2 General Information We appreciate your selection of the Embassy Suites Historic Charleston for your upcoming special event. The following information is designed to assist in planning your event. The policies and standards are utilized to enable the Embassy Suites to render the best possible service for you and other guests using the facilities. Food Policy: All food and beverage items served in public function rooms must be supplied and prepared by Embassy Suites Historic. The Embassy Suites cannot allow the removal of food items from the function by the client, guest or invitees. Guarantees & Attendance: An expected guarantee for food and/or beverage must be received at least ten (10) business days prior to the event. Final guarantees need to be received at least three (3) business days prior to the event. If the Catering Department is not contacted within that time frame, the original expected number would become the guarantee. If the actual count is greater than the guaranteed number, charges will be increased based on the additional number of people served plus service charge and applicable taxes. Every effort will be made to duplicate your meal for any additional guests over the original guarantee; however if this can not be done; a substitution will be provided. If you wish, all rooms may be set 5% over your guarantee. The final guarantee may not fall more than 10% below the expected guarantee. Beverage Policy: If alcoholic beverages are to be served on the hotel premises, we require beverages be dispensed only by hotel servers and bartenders. In accordance with state and local law, it is the hotel s policy to (a) request proper identification and refuse alcoholic beverage service if the person is either under age or proper identification can not be provided, and (b) refuse alcoholic beverage service to any person who, in the hotel s sole judgment, appears intoxicated. Assignment of a Function: All room assignments are subject to change unless the Sales Manager handling your function guarantees a specific room. Shipping & Packages: The Embassy Suites reserves the right to refuse packages that appear damaged, and assumes no liability for the condition of their contents. Packages sent to the hotel will be the sole responsibility of the meeting planner or the designated representatives. The hotel will receive up to five boxes complimentary. There will be a handling fee of $5.00 per box for any boxes received after the first five. High Speed Wireless Internet: We are pleased to offer complimentary high speed wireless internet throughout the hotel. If additional internet needs are request, notification must be given so proper accommodations can be made to fill that request. Additional fees may apply. Audio-Visual & Function Area Telephone Service: A complete line of audio-visual equipment is available through our in-house company. Each conference room is equipped with outside telephone line capabilities. However, if a private line is needed, the client must contact the telephone company directly to give proper billing information. The Embassy Suites will not be responsible for a client s telephone bill.

3 Exhibits: Should your group require exhibit tables, a $ fee will be assessed per table, per day. The exhibit fee provides the following setup: 6ft. table, white linen, and two chairs. Additional surcharges may apply for extra power sources. Any packages that come for exhibitors should not arrive to the hotel prior to one day before the exhibit set-up date. Additional delivery fees may apply. Dance Floor: A 16x16 dance floor is available through the hotel for a rental fee of $ This fee includes the setup and teardown of the dance floor. Additional sizes may be requested. Timing of Functions: Note that all functions will be set 15 minutes prior to their start time. The following standards are provided to assist you in scheduling and budgeting your catered functions: All continental breakfasts are served for one hour, refreshed and replenished as necessary. All breaks are served for one hour, refreshed and replenished as necessary. All buffet lines are serviced for one and a half hours, refreshed and replenished as necessary. All hors d oeuvres stations are based on a 4 oz. appetizer portion per person and serviced for two hours, refreshed and replenished as necessary. Service Charges and Tax: All food and beverage functions will be charged an applicable service charge, local and South Carolina sales tax. In addition, local and South Carolina sales tax will be applied to room rental fees. Tax-exempt organizations must provide the hotel with South Carolina tax exemption certificates prior to their function. Cancellation Policy: In the unlikely event the program is forced to cancel, Good Food Catering shall be entitled to charge liquidated damage fees for any reason other than Acts of God. This fee will be based upon the total event value at the time written notification of cancellation is received. Should GFC be able to recoup all or a portion of the estimated revenue expected from this booking by reselling the cancelled calendar space, then the client s liability shall be reduced accordingly. Fees are based on the sliding scale outlined below: Notification Date Cancellation Fee (of total event value) 0-30 days prior to event 100% days prior to event 75% Parking: Paid parking is available to all of our guests at the city owned garage adjacent to the Embassy Suites Historic Charleston. The well-lit, covered parking garage offers 24-hour security and may be easily accesses either on Hutson Street or John Street. Valet service is available to our overnight guests. Additional parking is available at surrounding garages at prevailing rates. Cake Cutting Fee: If you would like our banquet staff to cut and serve your wedding cake there will be an additional charge of $2 ++ per person. This is not a requirement if a family member would prefer to do the honors, please let us know.
