2 WELCOME Thank you for your recent inquiry into hiring the Jack Pud Cannot Ocean Room. We trust the following information will help you in the planning of your next special event. On the following pages you will find important information including the HIRE AGREEMENT form. Should you proceed with a booking, please ensure that your host and the hirer have read all of the provided information and signed the enclosed hire agreement form. We hope that this information pack will assist you in the decision making process regarding your next event. 3 ABOUT THE JACK PUD CANNOT OCEAN ROOM The Ocean Room is located on the upper level of Coogee Surf Club and offers sweeping ocean views. There is access to a large balcony that also offers beach and ocean views. 4 AMENITIES There are men and women s bathrooms as well as disabled facilities located on the same level as the Ocean Room. These amenities are for the exclusive use of function patrons when your event is in progress. CATERING Coogee Surf Club can make recommendations on catering, should you need a caterer for your function. If you would like further information, please contact the functions co-ordinator on or by functions@coogeeslsc.com.au BAR FACILITIES Coogee Surf Club will supply liquor and bar staff for your function. An extensive beverage list is available from the Coogee SLSC bar, however the hirer is permitted to provide their own wine and champagne at a corkage fee of $10 per bottle. Standard and premium spirits and beer products must be purchased from the Coogee SLSC bar, hirers are not permitted to bring their own. You have a choice to either pay as you go or the bar staff can ring up drinks on the cash register and give you a total at the end of the function. The bar bill must be paid immediately at the conclusion of your function. The Coogee SLSC bar is not equipped to make cocktails. DECOR The Members of Coogee Surf Club take enormous pride in the Ocean Room. Significant moments, including Australian Surf Life Saving Champion plaques feature around the clubhouse. Whilst we appreciate that your function is a very special occasion, when decorating the premises you must be respectful of this memorabilia. All decorations and equipment brought in by the hirer must be removed from the premises on the night of the function. VENUE LOCATION, TRANSPORT & PARKING Coogee Surf club is located directly on Coogee Beach, one of Sydney s most popular Eastern Suburbs beaches. The beach is sheltered by a rocky island called Wedding Cake Island, making it an ideal swimming location. There are two rock pools at the northern and southern parts of the beach, and just a few minutes walk south of the beach are two more spectacular ocean pools McIvers Baths and Wylies Baths. Coogee Beach is also located on Sydney s famous coastal walk which stretches from Bondi to Maroubra Beach. As you can imagine, the Surf Club is situated in a prime position - showcasing sensational views that are hard to beat! And getting here is easy - the club is 8kms from the CBD and just a 15 minute drive from the airport. There are a number of hotels / accommodation in the area to suit your guests and there are also public transport links. A small car park is located in front of the club and there is free on street parking.

5 HIRING THE OCEAN ROOM CORPORATE DAY FUNCTIONS (TUES, WED & THURS) HIRE FEE $800 PER DAY (A quote is required for all evening functions held TUES, WED & THURS) This fee applies to any daytime functions held between 9.00am and 5.00pm Tuesday to Thursday (excluding public holidays) A deposit of $350 is required to secure your booking. The remainder of the hire fee $450 plus any additional costs must be paid 14 days prior the function Full use of the Ocean Room facilities It includes the hire of the Ocean Room and the associated cleaning after the event If bar staff are required, the additional costs associated with this are to be paid by the hirer, prior to the event Outside the 8 hour period hire there is a charge of $200 per hour The Ocean Room will be available from 8.00am on the morning of your function for set up U-shape, Theatre style, Cabaret or Classroom set up are all available in the Ocean Room Data projector screen Coogee Surf Club lectern Wi-Fi access 2 x wireless microphones 1 x lapel microphone ipod docking system DVD / CD surround sound system Tables and chairs Whiteboard and flip chart 1 x Hot water urn Water jugs FEE INCLUDES Full use of the Ocean Room facilities Set up of your function can begin on the morning of your function at 8.00am Cleaning of the Ocean Room (not kitchen) CANCELLATION FEES Cancellation outside of 2 months prior to your function date will incur a fee of $350 Cancellation within 2 months prior to your function date will incur the full fee of $800 All cancellations must be submitted in writing to functions@coogeeslsc.com.au and will be effective from the date received

6 DAY / EVENING FUNCTIONS (FRI & SAT) HIRE FEE $2,200 PER NIGHT 6 HOURS This fee includes room hire, a Coogee SLSC supervisor, two bar staff and cleaning A deposit of $1000 is required to secure your booking. This is to be paid by the hirer at the time of confirmation of Ocean Room availability The remainder of the hire fee ($1,200) plus any additional costs must be paid 14 days prior to the function night otherwise the booking is not valid Outside of the 6 hour hire period, there is a charge of $300 per hour upon prior agreement with the club The club reserves the right to increase the number of bar staff as appropriate for the number of people attending the function. Additional costs associated with this are to be paid by the hirer Security is required for all functions with more than 50 guests. This will be organised by Coogee SLSC and a fee of $300 (for a six hour period) is to be paid by the hirer of the room 14 days prior to the function. FEE INCLUDES Full use of the Ocean Room facilities Full Bar Facility - including qualified bar staff. 10 TERMS & CONDITIONS 1. This Hire Agreement must be filled out for all functions to be held in the Coogee SLSC Ocean Room. No verbal bookings will be accepted. 2. A deposit (which is part payment of the hire fee) of $1,000 (evening functions) and $350 (daytime functions) is required with all bookings, payable on submission of this form. 3. The remaining $1,200 (evening functions) and $450 (daytime functions) plus any additional staff or cleaning costs, is payable 14 days prior to the function. 4. No booking is deemed to be accepted until the Hire Agreement is complete and monies paid. 5. Security is required for all functions with more than 50 guests. This will be organised by Coogee SLSC and a fee of $300 (for a six hour period) is to be paid by the hirer of the room 14 days prior to the function. 6. A 15% surcharge will apply to all functions scheduled on a public holiday. 7. Cancellation outside of 2 months prior to your function date will incur a loss of the room hire deposit fee. Cancellation within 2 months prior to your function date will incur the loss of the full room hire fee. All cancellations must be submitted in writing to functions@coogeeslsc.com.au and will be effective from the date received. 8. For the duration of the function the hirer and their guests must agree to abide by all club policies and regulations especially in regards to Responsible Service of Alcohol Laws. 9. All guests must follow the directions of the appointed Coogee SLSC Officer during the function. The Coogee SLSC Officer has the right to refuse entry of a guest, immediately remove a guest or terminate the event should any guests be involved in misconduct or serious breach of conditions, including damage to the club, assault, intimidation, drug possession or use, threats towards guests, staff or club members, or any behaviour deemed significantly inappropriate. 10. Access to Coogee SLSC for set up of your function is 10:00am on the day of your function. 11. No permanent hanging of material is permitted (thumb tacks, staples, nails). No open flamed candles are allowed. 12. Coogee SLSC will supply bar staff for the function. 13. An extensive beverage list is available from the Coogee SLSC bar, however the hirer is permitted to provide their own wine and champagne at a corkage fee of $10 per bottle. 14. Standard and premium spirits and beer products must be purchased from the Coogee SLSC bar. Hirers are not permitted to bring their own of this type of liquor. 15. The Coogee SLSC bar is not equipped to make cocktails. Slurpee machines are not permitted. 16. Bar service will cease 20 minutes before the scheduled end of the function. 17. The beverage account is payable on completion of the function. 18. All music must be turned off 15 minutes before the scheduled end of the function. 19. All guests must vacate the premises and be away from the environs of the club house 15 minutes after the scheduled end of the function. We require complete respect shown to our neighbours at all times. 20. All hire gear, decorations, catering equipment, DJ/band equipment, photo booths, hired furniture and remaining alcohol must be removed from the premises on the night of the function. Failure to do so may incur extra charges. 21. If the kitchen is used, it must be cleaned and all objects removed before the end of the function. 22. Any damage caused during the function is payable by the hirer of the Coogee SLSC Ocean Room. 23. Coogee SLSC will not be held responsible to theft or damage of the guest s personal property, clothing etc. By the signing of this agreement, I have read the full Terms, Conditions and Hire Agreement information relating to the hire of the Coogee SLSC Ocean Room and enter into this agreement having understood and consented to those Terms, Conditions and Hire Agreement.
