. Exception: All December bookings are considered final after November 1st. If the party does not show up, we will charge the credit card on file for 50% of total guests denoted at the time of booking. If your private event must be rescheduled, our event coordinator will work with you to find a new date and time. We allow a 5 person leeway for guest no-shows. This means that if more than 5 of your confirmed guests do not show up, the host will be charged for all guests less the 5 guest leeway. Your final headcount is due 48 hours prior to your event. If the event host does not confirm final headcount 48 hours in advance, we will hold event host to the most recently estimated headcount or the headcount denoted on the booking form. The credit card on file will be charged if damages requiring repair occur as a result of host or guest carelessness.
