4 Elmar s Beer Garden Lawn & Alfresco Area The Beer Garden Lawn Area is two acres of picturesque grassland, with plenty of space for large product launches, team building activities and amusements, or alternatively small scale functions and celebrations. With plenty of room available for the kids to run and play, our park-like grounds are ideal to create a truly memorable experience. With trees providing shaded areas during the day, and white lights at night, it makes a spectacular backdrop for your next function. The area is suitable for a marquee (individually quoted) or you can simply dine under the stars. The Alfresco area is situated between the Restaurant and the Beer Garden Lawn Area. Perfect for those with groups of pax. Furnished with picnic benches, umbrellas, high top tables and wine barrels, the Alfresco area is perfect for those looking to experience a set menu outside in the sunshine or for those seeking a casual dining experience on a smaller scale. In case of bad weather we pull down the waterproof blinds to create an enclosed alfresco dining area and turn on the heaters to keep you warm. 5 Platters Platters are available anytime and in any area on weekdays Platters are only available before 12noon and after 2pm on a Saturday or Sunday, in the Alfresco and Beer Garden areas. Orders to be placed, along with pre-payment, 7 working days prior to the date of the booking - Seating is not allocated - Platters are a Casual Standing Option Platters will not be allocated undercover space if poor weather conditions are predicted/forecast. A marquee may need to be arranged at the expense of the client to cater for rainy weather. 27 Terms and Conditions These terms and conditions are applicable to functions with 200 or less guests. Terms and conditions for functions or events with over 200 or more guests will be submitted on a case by case basis. Booking Confirmation and Deposits All function bookings are considered tentative until the DEPOSIT and the completed CONFIRMATION FORM are received by Elmar s Management. The required deposit amount will be advised by Elmar s Management. The deposit will be based on half of your estimated food costs. If the expected total function cost is less than $1000 full payment of the function will be required upon confirmation. In the event of unforeseen circumstances Elmar s in the Valley reserves the right to amend the booking. Amending your function date once the confirmation form and deposit have been received by Elmar s in the Valley will incur a $50 administration fee. Amending your function date is subject to approval by Elmar s Management and is dependent on availability, and if required Elmar s in the Valley reserves the right to amend the conditions of the booking. Tentative Bookings Tentative bookings will be held for a period of 72 hours, after this time tentative bookings are automatically cancelled. Please advise Elmar s Management in writing if you wish to extend this holding period or cancel the booking. Tentative bookings can be formalised by paying the requested deposit and completing the confirmation form. Should your tentative booking fall within two weeks of the reservation date our Events Manager will stipulate when the confirmation form and deposit is required to secure the booking. Payment Cash, bank or company cheque (made payable to Elmar s in the Valley), credit cards (Visa or MasterCard), Eftpos, or Direct Deposit (please liaise with our Events Manager for bank details and reference number) are all acceptable forms of payment. AMEX or Diners is not accepted. The contract signatory is liable to pay all monies due under this agreement. Elmar s in the Valley does not provide credit. Should beverages be on a consumption basis then payment is required at the end of the function. Payment of the full amount of the group booking must be paid at the conclusion of the event, unless invoice payment has been approved by Elmar s Events Manager. Credit card details will be required as security. Should an invoice be issued for the balance or credit owing, all amounts must be paid within 7 days, or it may incur a 5% interest charge for each day it is not settled. If the final account is not paid within the specified time, you will be responsible for all legal & collection costs to recover this account. Cancellations & Refunds In the event of a cancellation of a confirmed booking with a deposit, written notice is required. If a cancellation is made within 60 days of the function date 20% of the anticipated food and beverage costs will be withheld. If a cancellation is made within 30 days of the function date, 50% of the anticipated food and beverage costs will be withheld. If a cancellation is made within 14 days of the function date, 100% of the total anticipated food and beverage costs will be charged. Final Numbers Final guest numbers are due 10 working days (Mon-Fri) or two weeks prior to the function date. Payment will be based on this final head count, minimum spend requirements or guaranteed numbers, whatever is greater. For all functions held at Elmar s in the Valley between 14th Nov 24th Dec, final payment is required 5 working days (Mon-Fri) or one week prior to the function date. Elmar s in the Valley reserves the right to cancel the booking should payment not be received by this due date. For bookings under 200 guests any decrease in numbers within two weeks of the function date in excess of 10% will incur a slippage charge. This will be calculated on 80% of the anticipated function cost per person. Function Duration Elmar s in the Valley reserves the right to serve alcohol responsibly. 28 Terms and Conditions Consumption of Food & Beverage Elmar s in the Valley is a licensed premise and therefore does not allow BYO beverages and food to be consumed on our premises. Zero tolerance is given to anti-social behaviour or intoxicated persons, and any patron deemed intoxicated prior to entry will not gain access to our premises. Elmar s in the Valley operates under a Special Facility license; therefore we are unable to serve any spirits unless they are of Australian or European origin. Gifts of alcohol presented to guests must remain sealed whilst on the premises. Elmar s in the Valley is a responsible purveyor of alcohol, and as such reserve the right to refuse alcohol service to anyone, including private function guests. Proof of age ID may be requested and failure to produce will result in no beverage service. Please advise your guests attending. A $2.50 per person cakeage fee applies for cakes or cupcakes supplied by the client in substitution for dessert; subject to menu selection. Cakes are also available for preorder through Elmar s in the Valley (no cakeage fee applies). Menu items may alter seasonally and with market availability. You will be advised of any changes to menu selections by Elmar s Events Manager as soon as possible. Beverage packages are available to bookings opting for a set menu only. In the instances when a beverage package is selected, all guests must opt to be on the package; split beverage packages are not available. Large cast iron fry-pans only available for use for functions set up in the outdoor beer garden area. Alternative serving arrangements are available for guests inside opting for a Buffet Menu seated inside the Restaurant. Dietary Requirements Vegetarian and gluten free meals are available and we can also cater to those with allergies. Please advise all dietary requirements 14 days prior to your event date as the meals have to be pre-selected. Outside Suppliers & Entertainment All entertainment suppliers and outside suppliers must be approved by Elmar s Management. Elmar s Events Manager will require all booking and contact details for suppliers requiring access to Elmar s in the Valley s premises at least two weeks prior to your function date. Supervision and Public Liability Insurance is required for any amusement and entertainment hire, including but not limited to, items such as Bucking Bulls, Bouncy Castles and Horizontal Bungees. In the event of extreme weather, it is the responsibility of the customer to make provisions for suppliers should shelter be required. Elmar s Events Manager can assist with arrangements however Elmar s in the Valley does not accept the responsibility for any costs that may incur. Displays & Decorations Nothing is to be nailed, screwed, stapled or adhered to any wall, door or surface or part of the building. Management must approve all signage in public areas. Please note, confetti, glitter and foil shapes are not permitted to be thrown on our premises. Children Children are more than welcome at Elmar s in the Valley, however for the comfort of all patrons, must be seated at all times whilst in the restaurant. They must also be accompanied by an adult in our Gift Shop at all times, and must be supervised at all times whilst playing outside. All juveniles that enter Elmar s in the Valley must be supervised at all times by a responsible adult, as defined by Section 125(2) of the Liquor Control Act Responsibility and Damages Elmar s in the Valley does not accept responsibility for damages to or loss of any client s property left on the premises prior to, during or after a group booking. Organisers are financially responsible for any damages, loss or theft of property belonging to Elmar s in the Valley by the client or guests, prior to, during or after a group booking. The costs associated with the repairs or abnormal cleaning will be charged to the final account at the rate of $55 per hour or part thereof per staff member. It is the responsibility of the organiser to ensure all guests are aware that Elmar s in the Valley will not tolerate any anti-social behaviour or intoxicated persons. Smoking is permitted only on grassed areas. Our restaurant and patio area are smoke-free. For the safety of our guests, shoes must be

29 Terms and Conditions worn at all times; sculling games, and standing or dancing on tables is not permitted. Elmar s in the Valley s dress code is relaxed and casual. Any gang insignia and/or indecent, vulgar or crude clothing are not permitted. Elmar s in the Valley is recognised as a family establishment, therefore R18 entertainment and sexual paraphernalia, such as blow up dolls or the like, are not permitted on premises. Pricing All prices are inclusive of GST and are based on current costs. Prices are subject to change without notice. Elmar s Events Manager will advise you in writing prior to your event should there be any price rises. A 15% surcharge applies to the value of all group bookings on a Public Holiday. Venue Hire & Minimum Spend Venue hire applies when the restaurant, beer garden or raised bar are being used exclusively. Any function that is hiring an area exclusively is required to meet a minimum spend on food and beverage. The minimum spend is dependent on the time of day, week and season. Minimum spend requirements are quoted on an individual basis and will be advised by Elmar s Events Manager.

31 Platter Order Form Platters are available on Public Holidays with a 15% surcharge. Available Wed- Friday anytime. Available on Saturday & Sunday before 12noon or after 2pm only.
