8 General Information Food & Beverage Policy All food and beverage must be supplied, prepared and served by the Park Plaza. Local health department rulings prohibit banquet guests from taking food and beverage from the hotel, with the exception of cakes provided by a certified bakery and client s wine. To ensure proper service and quality, we are unable to make any exceptions to these policies. Please note that a Cash Bar does not apply towards your food & beverage minimum. Any outside alcohol brought on site without permission will be confiscated and an additional fine will apply. Function Room Assignment Room assignments are made according to the guaranteed minimum number of people anticipated. Because these attendance figures may vary from expected attendance, we reserve the right to change function room assignments to best accommodate either increasing or decreasing attendance figures. You have access to your function space for the time contracted. Additional setup time must be arranged with the Hotel s sales and catering staff and nay be subject to additional charges. Menu Selection Menu selections must be finalized no later than 14 business days prior to your event. Availability of certain items may be limited if selections are not made prior to this time. Should you wish to offer your guests a choice of entrees please observe the following procedure: Highest price prevails on split menus. The quantity for each selection must be provided at the time of your guaranteed count. If the hotel need to produce more than the initial amount guaranteed for a specific entrée, the client is responsible for paying for those additional meals. The host must provide place cards to identify your guests entrée choice. Event Attendance In order to ensure optimal food preparation and staffing levels for your event, we require minimum guarantees of attendance due by 5:00 PM Three business days prior to your event. This number is not subject to reduction after that time. If you guaranteed count has not been received, your expect count will become your minimum guarantee. You will be charged for the minimum guarantee or the number of guests served, whichever is greater. Your guaranteed guest count may be increased until the day prior to your event if done so on regular business days. Please encourage your guests to respond in a timely manner. Guests who have not been included in the guaranteed count will be accommodated as efficiently as possible, but we cannot guarantee the identical menu selection or the amount of time it will take to prepare additional entrees. Our kitchen staff is prepared to accommodate 5% over the guaranteed attendance. Should you have reason to expect additional guests, we suggest increasing your guarantee. A customary 20% taxable service charge and sales tax will be added to the prices. 8

9 General Information Menu Pricing The quotation herein is subject to a proportionate price increase to meet increased cost of food, beverage, labor, etc. Menu prices cannot be guaranteed until 60 days prior to your particular function. Highest entrée price prevails on split menus. Prices listed herein do not include 20% service charge or applicable state and local taxes, currently 7.275% sales tax and 2.775% liquor tax. Audio Visual Equipment We will be pleased to arrange for any audio-visual requirements for your function. Additional fees will apply for the rental and use of audio-visual equipment; please contact our catering office for a list of current prices. For extensive set-ups, arrangements can be made through our catering office to contact a local professional audio-visual provider. Billing An acceptable form of payment must be agreed on during the initial booking arrangements. Acceptable forms include advance deposit (prepayment), direct billing (subject to credit approval), or completed credit card authorization form. Security The hotel does not assume responsibility for damage or loss of any merchandise or articles left on the premises prior, during, or following the event. Arrangements for an on-site security officer can be made through the catering office. Decorations Your event pricing includes both set-up and breakdown of all tables and chairs. However, any decorating or additional equipment provided by the client is the responsibility of the client. A $ labor fee may apply if Park Plaza staff is required to assist in decorating or teardown. The hotel will not permit the affixing of anything to walls, floors, ceilings with nails, staples, push pins or any other substance. Candles are allowed for events, but must be accompanied by a receptacle used to catch falling wax. Cleanup of spilled wax is subject to an additional fee. Flower petals are permitted, but absolutely no confetti of any kind is permitted anywhere on site. A customary 20% taxable service charge and sales tax will be added to the prices. 9
