2 RESERVATION DETAILS Orders can be made in 2 easy ways: 1. salesevents@rrcwb.ca 2. Phone: Please specify suite number, name and phone number of the person placing the order, company name, and date and time of the event. Suite Contact Each suite should designate one person as the official contact or Suite Administrator. Your Suite Administrator should be responsible for all order placement and communication with the Sales & Events team. The Suite Administrator shall be the signing authority for the suite and any additional orders placed. Advanced Ordering Advanced day ordering provides you with the opportunity to order from menus that feature much more variety than our standard event day menu. Event Day Ordering An event day menu is included in your suite & suite package. During an event, orders may be placed through your suite attendant by the Suite Administrator. Event day ordering is provided as a convenience for all guests to have more food available in addition to your existing orders. 2

3 Alcoholic Beverages The Regional Recreation Corporation of Wood Buffalo (RRC) is the only licensee authorized to sell or service liquor, beer and wine at MacDonald Island Park. Alcoholic beverages are not permitted to be brought into or taken out of the suites or the venue itself. Alberta law prohibits the sale or consumption of alcoholic beverages by any person under the age of 18. The RRC alcohol awareness policies will be observed. Possible liabilities may arise from the result of uncontrolled guest behavior; therefore, it is very important that policy be strictly followed. It is the responsibility of the Suite holder or its representatives to control the consumption of alcoholic beverages within the suite. By law, minors under the age of 18 and persons who appear visibly intoxicated may not consume alcoholic beverages. The RRC reserves the right to refuse service to any person who appears to be intoxicated. Suite holders may incur liability if they fail to comply. If there are any further questions or concerns regarding this policy, please contact the Sales & Events Team. Unconsumed Food & Beverages The RRC reserves the right, in its sole discretion, to dispose of any unconsumed or unopened food and beverages at the end of each event and credit will not be given for any such items. Payment Options A signed Agreement and deposit (date-hold) of twenty-five (25%) of the total estimated event total is required by credit card, cheque or electronic funds transfer and must be received by the RRC within a forty-eight (48) hour period of booking the suite to reserve your date(s) and time(s). No terms are implied or granted and functions will not be guaranteed until the deposit is received in a timely manner. The guaranteed numbers of guests must be confirmed fourteen (14) business days before the event. If the guaranteed number is different than the actual number in attendance, the greater number will be charged. All banquet prices are subject to change without notice. A service charge of seventeen percent (17%), plus a five percent (5%) GST charge will be applied to all food and beverage cost. The RRC reserves the right to provide alternate function space if changes in attendance, set-up requirements or time changes occur. Events & functions cancelled prior to thirty (30) days from event date will receive a fifty percent (50%) refund of their deposit. Events cancelled thirty (30) days or less will forfeit one hundred percent (100%) of their deposit. Food & Beverage Delivery Unless a specific time is indicated, all food and beverage orders will be delivered to the suites at the opening of the doors. In order to ensure the highest level of food quality, certain foods may be delivered to the suites after the guests arrive. 3

4 Liability The RRC reserves the right to inspect and control all private functions. Liability for damage to the premises will be charged accordingly. The Suite holder agrees to accept responsibility for any damage done by their group to the function room or suite, prior, during or following the event. The RRC cannot assume any responsibility for personal property or equipment brought into the suite and event areas. Outside Food & Beverage All products served in the suites are handled exclusively by the RRC. It is not permissible for guests to bring or remove food to or from the suites. Security / Lost & Found Please be sure to remove all personal property in each suite when leaving the premises. The RRC is not responsible for any misplaced property, articles or equipment left unattended in the suites. Be A Team Player Drink Responsibly The RRC is dedicated to providing quality events which promote enjoyment and safety for everyone. This is best achieved when moderation is practiced. Therefore, we ask that you refrain from drinking and driving. Please see the dedicated taxi shuttle lane for any of your transportation needs.
